PAMM: Museum Buyout, terraces and audiovisual setup

At Pérez Art Museum Miami (PAMM), define which areas the event will activate before finalizing the audiovisual plan. The contracted scope affects circulation, the weather alternative and setup between the auditorium and terraces.

When does the booking require a Museum Buyout?

List active areas and times: reception, conference, dinner and weather alternative. Ask PAMM to confirm which count as activated event spaces, including sequential use. Do not split the program into bookings and assume the condition has been avoided.

The museum is at 1103 Biscayne Blvd., Miami, FL 33132. Identify the property and competent jurisdiction in the project documents; do not use an approval from Miami Beach, the county or another venue as authorization for this setup.

Choose areas and routes without transferring capacities

Mark every audience destination and technical position on a plan. For a talk followed by a reception, compare transfer time with signal changes, equipment custody and available access. The plan must retain accessible routes and exits with the complete setup in place.

Request the accepted plan and capacity for that layout, including tables, stage, FOH control and cameras. A marketing capacity for another format does not allow adding attendees or deducting technical floor area without review.

SpaceUseful setup distinction
AuditoriumHas audiovisual technology for presentations; identify the included equipment, connections and operation.
Boardroom / Northern Trust TerraceCombines an indoor room with AV capabilities and an outdoor terrace: separate destinations and routes.
Joy Terrace / Southside TerracesLocated on the third floor: check load access and movement between levels.
Terrace Platform / East PorticoTerrace Platform is a covered exterior next to East Portico; a roof does not establish shelter suitability or rigging points.
Paresky Hall / Lobby TerraceParesky Hall contains artworks and adjoins galleries; Lobby Terrace is at the entrance. Include artwork protection and circulation in the plan.

Check audio and video by destination before opening doors

Prepare a signal map: microphones and playback to the auditorium, program or music to the reception, and monitoring to the stage. With the authorized operator, check each destination at a moderate level and listen from the area that should receive no signal. If audio appears there, review assignments and zones before changing overall levels.

For video, record source, adapter, format, display and destination. Obtain models and the patch before specifying menus or resolutions. Check an identification image and final content on each output: if the source works on one display but not another, isolate the adapter, input and path of that output, changing one variable at a time.

In windowed or outdoor areas, check content readability at the scheduled time and with event lighting. If contrast fails, agree on position, text size or a display alternative with the venue. Save the accepted configuration and restore it if a change worsens the result; do not alter emergency announcements.

What to submit for loads, power and effects

Before choosing truss, motors or LED, submit location, dimensions, weights, center of gravity, support reactions and installation method. Request authorized points, capacities and structural review for that area. Do not attach equipment to roofs, vegetation, railings or exhibit elements based on appearance.

For ground-supported equipment, add supports, surface protection and cart routes. Check doors, turns, the authorized elevator and load limits before preparing packages. Do not infer allowable loads from terrace size or floor level.

Request the accepted electrical distribution, voltage, frequency, available current, protection and connection responsibility. For lasers, haze, smoke or pyrotechnics, submit equipment, manuals and scope for review by the museum and the applicable authority. Until models and approvals are identified, retain a proposal without those effects; do not interfere with fire detection.

Prepare a rain alternative without improvising another area

Include the alternative space and decision time in the initial request. Confirm whether reserving or activating it changes the scope to Museum Buyout. A covered terrace must not be treated as an indoor room or validated storm shelter.

Prepare separate plans for the outdoor program and its alternative: audience, stage, power, signal, accessibility and exits. Reassess equipment that fits the accepted area; do not automatically transfer the outdoor capacity. Identify who stops operation, how the audience is informed and where equipment remains without obstructing the route.

Check the program change before the event, without an audience and with venue staff responsible for the space. If no alternative area is accepted, define suspension or rescheduling instead of occupying galleries or using connections outside the scope. Record which configuration must be restored if returning to the original plan.

Approvals, services and changes after finalizing the plan

Separate responsibilities and approvals by scope. Obtain written confirmation of who installs, connects, operates, inspects and removes each system, and which services must be purchased from the venue. The presence of a catering supplier does not establish audiovisual exclusivity.

Agree on loading, setup, checks, opening, closure and removal; museum visiting hours and the included gallery hour are not production windows. Request a dated quotation, insurance, credentials and applicable labor conditions. Published rates may change: verify scope, services and date-specific conditions before budgeting.

Approvals, services and changes after finalizing the plan
Requirement typeWhat must be identified
Legal / authorityCompetent body, permit or review applicable to the project and approval status.
VenueAreas, plan, capacity and conditions accepted by PAMM.
OrganizerProgram, audience access and conditions specific to that event.
Contract / exclusive serviceConfirmed provider, included task, personnel, schedule and cost.
Technical checkCheck to perform and observable criterion; not equivalent to a permit.

If a display, support, effect, audience count or activated area changes, submit a plan revision marking the change before carrying it out. Keep the last accepted version to revert to if the revision is not approved. During removal, restore the patch and configuration with the operator and check surfaces, inventory and space handover.

Frequently asked questions

Does a talk in the auditorium followed by a terrace reception require Museum Buyout?

PAMM requires this option for 2 or more activated spaces. Submit both areas and times so the museum can confirm how it applies to the program; sequential use does not establish an exception. Then check each area’s capacity and setup separately.

Can I book a single terrace for 300 guests without further reviews?

The published guest-count trigger is exceeding 300 guests. Being at that number does not confirm terrace capacity, availability or acceptance of the plan. Request the capacity for the complete layout and retain an alternative with less equipment or fewer guests if it is not accepted.

Can the gallery hour included in Museum Buyout be used for setup and checks?

The published inclusion is 1 hour of gallery access. Define in the contract when equipment and technicians may enter, check systems and remove equipment. Do not assign these tasks to visiting hours without express acceptance.

Can I use Terrace Platform as a storm plan?

It is a covered exterior space. Obtain an accepted alternative and a suspension and transfer procedure; do not assume storm protection or move the audience to another room unilaterally. Also confirm whether that second area changes the booking.

Does the auditorium AV equipment include the terraces?

It cannot be assumed to be included. Request inventory, patch, zones, operators and services for each destination. Check sound and picture at each output with the operator and save the accepted state before changing routes.

Does booking the whole museum allow suspended LED, lasers or haze?

Museum Buyout defines the space scope, not technical acceptance of those systems. Submit loads, supports, power and effects for separate review. Without identified points, models and approvals, retain the proposal without suspension or effects and restore the accepted plan.
