Venetian Pool: event sound, setup and permits
Before choosing equipment for a poolside event, check whether the format fits the venue. At Venetian Pool, music, speakers, vendor access and schedules depend on the authorized use.
The booked space and approval responsibilities
Venetian Pool is at 2701 De Soto Boulevard, Coral Gables, FL 33134, within the City of Coral Gables, Miami-Dade. It is a city-owned municipal facility managed through the city’s recreation department. Rules for the City of Miami, Miami Beach or another venue named Venetian do not apply here.
The city offers rentals for weddings, corporate events, private dinners and celebrations, as well as photography and filming. Distinguish public admission, a birthday party during opening hours and an after-hours event: they do not automatically provide the same scope or exclusive use.
| Type of condition | What needs to be settled |
|---|---|
| Venue | Exact space, activity, capacity, schedule and outside equipment approved by the facility supervisor. The rental rules list a maximum of 150 participants; confirm your event layout. |
| Public authority | Permits and inspections applicable to the setup and activity. A facility-use permit does not replace other approvals. |
| Contract and vendors | Insurance, costs, credentials and included services. Approval of outside equipment must be recorded on the rental application. |
| Organizer | Program, attendance and vendor responsibilities. This guide does not apply a particular organizer’s rulebook. |
| Technical recommendation | Prepare a plan showing equipment, routes, audience and work areas. It supports review; it is not an approval. |

Music, speech and public admission: separate the rules
For a rental event, build the program around the amplified-music restriction. Do not present a DJ, a dance floor with a PA or amplified background music as an accepted option. For speeches and presentations, confirm the east loggia position, speech coverage and operation before finalizing equipment.
The public-admission page prohibits speakers, umbrellas and outside deliveries. The rental-specific rule allows spoken-word sound in the stated location. A pool admission ticket is not a production permit: document the authorized use and how vendors will enter.
Rental conditions require compliance with the Coral Gables noise ordinance but do not provide an event-specific technical decibel limit here. Ask for the applicable criteria instead of inventing a permitted level. The musician limit does not override the ban on amplified music.

LED, structures, electricity and effects
The linked official documents specify no rigging points, structural load ratings, allowable concentrated floor loads or production power-distribution plan. The outlet mentioned for speech does not establish capacity for an LED wall or another system. Submit the requirements and obtain a technical response before sizing or reserving equipment.
| Proposed system | Information to review with the venue |
|---|---|
| Screen, truss or floor-supported equipment | Dimensions, total weight, supports, ballast, surface protection and distance from water. Confirm whether the setup is acceptable and whether structural review is required. |
| Power and cabling | Power demand, required voltage, connections and routes. Confirm available circuits, protection, who connects and disconnects, and protection of crossings and wet areas. Do not assume a generator is allowed. |
| Haze, lasers or pyrotechnics | Describe equipment, location and effect. Confirm whether they are allowed and which procedure applies with the venue and relevant authorities before including them in the setup. |
Decoration rules allow only Scotch Tape and masking tape for fastening to surfaces and prohibit nails, staples and other fasteners. This does not authorize supporting technical loads with tape or hanging equipment from railings, trees or buildings.
As a technical planning measure, agree when rain, wind or storms will stop operations, how equipment will be removed and who makes that decision. These sources publish no weather thresholds. Keep accessible and exit routes clear; a general accessibility listing does not validate a new layout.

Dates, setup and load-out
The municipal pages do not fully agree: the rental page advertises year-round availability after closing, while the detailed rules exclude the period from Memorial Day weekend through Labor Day. Confirm the date and hours on the permit; public opening hours do not establish rental availability.
| Stage | Published reference | What to confirm |
|---|---|---|
| Event | Rules: 17:00–22:00, Monday–Saturday; weekdays in April, May, September and October: 18:00–22:00. | Accepted date, actual public closing time and rental terms. |
| Preparation | Specific rules allow a 15:30 start. General conditions say setup and cleanup must be included in the rental period. | Written access time, available areas and any overlap with public pool users. |
| Load-out | Guests leave by 22:00; the renter and catering staff may stay until 23:00 to clean up and remove waste. | Permission for technical vendors to remain, loading route, crew and enough time to strike. |
Parking is allowed only in designated areas, not on grass or swales. No loading-dock or access-door dimensions are published: check the route and packed equipment during an arranged site visit. Submit the table-and-chair layout 14 days ahead when applicable; include technical equipment to avoid conflicts.

Booking, insurance and costs
A booking requires supervisor approval, payment and an executed permit; verbal agreements are not valid. Rental documentation requires a notarized application and insurance. The form linked by the city is dated 2/2010: confirm the accepted version and any proof of signing authority before completing it.
The rental page lists a USD 1 600 deposit; other parts of the rules mention USD 1 550 and USD 1 500. Request a confirmed amount and written refund conditions. Do not add these figures together or pick one arbitrarily. Itemize base rental, public closure, staff, police and technical services for the activity.
The rental-specific rules require 2 off-duty Coral Gables police officers at the renter’s expense. For companies, the insurance conditions list commercial general liability of USD 1 000 000 per occurrence and USD 2 000 000 aggregate, plus additional-insured and endorsement requirements. Individual coverage differs, and Risk Management may require more: do not apply one category’s policy to another.
If alcohol is approved, the rental rules prohibit swimming; public admission does not allow alcohol. Also confirm lifeguards and security for the activity. Hiring sound or lighting does not satisfy these conditions.
Request current pricing, the payment schedule and cancellation terms. The rules specify final payment 90 days before the event or at booking, whichever comes first, and distinguish after-hours rental cancellation from meeting-room cancellation. Do not use old brochure prices to finalize costs.

Filming, changes and closing the planning process
The city has a separate photo and video process for Venetian Pool: submit a permit application and insurance documentation at least 2 weeks ahead. It distinguishes noncommercial photography, commercial photography and commercial audio/video production. A shoot requiring public closure needs further approval steps and an additional fee.
When adding cameras or streaming to an event, describe how the images will be used, the equipment, crew and occupied areas; ask which process applies. A rental does not establish that every shoot is included. The published filming closure fee differs from the rental closure fee; do not interchange them without confirmation.
As a recommended change-control step, resubmit the plan and scope when attendance, sound, structures, power demand, effects, cameras or access change. Identify the changes and obtain written responses from the supervisor and other responsible parties before implementation. No single deadline for approving all changes is documented.
The downloadable worksheet prepares your inquiry; it is not the city’s form, a reservation or a permit. Keep the approved plan, accepted insurance, assigned tasks and open items together. At the end, arrange the condition and cleanup inspection used to determine the deposit refund.

Frequently asked questions
Can I book a DJ with speakers for a private event?
The published rules prohibit amplified music. Spoken-word sound has a specific permitted location; this is not permission for a DJ. Choose a compatible format before booking.
Can the loggia outlet power an LED wall?
The documentation does not specify its production capacity. Submit power demand and connection requirements and confirm circuits, protection and the electrical lead. Do not size the system simply because an outlet exists.
Can I book any date because the page says year-round?
Not without confirmation. The rental page says year-round, but detailed rules exclude Memorial Day weekend through Labor Day and distinguish schedules. The approved date and hours must be written on the permit.
Does the booking include a filming permit?
Do not assume it does. The city publishes a photo and video process requiring insurance and at least 2 weeks’ notice. Describe the planned shoot or stream and confirm the applicable process.
