FIU Wolfe University Center: preparing LED, sound, rigging and effects

Identify whether the event uses Mary Ann Wolfe Theater, a ballroom, a meeting room or the Wolfe University Center terrace. Booking the building does not confirm that all these spaces are included or accept the same installation.

Which location and approvals apply?

Wolfe University Center (WUC) is part of Florida International University at Biscayne Bay Campus (BBC), 3000 NE 151 Street, North Miami, FL 33181, Miami-Dade County, Florida. North Miami is separate from City of Miami, Miami Beach and North Miami Beach. WUC sits within Student Affairs and its Event Planning Office manages bookings; confirm the entity signing the event contract.

Do not confuse WUC with Graham Center (GC) at Modesto A. Maidique Campus or with Wertheim Performing Arts Center. Student Centers Terms and Conditions covers GC and WUC, but some clauses name GC only. The confirmation must identify campus, room, hours and installation revision.

Which location and approvals apply?
Approval layerWhat must be defined
Authority / permitCompetent reviewer, permits and inspections applicable to the activity; booking does not replace them.
FIU / venueSpace, accepted loads, occupancy for the configuration, services and access.
OrganizerProgram, schedule and requested technical configuration.
Contract / supplierInstallation, connections, operation, supervision and removal of each system.
Technical checkCompare actual equipment and installation with the accepted revision before use.

Where can a screen be suspended or placed?

Student Centers conditions prohibit attaching decorations to ceiling tiles, ceiling grids, acoustic panels, screens and other listed surfaces or furniture. A suspended-ceiling grid is not an authorized rigging point. Do not hang signs, lights or LED walls from it, including as a temporary workaround.

The reviewed sources do not publish WUC rigging-point plans, loads per point, floor or terrace capacities, or wheel-load limits. Submit complete weights and calculated reactions; dividing total weight by the number of hoists is not sufficient justification. Request the permitted support and required engineering documentation from the technical lead. Ground-supported structures also require review of the floor, base, ballast and route.

The website describes approximately 300 seats at Mary Ann Wolfe Theater. This does not establish occupancy for another room or an altered configuration. Request a plan showing LED, stage, control, chairs, aisles and exits; do not infer heights or usable dimensions from photographs.

Where can a screen be suspended or placed?
SystemInformation for review
Suspended loadRoom and location; equipment and accessories; complete weight; reactions; points and method to be confirmed.
Ground-supported LED / freestanding trussFootprint, weight per support, ballast, height and calculation; accepted floor and route.
Stage and accessGuardrails required by Student Centers, access and circulation for the configuration; rented stage modules are not an exemption.
Terrace / outdoorsContracted use, surface, structure, wind and removal or shutdown plan; no capacity transferred from indoors.

Who connects and operates sound, video and power?

Request AV equipment and support when booking. WUC offers its audiovisual team and additional technicians at a cost according to need; it does not list models, formats, circuits or guaranteed crew by room. Request the current inventory, signal route, connectors, formats and power, with tasks assigned in writing.

The clause reserving AV equipment operation to GC A/V Media Department explicitly names GC. Do not extend it to WUC or infer that any outside technician can operate there: confirm with WUC who installs, connects, programs, operates and removes each system. These sources also establish no universal rigging supplier exclusivity or union agreement.

For an outside server or console, prepare a connection diagram and arrange an image and audio check using the authorized system. Verify signal and power separately: a screen without an image does not prove a lack of power. If routing changes, keep the accepted patch available for recovery; do not modify campus installations to restore the show.

Student Centers may require amplification to be reduced or stopped if it interferes with other spaces. Agree on location, orientation, schedule and accepted level before rehearsal. Do not invent a dB limit from this clause: request the criterion for the room and event.

How should haze, lasers, candles or pyrotechnics be submitted?

FIU reviews risks through relevant departments, including EH&S and FIU Police. For haze, submit the machine, fluid, SDS, locations, schedule and neighboring spaces; request acceptance, supervision and a detection-system plan before any emission. These sources document no WUC haze permit exemption or authorization. Retain a program without the effect and do not disable detectors.

EH&S requires a permit to use or possess candles. Pyrotechnics require approval and a permit; form EHS-F222, revised 2022-03-10, requests submission at least 5 workdays before the proposed start, exact location, operator, schedule and signatures. This is a minimum submission period, not guaranteed approval or permission for any effect at WUC.

The linked external contract also requires coordination with EH&S and FIU Police and a local fire department permit for its listed pyrotechnic activities. Confirm the current process, issuing authority and whether the room accepts the effect; approval by one party does not replace the others. Do not use the pyrotechnic form as laser authorization.

For lasers, identify model, class, beam paths, surfaces and audience. Ask FIU and the competent authority for the applicable determination, separately from Florida Department of Health and FDA requirements; if outdoor airspace is affected, also from FAA requirements. Without a model and acceptance, do not define emission parameters or schedule a test.

Which deadlines and costs need confirmation before contracting?

Central Reservations FAQ anticipates a response in 2 business days, allowing longer for complex events. This is a response to the request, not a guaranteed deadline for engineering, permits, insurance or installation acceptance. Disclose temporary structures, additional lighting and effects from the outset so review covers the complete scope.

The linked external-customer PDF is dated 13/05/2021 (day/month/year). The table identifies its milestones for comparison with the current contractual confirmation; the PDF alone does not establish current terms accepted for your event. The reviewed sources contain no verified WUC technical rate by room or service.

Which deadlines and costs need confirmation before contracting?
Reference in the external PDF dated 13/05/2021What to confirm in writing
Deposit: 30% of Room Charges within 5 business days of the estimateCalculation basis, due date and current contract terms.
Balance: 90 days before the event; bookings less than 90 days ahead require full payment when bookedSchedule, scope and payments due for that date; nonpayment leaves booking incomplete.
Insurance: at least 7 days before the start of use for a non-governmental customerAccepted coverage and insured parties for organizer and suppliers, leaving time to resolve differences.
Rescheduling: once, subject to availability and a possible chargeRoom/date change and renewed technical acceptance; check applicable cancellation terms.

What needs checking in insurance and a room or installation change?

FIU requests insurance from external customers and a COI from external suppliers. The sample COI shows USD 300000 for damage to rented premises, while the external PDF requires USD 500000 for that coverage and USD 1000000 per general liability occurrence. Ask FIU to resolve the difference in writing and confirm endorsements, insured parties, dates and scope before issuing documentation. A sample proves neither actual coverage nor installation acceptance.

The conditions allow reassignment to a similar space. If this happens, recheck the new room’s dimensions, loads, routes, power, patch, occupancy and effects; do not transfer the previous room’s acceptance. Include rehearsal, loading, setup, show and removal in confirmed hours.

Mark equipment, weight, position, base, power or effect changes in a revision and resubmit to affected reviewers. If a discrepancy prevents progress, stop that task and keep the earlier configuration only if it remains accepted and matches actual equipment. The worksheet records preparation; it neither calculates loads nor proves permits.

Frequently asked questions

Can a sign or lights hang from WUC’s ceiling grid?

No. Conditions prohibit attaching decorations to the grid and other listed surfaces. Request a permitted support and confirmed loads for the exact space. A photograph or the presence of a suspended ceiling does not authorize rigging.

Do the theater’s approximately 300 seats establish my installation’s occupancy?

Not automatically. Submit the Mary Ann Wolfe Theater layout with equipment, stage, control and circulation. Request accepted occupancy for that configuration; do not transfer the number to a ballroom, terrace or other room.

Does GC’s exclusive-operator clause also apply at WUC?

The clause names GC equipment. For WUC, confirm crew, connections and operation in writing with its AV department. Assume neither universal exclusivity nor automatic permission for outside crew to operate campus equipment.

Does the 2-business-day response approve rigging and effects?

No. The request may require further reviews and take longer for complex events. Submit complete equipment, loads, plans and effects; do not dispatch an installation that depends on acceptance still outstanding.

Does EHS-F222 authorize haze or a laser show?

No. It is the pyrotechnic and fireworks form. Submit each effect with its equipment and conditions to FIU and applicable authorities. Without acceptance of the specific effect, retain a program without emission and do not test it yourself.

Should I copy the sample insurance to complete booking?

No. It is an example and differs from the contractual PDF’s rented-premises damage limit. Request current requirements and written resolution for organizer and suppliers. Verify insurance acceptance separately from installation approval.
