MDC Chapman: screens, partition and Room 3210 event setup

Chapman Conference Center is Room 3210 in Building 3 of Miami Dade College, Wolfson Campus, at 245 NE 4th Street, City of Miami, Miami-Dade. Campus Administration manages reservations; the administrative address at 300 NE 2nd Avenue does not identify Chapman’s loading entrance.

Choose the layout before sizing the production

The Chapman 3210 listing publishes 6,834 ft² and different capacities by setup. Use them to frame the request; an LED screen, platform, control position, camera or cable route changes the usable area. Submit their dimensions alongside seating, accessible routes and exits so the event layout can be accepted.

Do not calculate each partitioned half’s capacity by dividing these figures by two. Do not automatically add Rooms 3208 and 3209 to 3210: the plan shows separate breakout rooms across a corridor. Request the capacity and use conditions for every included space.

Identify each screen and the partition position

The plan linked by MDC marks PARTITION inside 3210 and three destinations: Northern Screen, Northeastern screen and Southeastern screen. Use these names on the patch and confirm which surfaces, projectors and controls operate in the contracted configuration. The drawing does not establish independent inputs for each screen or acoustic isolation by the partition.

The same plan shows dimensions of 68 ft and 90 ft, a 15 ft × 25 ft Tiled Alcove and an 11 ft Tiled Passageway. These are drawing references with no printed dated revision: do not multiply two dimensions to correct the published 6,834 ft² or occupy passageways as technical space. Request the current plan before fixing positions.

Check destinations before adjusting formats or levels

With the assigned operator, record the source, input, destination and accepted state before changing routes. For a divided room, test each program separately with the partition in its final position. Without the assigned system’s model, version and manual, specific buttons, compatible formats or control commands cannot be prescribed.

Perform checks with the audience outside the test space and during the agreed time. Change one variable at a time; if the expected destination does not respond, restore the previous patch before trying another connection. Save the new configuration only after checking every affected destination.

Check destinations before adjusting formats or levels
Check to performWhat to observeWhat it separates and how to continue
Named test pattern, one screen at a timeCorrect destination name, complete image and readable text at each requested screen.Another screen responding calls for checking assignment; cropping or unreadable text only at the correct destination points toward format or framing. Correct with the operator and repeat.
Voice in each zone with the partition in final positionThe intended program in its assigned zone, with no unwanted electronic feed to the other.Separate audio routing from acoustic transmission through the partition; check the patch before raising level. Restore the previous state if another zone changes.
Recording or remote-link feed, if contractedCorrect picture and audio on the receiving system’s return.A correct local screen does not confirm the remote output. Check the assigned send and return without changing the room program; restore the previous route if it fails.

Separate external booking from internal work orders

For external groups, Rental and Room Information directs availability inquiries to Campus Administration and requires a formal request letter. The office submits the letter and rental quote for approval and, once the request and date are confirmed, sends the quote to the organization. Accepting the quote provides a temporary hold until the Agreement for Temporary Use of MDC Facilities is fully executed and the certificate of insurance, COI, is received. Campus Administration coordinates internal setup and technical-assistance work orders; the visible form is marked for internal use.

For internal groups, the page requires the applicable Media Services, Campus Services and Public Safety work orders at least two weeks before the event. In that workflow, more than 100 participants requires restroom attendance; Public Safety is requested for events with external participants or internal events larger than 100. Do not turn that lead time into a universal external-client contract deadline.

Media Services publishes amplification, projection and event support services but no inventory or patch specific to 3210. Submit the program, screens and zones, sources, microphones, recording, rehearsal and setup/strike times. Obtain confirmed scope, equipment, operator and costs before finalizing files and connections.

Do not treat a layout drawing as rigging approval

The plan does not identify suspension points, allowable loads, floor reactions, circuits or assignable power. For suspended truss, LED or sound, submit complete weight, distribution, height, proposed points and method for review. Do not use the partition or a drawn line as an anchor. For floor-supported equipment, submit footprint, reactions, ballast and floor protection.

Before specifying electrical distribution, request voltage, circuits, protection, connectors, assigned power and who may connect, check and remove it. For lasers, haze, smoke or other effects, submit equipment, position and sequence and request campus conditions and responsible-authority review. These sources do not confirm permits, exclusive vendors or effects authorization; retain an effects-free version until resolved.

Verify the entire route to 3210

The drawing shows elevators, stairs, corridors and entrances but no elevator load rating, clear dimensions, turns or authorized flight-case route. Compare the complete package’s dimensions and weight against each segment confirmed by the campus; request an approved elevator, hours, protection, personnel and vehicle waiting location before dispatch.

Chapman’s address, the administrative office and visitor parking are different references. The campus map identifies Building 3 and parking without establishing a loading dock or guaranteed setup hours. If the confirmed route cannot accommodate a package, change packaging or equipment and revise the plan; do not improvise another entrance during unloading.

Submit a revision that separates each acceptance

Identify plan version, room, partition position, proposed attendance, image and audio destinations, supports, power, effects and loading route. If a screen, zone or structure changes, state the change and request review of affected acceptances before installation. Keep the accepted plan and patch to restore the previous state.

Frequently asked questions

Are Chapman’s 616 seats still available with an LED screen?

616 is the published Theater capacity, not the capacity of every setup. Draw the LED, platform, control and circulation alongside seating and request acceptance of that layout. Do not subtract seats solely by an area calculation.

Does the partition allow three independent pictures or programs?

The plan identifies a partition and three screens but no independent matrix or acoustic isolation. Request the available patch and configuration; check one source and zone at a time with the partition in final position.

How do I check the same presentation reaches all three screens?

With the operator, send a named test pattern to Northern Screen, Northeastern screen and Southeastern screen through the agreed routes. Observe destination, cropping and readability. If another destination changes, restore the previous patch and correct assignment before adjusting formats.

Is two weeks the deadline for every external rental?

The page specifies that minimum for internal groups’ technical orders. The external workflow includes a letter, quote, agreement and COI, with no universal lead time confirmed by these sources. Request submission and acceptance dates for your event.

Should an external client complete the internal reservation form?

The form is marked for internal use. The external workflow starts with Campus Administration, which coordinates internal setup and technical-assistance orders. An accepted quote maintains a temporary hold until the agreement and COI are complete.

Can the elevator shown accommodate LED flight cases?

The plan does not publish load rating, cabin, doors or authorized route. Submit each package’s dimensions and weight and request the entire route, approved elevator and schedule. Change packaging or equipment if the confirmed route is insufficient.

Do an agreement and COI authorize rigging, power and lasers?

No. They resolve reservation and contractual documentation; layout, loads, installations, responsible roles and applicable effects and authority conditions still need confirmation. Submit each intervention and retain an effects-free alternative until accepted.
