Hyatt Regency Miami: divided rooms, capacity and AV routing

Hyatt Regency Miami lists 400 South East Second Avenue, Miami-Dade; the county’s official address record places it in the City of Miami. Define the contracted room and configuration: Regency Ballroom, Orchid and Hibiscus do not automatically share capacity, signals or installation approval with James L. Knight Venue.

Select the room setup, not just the capacity on its card

The meetings page lists 11,840 ft² for Regency Ballroom and divisions named Brickell, Flagler, Monroe, Tuttle and Pre-function. Overlay stage, screens, FOH, cameras, circulation and accessibility on the plan accepted by the hotel. A marketing attendance figure is not the approved capacity of that layout.

Resolve Orchid and the plan revision before allocating equipment

The official Floor Plan PDF has the metadata “Updated 8/15/16.” It shows Orchid A, B, C and D; the current page describes three divisions. Request current names, partitions and plan, with revision and contracted scope. Do not infer which division disappeared or fix the discrepancy by changing a letter.

The historical plan uses symbols for columns, doors, stairs and elevators; it is not a rigging plan and supplies no loads, usable dimensions or freight-elevator capacity. Use it to identify the survey information needed. Before dispatching cases, confirm clear dimensions, route, allowable load and delivery and removal windows.

Check audio and video with partitions in their event position

Prepare a room matrix: source, input, destination, audio mix and responsibility. Agree when a common program is needed and when signals must be independent. Physical room division does not establish automatic separation of AV routing, controls or returns.

Save the accepted patch or configuration with the operator before changing routes. Perform checks without an audience and at a low initial level. If a signal appears in another room, stop that route, review its assignment and restore the previous state if the correction cannot be verified. Without actual models and versions, do not specify menus or connectors.

Transition from common program to independent roomsDestinations and levels that should change or remain.Verify the agreed transition; restore the previous patch if any destination is uncontrolled.

Do not treat columns, ceilings or fixtures as approved hanging points

The sources used publish no point plan, hanging loads, approved motors or working clearance for each room. Submit equipment, complete weights, distribution and proposed method for review. A setup photo or column symbol establishes no capacity for your LED screen.

For a supported system, include bases, reactions, ballast, floor protection and circulation. If the installation is not accepted, redesign the layout and review capacity and access again. Also request electrical demand and assigned circuits, voltage, phases, protection and responsibility for connection, checks and removal: advertising AV equipment does not assign power.

Plan technical loading and assistive listening as separate paths

Hotel Information lists accessible routes from the public entrance to meeting and ballroom areas, plus assistive listening devices for meetings upon request. This confirms neither a loading route nor a listening system assigned to your room. Request equipment, quantity, coverage, delivery and operation for the event.

Agree on the program feed for assistive listening and check speech and playback on a receiver of the planned system. If the PA works but that receiver has no audio, review the feed, link and reception with the operator; hearing the room PA does not resolve the service. The published 32 in (0.81 m) refer to accessible guest-room doorways, not loading doors.

Separate complimentary Wi-Fi, streaming and Riverwalk production

The page advertises complimentary Wi-Fi in guest rooms and public areas; it confirms no dedicated production service, upload bandwidth, ports, control network or continuity. Request service for the exact room and agree on a sustained upload check to the streaming destination with the planned equipment and conditions. Retain local playback or recording if the output is not validated.

Riverwalk is listed as a waterfront space. Do not transfer the indoor plan or ballroom electrical conditions outdoors. Prepare environmental protection, routes, a weather alternative, and review of structures and ballast for that space. Lasers, haze, smoke and pyrotechnics require identification of venue acceptance and authority requirements: these sources do not authorize them.

Separate hotel scope, organization and technical acceptance

Hyatt advertises AV equipment and an on-site technical team, but the pages and plan used set no exclusivity, outside-vendor fees, insurance, minimum staffing, union arrangement or review deadline. Request these conditions in the current contract. Do not transfer another exhibition’s rates or the adjacent auditorium’s rules to the hotel.

If divisions, audience, equipment, weights, routes, effects or schedule change, submit an identified revision and retain responses by scope. Preparation worksheet: not a reservation, permit, calculation or installation approval.

Frequently asked questions

Can I prepare Orchid for 200 attendees?

Do not finalize the layout from that card alone. Hyatt also describes 190 banquet or 100–120 reception. Submit setup, division, stage and control and request the accepted capacity for that configuration. If space is insufficient, reduce attendance or change rooms before committing equipment.

Does Orchid have three or four divisions?

The page describes three; the plan with 2016 metadata labels A–D. Request the current plan and contracted names. Do not assign cables or screens using an assumed correspondence between those documents.

Does closing Hibiscus automatically separate audio and screens?

That is not confirmed. Define sources and destinations for each division and test with the partition in its event position. If a signal reaches another zone, review routing; if sound crosses the partition without another speaker producing it, also review acoustic separation. Preserve the previous patch.

Can I hang LED from a column or structure shown on the plan?

The commercial plan publishes no rigging points or loads. Submit complete weight, distribution and method for review; without acceptance, redesign. A supported alternative also needs review of floor, bases, ballast and circulation.

Is complimentary Wi-Fi enough to stream the event?

The advertisement confirms neither upload capacity nor a dedicated room service. Agree on connection, conditions and a sustained test to the actual destination. Without validation, review the contracted service and retain a local alternative; complimentary access is no streaming guarantee.

Is assistive listening included if the room has sound?

Hyatt advertises devices upon request, not automatic assignment. Confirm equipment, quantity and coverage; check speech and playback on a receiver with the operator. A working PA does not prove the assistive system receives the program.

Can I hire outside vendors without fees or supervision?

These sources do not establish that condition. Request written exclusivities, connection, supervision, insurance, staffing, costs and hours for the contracted room. Do not infer permission or free access from an advertised on-site technical team.
