Fairchild: audio, setup and rain plans for weddings in Coral Gables

At Fairchild Tropical Botanic Garden, define where each part of the wedding will take place: ceremony, cocktail hour and reception may need different setups. The address is 10901 Old Cutler Road, Coral Gables, FL 33156, in Miami-Dade County. This guide covers audiovisual preparation for weddings; other shows need their own conditions.

Which space and layout must be shown on the plan?

Separate ceremony, cocktail hour, reception and rain reserve on the plan and schedule. Booklet areas are references for each space, not net areas available for people or equipment. Account for stage, FOH, tables, dance floors, supports and routes, and have the venue confirm occupancy for that layout.

Do not choose a single occupancy for Garden Club of America Amphitheater: the Booklet 2026 lists 200 and the wedding page lists 250. Confirm the contracted attendance and use before finalizing chairs, audio and egress. A photograph or commercial capacity does not validate floor, roof or structural loads.

SpaceBooklet 2026 informationSetup check
Rose-McQuillan Arts Center3,000 sq ft; ceremony, cocktail hour and reception.Usable plan, audience and equipment positions; do not infer heights or capacities from area.
Garden House & Lawn5,600 sq ft; column-free building and raised wooden stage.Separate indoors and lawn; confirm stage dimensions and allowable loads, access and floor protection.
Lakeside Marquee on Pandanus Lake7,800 sq ft; tented cocktail-hour and reception space.Contracted layout, authorized rigging and supports; the tent does not establish suspension capacity.

Who accepts audio, vendors and effects?

Submit speaker, subwoofer, microphone and FOH quantities and positions, plus soundcheck and operating times. Obtain Fairchild approval for amplified sound and confirm orientation, permitted level, measurement position and cutoff time. This guide has no confirmed numerical sound limit: do not invent a dB value.

The booklet’s outside-vendor model does not remove preapproval. A preferred vendor does not establish a general audio, lighting or rigging exclusivity either. Confirm who supplies, installs, connects, operates, inspects and removes each service.

If haze, fog, lasers, strobes or pyrotechnics are proposed, describe equipment, material, position and sequence to the venue and Coral Gables Fire Prevention. Reuse the linked municipal effects procedure; garden acceptance and the effects permit are separate reviews. Do not infer effects authorization from promotional activities or images.

What should the site visit check before equipment is confirmed?

The booklet requires a visit 30 days before the event for vendors who have not worked at Fairchild. Use it to agree on the gate, route, unloading, hours, door sizes and movement of carts or lifts. North Gate/Main Entrance and South Gate/Phillips Gate are visitor-access references; request the assigned technical entrance on the plan rather than assuming either accepts trucks.

Measure operating space and record every cable route. For power, request voltage, phases, available current, circuits, connectors, distribution, protection and connection responsibility; compare them with the proposed models’ loads and manuals. Visible outlets or garden lighting do not establish available show power.

Request approved points and loads, engineering, system wind limits and responsibilities before designing suspended motors, trusses, screens or speakers. For ground-supported equipment, submit weights, reactions, wheels, ballast and protection for lawns and surfaces. Without specific documentation and acceptance, do not design anchors into trees, buildings or the tent, or stakes into the ground.

Which vendor deadlines and documents need confirmation?

Keep each document’s deadline separate. The wedding website lists a USD 1,000,000 liability certificate for the renter and main vendors, with Fairchild as additional insured, and mentions 14 days for delivery. Confirm the exact deadline, validity, entities and contract endorsements; alcohol coverage depends on the service.

Wedding coordination is described as day-of, month-of and two months in different website and booklet sections. Agree in writing on the coordination scope required by the contracted package and who consolidates plans, vendors and changes. Insurance or hiring coordination does not establish structural or electrical approval.

Does a rain alternative allow operation during a thunderstorm?

Prepare an alternative plan with its own occupancy, audio, lighting, power, routes and transfer times. Confirm whether the alternative space is reserved and available alongside other garden events: the package does not include general exclusivity. A ceremony and cocktail-hour option does not guarantee relocation of the entire reception or all equipment.

Distinguish rain cover from lightning shelter. As National Weather Service guidance, the plan should identify who monitors weather, decides to suspend and directs movement to safe shelter, allowing enough time for everyone to arrive. Do not assume an open shelter or tent is safe because it has a roof; verify designated shelters with the venue.

If thunder is heard, move immediately to a substantial building with electrical wiring or plumbing, or an enclosed metal-topped vehicle with windows closed. NWS recommends remaining sheltered for at least 30 minutes after the last thunder. That interval does not authorize restart: venue conditions, wind and the setup’s condition must also be resolved.

How should a space change and restart be handled?

Version the plan, equipment list and schedule for the main and alternative setups. Before moving, identify changes to supports, loads, rigging, power feed, distribution, audio coverage and egress; resubmit each change to the venue and affected reviewers. Do not transfer acceptance from a room to another area.

Define a reduced or no-effect alternative if acceptance is missing. After an interruption, responsible technical personnel must review the system before energizing or restarting; equipment or connections affected by water need evaluation under their manuals by competent personnel. Do not delay movement to shelter to recover equipment or perform checks while exposed to lightning.

This guide prepares a Fairchild wedding scope; it does not establish rigging, floor or electrical capacities, authorize effects, or replace the contract, venue acceptance or project permits.

Frequently asked questions

Can amphitheater audio be sized for the higher published attendance?

First request the accepted wedding occupancy and plan. The booklet and wedding page do not list the same capacity. Size coverage, chairs and egress for the confirmed layout, without treating the higher figure as authorization.

Can I bring my audio and lighting vendor?

The Booklet 2026 allows outside vendors to be proposed but requires preapproval. Submit equipment, tasks, insurance and hours; confirm any exclusive services for the contracted space. A preferred list does not establish general exclusivity.

Does the Lakeside Marquee tent authorize suspended LED or sound?

It does not by itself establish points or loads. Request engineering, rigging plans, capacities, installation methods and responsibilities. Without confirmation, keep suspension pending and propose an alternative whose supports and loads are also accepted.

Does the package’s rain reserve cover the entire setup?

The Marquee Package option is described for ceremony and cocktail hour. Confirm the contracted space and scope, availability, occupancy, power and changeover time. Do not assume it includes the entire reception or lightning protection.

Is the visitor gate also the unloading gate?

Published entrances guide visitors. Request a technical gate and route, dimensions, hours and waiting area for the vehicles and equipment. Check the route during the visit rather than scheduling unloading from parking directions.

Can the outdoor layout resume as soon as rain stops?

Rain ending does not by itself resolve lightning, wind or electrical and structural condition. Apply the weather plan, technical checks and venue acceptance before returning outdoors; retain the alternative when those conditions are not met.
