Frequently asked questions
Do you work directly with planners?+
Yes. The planner is usually the main contact for the event schedule, room changes and coordination with other suppliers. We work through microphone, video and lighting cues with that person and confirm who approves last-minute changes. Share the program early, including entrances, speeches, performances and the end time, so installation and rehearsal fit the event plan.
Can you provide only the LED wall?+
Yes. A focused LED package or a broader visual and technical scope can be quoted.
Can family videos and live camera be included?+
Yes. Family videos can be played on the screens, and live cameras can be added for speeches or performances. Send original video files when possible and tell us which moments you want covered. We plan camera positions, sound and switching so the image follows the program. If you also want a recording to keep, include that request; live display and recording are different services.
What AV equipment should we plan for a gala or awards dinner?
Start with the room plan and the program: speeches, award announcements, videos, live performances and any live camera feeds. We can quote screens, microphones and sound, lighting for speakers, playback, staging and technical operators. We review sightlines from the tables and rehearse the video, lighting and microphone cues with your planner. Décor, entertainment and venue services are separate unless the proposal includes them.

Practical questions before you book
What video and presentation files should I send?
Ask for the final screen pixel map and playback requirements before exporting. Send the presentation with its fonts and linked media, and provide original video files rather than messaging-app previews when possible. Label the final version and the playback order. We check resolution, aspect ratio, audio and cue points; editing or creating content is a separate task unless included.
How many microphones should I request for a panel discussion?
Tell us how many people speak at the same time, whether they sit or move, and whether the audience will ask questions. We can compare handheld, headset and lavalier options for the program. Wireless coordination, the mixer, monitoring and the operator must be planned together. Do not count only the speakers if the moderator or audience also needs a microphone.
What if the date, room or schedule changes after the quote?
Send the revised details as soon as possible. A different room can change access, power, screen size and staffing; a new date also requires another availability check. We review the effect on equipment, transport and labor before issuing an updated proposal. The booking agreement sets the cancellation, postponement and payment terms; we check those terms when reviewing the change.
