Rent, buy or combine: compare booth proposals
A booth proposal is easier to assess when it explains the client activity and who supplies each resource. An equipment price alone cannot be compared with a solution including installation, operation and move-out.
Compare supply models against intended use
Assess rental for needs tied to specific dates and purchase for defined later use. A mixed option can combine client resources with additional services or equipment. Each option requires compatibility, availability and responsibility checks.
Freeman’s article raises questions about repeated use and exhibit needs. For your decision, describe the schedule you actually know, what changes between events and who takes responsibility afterward. There is no universal show count that makes a purchase worthwhile.
Request a proposal organized around outcomes
Scroll the table sideways. With a keyboard, focus it and use the arrow keys.
| Proposal element | What to clarify | Useful question |
|---|---|---|
| Activity and resources | Visitor activity and supporting system | Which activity is covered? |
| Contributions | Client, GLMedia and other providers | Who supplies and operates each part? |
| Preparation and review | Files, templates and planned checks | What remains before opening? |
| Services and logistics | Show orders, access, setup and move-out | Included or separately ordered? |
| Offer conditions | Date, validity, availability and changes | What could change scope or price? |
Enter prices only from current information
Align period, currency and scope before adding amounts. Identify included items, separate quotes and unpriced items. When using existing client resources, record the specific confirmed contribution and any adaptation needed.
For later use, request costs and responsibilities that match the actual plan. Do not spread a purchase across uncertain future events as though those bookings were confirmed. Use those figures to compare the full cost of the options.
Turn open items into concrete decisions
A preliminary floor plan may support an initial option while a display location or event service response remains open. Explain the assumptions used for comparison and which confirmation will close each item.
GLMedia can prepare LED, video, playback and technical operation scope and coordinate complementary services as agreed. The specific proposal confirms availability, supply arrangements and responsibilities.
Example: a shared display or separate displays
Conceptual example: the client has content and needs a demo with scheduled meetings. Compare one display shared at separate times with independent displays for simultaneous use. Both options should cover content, operation, services and move-out alongside equipment.
If purchasing part of the system is later considered, retain the same program and add subsequent-use requirements. Decide once information and offers support a complete scope comparison, while keeping sales objectives separate from the equipment comparison.
Planning worksheet
Complete the worksheet with actual proposals when available. Keep unknown amounts open rather than treating them as zero.
Common questions
Is renting or buying better?
Compare the same use and scope with current information. The client’s confirmed schedule and resources help define options.
Can a sketch support a quote?
It can support an initial option with assumptions and open items. Final confirmations may change resources and scope.
Is everything mentioned included?
The actual proposal should distinguish what GLMedia includes, client contributions and services ordered from others or the event.
Does an initial proposal reserve equipment?
Reservation and availability depend on the offer’s explicit conditions and confirmation. A guide or inquiry does not establish them.
