Conference, awards or panel stage: plan the usable floor

Plan furniture, entrances and circulation together before choosing stage dimensions.

Define the event sequence

Ask GLMedia about rental options for your event. The proposal is subject to availability, confirmation of the model and configuration, and the venue’s technical requirements.

Start with the event sequence: seated discussion, presentation or awards handoff. Draw the usable floor after allowing for access, edges, furniture and AV equipment.

Planning inputs and AV interfaces

Planning inputs
Participant count and movement, furniture footprints, venue plan, audience sightlines and screen positions.
Equipment interfaces
Lectern, microphones, monitors and cables need a coordinated layout; the platform still needs its own structural documentation.

Have the selected system checked for people, furniture and actual equipment contact loads. A floor-area estimate is not a load approval.

Access, finish and circulation

Include compatible access and edge protection, a secured finish and cable routing that preserves circulation. In the U.S., review applicable ADA access requirements with the venue; confirm local rules for every location.

Checks before the circulation rehearsal

  1. Mark furniture and walking routes on a scaled plan.
  2. Check entrance, exit and awards handoff with the venue and production team.
  3. Inspect the completed platform before a supervised circulation rehearsal and final release.

Three technical questions

Everything fits on paper, but panelists cannot pass behind the chairs. What changes?

Measure the chairs in their occupied position and show the walking route separately. Revise the usable depth or furniture arrangement, then reassess supports and access if the stage changes.

Can the audience aisle become the awards entrance?

Only after the venue reviews circulation, egress and the complete stage transition. A loose stair added at the end does not resolve those requirements.

Can skirting or carpet hide a raised joint?

Do not cover the symptom. Close the affected area, inspect the connection and finish, and resolve the cause before use.

Record the affected joint and whether the finish alone is raised or there is also a deck-level mismatch. Keep the area out of use and have the responsible installer compare it with the support and connection plan. A covering does not establish that the joint is secure.

Before anyone uses the stage

Stage height affects sightlines, access and edge protection together. Confirm the layout before equipment is loaded; do not change supports on an occupied stage.
