Kaseya Center: planning your setup and approvals
A proposal for Kaseya Center needs to identify the space, the setup and who will perform each task. Use this guide to define that scope before committing to equipment, crews and access times.
Arena, plaza or shoot: define the scope
Kaseya Center is at 601 Biscayne Boulevard, Miami, FL 33132, in the City of Miami within Miami-Dade. The venue identifies Miami-Dade County as its owner and Basketball Properties, Ltd., part of the HEAT Group, as its operator. County ownership does not place the setup under Miami Beach jurisdiction.
The public booking information distinguishes the arena floor, AT&T East Plaza, suites and spaces for shoots. A marketed capacity, a roof photo or equipment advertised for one space does not authorize its use in another.
| Space | What to define before designing |
|---|---|
| Arena floor and seating bowl | Booked configuration, stage, audience and usable area after allowing for circulation and technical positions. |
| AT&T East Plaza | Exact covered outdoor area, included equipment and weather-related operating conditions. A roof does not establish protection for every piece of equipment. |
| Exterior shoot | Approved subject matter, area, date and technical access. Public shoot-specific conditions do not describe every concert. |

Outside equipment and work assigned to the venue
The public Promoter Kit states that exclusive contracts cover certain production tasks. Request the contractual division by trade: rigging, electrical work, loading, house-system operation and strike. Do not price those tasks as unrestricted or assume all outside AV supply is prohibited.
Under exterior shoots, Booking allows outside AV vendors subject to approval and an insurance certificate; it also reserves security, stagehands and catering to the venue. That condition has a specific scope: confirm the arrangement for the event you are quoting.
Separate equipment rental, preparation and delivery, installation, operation and removal. GLMedia can prepare a proposal for the agreed scope; work reserved to the venue or its contractors needs to be identified.

Rigging, floor-supported systems and power: outstanding details
Request current technical documentation for the space through the venue’s authorized channel. Permitted rigging points and loads, floor loads and available power still need confirmation before designing the setup. Keep the configuration pending until those details and project acceptance are in place.
| System | Information to prepare | Confirmation needed |
|---|---|---|
| Suspended LED, PA, lighting or signage | Drawing, complete weights, load distribution and proposed heights, prepared by the qualified technical team. | Permitted points and loads, structural review and who may install, inspect and operate. |
| Platforms, towers and floor-supported equipment | Locations, supports, concentrated loads, proposed ballast and surface protection. | Compatibility with the floor, circulation and accessibility; setup and removal restrictions. |
| Power distribution | Load list, equipment locations and proposed cable routes. | Authorized supply, capacity, connection, protection and venue-authorized personnel. |
These are planning questions, not engineering specifications or connection instructions. Do not infer electrical or structural capacity from the number of installed screens.

Drawings, egress and effects need separate decisions
The venue’s public summary states that floor seating configurations, festival seating and extraordinary set designs require City of Miami Fire and Rescue approval; Event Services handles that process based on the show. Confirm the configuration and the organizer’s required documentation with that team.
The City of Miami requires a fire permit for fireworks or pyrotechnics. Its page states that applications must be submitted at least 14 working days in advance and that a separate Special Event application is needed when applicable. That published lead time does not guarantee approval or permission to use the effect inside the arena.
For lasers, haze, smoke, flame or spark machines, identify the product and intended effect before including it in the proposal. Ask the venue and the relevant authority to determine its classification and applicable requirements. This guide confirms neither acceptance nor an exemption based on a “cold” label or rental status.

Access and shoots: do not promise an unconfirmed window
For shoots, Booking publishes access restrictions on game or event days and assigns truck staging through Event Services. Do not treat a public entrance as a loading route: agree on the door, vehicle, crew, schedule, credentials and holding area.
During a site visit, check the entire route from the vehicle to each system, including level changes, doors, floor protection and packaging removal. Agree on when sound checks may take place and who releases the space for rehearsals and the audience.
Final rates, crew minimums, surcharges, insurance and hours for this production remain subject to the contract. No rental rate or permitted noise window is confirmed in this guide.
| Inquiry or activity | Condition published in Booking | How to proceed |
|---|---|---|
| Photo or video inquiry | Up to 2 business days for the availability-confirmation process. | Obtain a confirmed date, space and access. That reply does not establish structural, electrical or effects approval. |
| Event inquiry | The event inquiry link mentions up to 3 business days to confirm availability. | Keep the commercial reply separate from the contract and the setup-approval process. |
| Shoot on a game or event day | The exterior-shoot section does not allow interior or exterior photo/video access on those days. | Propose another date and confirm access with Booking/Event Services. Do not apply this rule to concert load-in. |
Before dispatching the crew, match the date, activity, space and loading window to the venue’s confirmation. If the shoot date is not permitted or access remains pending, reschedule; do not treat an availability reply as entry authorization.

Close out decisions, not just an equipment list
Use a dated, revision-controlled drawing, a system list and a responsibility matrix. Keep the response for each approval and the document version it covers. If locations, loads, attendance or effects change, ask which reviews must be repeated before carrying out the change.
| Decision type | Who needs to resolve it | Useful evidence |
|---|---|---|
| Public authority | Relevant department for the use and effect; Fire and Rescue for the documented procedure. | Permit or approved drawing that applies to the setup. |
| Venue and contract | Event Services and designated technical leads or contractors. | Accepted space, vendor scopes, access, pricing and terms. |
| Organizer and production | Organizer and vendors, within the approvals obtained. | Schedule, assigned responsibilities, current drawing and setup checks. |
If a change is not accepted, return to the earlier design only if its approvals and actual conditions still apply. Otherwise, leave the affected system uninstalled and arrange another review.
The downloadable worksheet is a GLMedia planning tool, not a venue form. It does not apply for permits, book space or establish approval.

Frequently asked questions
Can I rent equipment only from GLMedia?
You can ask about equipment-only rental or additional services. Before finalizing the scope, confirm vendor acceptance and which tasks belong to the venue or its contractors.
Does vendor approval allow me to hang an LED screen?
It does not establish rigging approval. Confirm the design, permitted points and loads, and who will perform each task. Those values are not verified in this guide.
Do exterior shoot rules apply to every event?
No. Identify the booked space and activity. The outside AV provision described for shoots does not replace the technical agreement for a production in the arena.
What should I send if I do not have a design yet?
Tentative date, space, activity, expected audience, desired systems and questions. Mark what is still undecided; the scope can be developed without inventing an approved drawing or technical capacities.
Does a reply within 2 or 3 business days authorize equipment access?
No. Booking distinguishes photo/video and event inquiries using those availability-confirmation times. Confirm the contract, access window and technical acceptance before dispatching equipment; these are not setup-approval deadlines.
Can I schedule a shoot on a game or event day?
Booking’s exterior-shoot section does not allow interior or exterior photo/video access on those days. Propose another date and obtain confirmation. This rule does not define concert load-in windows.
Official documentation
Exterior-shoot conditions and production contracts have different scopes. Confirm the booked space and activity. Availability, technical acceptance and permits are separate decisions.
