Booth meetings: plan the conversation and its resources
A sales meeting needs a visitor to find the right contact, hold a conversation and see the right information. Select furniture and displays after defining that journey and the activities happening around it.
Choose how meetings will work
A walk-up conversation needs someone available to guide the visitor. An appointment needs a host, an identified location and a way to announce arrival. An extended document review may require another space or a time without demonstrations.
As an example of organizer options, CES lists meeting rooms and suites alongside exhibit areas. Confirm the specific option with its provider: location, access, hours, services and booking. Choose the space around the discussion and the activities taking place nearby.
Review what happens during the conversation
Compare meeting times with demos, presentations and content changes. Ask whether booth voice or video will interrupt the conversation and whether the host covers both activities. If a display or staff member is shared, reserve that resource or consider another time.
A partition or drape may change the view of a space but does not establish acoustic privacy. If confidentiality is required, assess an appropriate room and its actual conditions before discussing sensitive information there.
Show the document the meeting needs
Identify whether the group will share a presentation, demonstration or document. A display for a seated conversation serves a different purpose from an aisle-facing message. The technical team can assess both needs without automatically duplicating the whole system.
Agree who supplies the source device and opens the document. Prepare an authorized meeting version and avoid displaying email, notifications or other customers’ information. At the end, return the display to the agreed content for the next visitor.
Plan arrival and appointment handoffs
Scroll the table sideways. With a keyboard, focus it and use the arrow keys.
| Stage | Useful decision | Role to assign |
|---|---|---|
| Arrival | How to identify the contact and announce the visitor | Host |
| Meeting | Topic, language and authorized material | Sales lead |
| Delay or overlap | Who explains and offers another time or location | Schedule coordinator |
| Close | Agreed next step and return to waiting content | Sales lead and operator if needed |
An example alongside a demonstration
Conceptual example: a distributor has an appointment while the booth continues demonstrating a product. The meeting needs its own document. Compare two options: separate times to share a display, or a second display and a host assigned to the demonstration.
The choice depends on the booked space, program and confirmed resources. Do not derive booth occupancy by counting chairs; review layout and circulation with the design and event teams.
What to review before hosting meetings
- Meeting point and access communicated under event rules.
- Reception roles, languages and break coverage assigned.
- Authorized material and display destination agreed.
- Overlapping schedules, voice and resources resolved.
- Available circulation, confirmed furniture and assigned open items.
Planning worksheet
This worksheet organizes roles and resources. Do not enter visitor personal information; manage appointments and contacts through the client’s authorized channels.
Common questions
Does each meeting need its own display?
Only if the conversation needs separate content and cannot use the shared display at another time. We can compare both approaches.
Does draping make a meeting private?
A drape or panel does not establish acoustic privacy. Review an appropriate space and its conditions for confidential discussions.
Can we start before we know how much furniture we need?
Yes. Describe the meeting format, overlapping activities and available dimensions. Coordinate furniture with the design and relevant providers.
What if a meeting runs over?
Agree who updates the next visitor and what alternative they can offer. Allow time to reset the material and prepare the next conversation.
