Booth operations: coordinated setup, changes and daily handover
Assign someone who knows which revision is authorized, who resolves open items and when a change can happen. A shared worksheet connects provider preparation with daily booth operation.
Coordinate handovers before fixing the schedule
Build a handover schedule covering access, the space prepared to the agreed design, confirmed services, installation by the responsible providers, available content and program review. Record what the next person needs from each handover. This is not a lifting or structural assembly sequence.
The ISC East 2026 manual distinguishes freight delivery from installation start. For your event, confirm actual dependencies and time windows with the organizer and providers before scheduling crews.
Assign decisions and escalation routes
Scroll the table sideways. With a keyboard, focus it and use the arrow keys.
| Topic | Role to assign | Decision to confirm |
|---|---|---|
| Program | Client coordinator | Priorities, hours and activity alternative |
| Content | Client approver | Authorized file, language and message |
| Product | Application or equipment lead | Demo operation and recovery |
| AV | Video and sound leads | Destinations, sources and operation within scope |
| Services and access | Relevant provider and organizer | Delivery and resolution ownership |
Prepare the daily opening
Agree who reviews the day’s program, identifies authorized revisions and confirms responsible staff are present. Relevant technicians check the intended signal paths and record results. The host confirms appointments, languages and alternatives for activities not yet available.
Avoid an automatic “all ready” status. For each open item, record the affected activity, its owner and the approved alternative for that stage.
Request changes with an identifiable file and scope
Each request should name the destination, changed file or text, revision, approver and requested time. The technical lead assesses preparation or additional checks and coordinates a window with the program lead. Receiving a file does not justify replacing content during an activity.
Keep the accepted revision and a clear return path. After review, record what entered operation and what was rejected. If several destinations are affected, check the full list with the video team and use the system’s help guides to prepare playback changes.
Close the day with a clear handover
Record the revision for the next day, resources that must remain available and issues for the next shift. Agree equipment and service closing with their owners and event conditions. Any work on installations or supplies must be handled by the responsible provider.
Conceptual example: a product correction arrives during a demo. The approver confirms the revision, the program lead chooses a window and the video team prepares a review of the affected destination. Until then, keep the accepted version or use the agreed alternative.
Final preparation before opening to visitors
Review the program together with its owners. Each item needs a result, date and reviewer. For an activity that is not yet ready, define the alternative the client authorizes while the issue is resolved.
The coordinator gathers confirmations from the technical leads and event team. This list organizes opening; it does not replace technical approval, venue authorization or installation inspections.
Scroll the table sideways. With a keyboard, focus it and use the arrow keys.
| Intended outcome | Review with the responsible party | Record to complete |
|---|---|---|
| Understandable message | Authorized content, language and text at each destination | Revision / result / owner |
| Available demo | Product journey and planned alternative | Result / open item / owner |
| Intended image and voice | Agreed sources, destinations and listening zone | Result / condition / owner |
| Prepared reception | Host, appointments and staffing handover | Confirmation / open item / owner |
| Available services | Power and network delivery and review by their owners | Reference / result / open item |
| Available circulation | Floor plan and event conditions confirmed by their owners | Confirmation / difference / owner |
| Defined continuity | Return revision, authorized changes and open-item contacts | Action / owner / review time |
Planning worksheet
Use one worksheet per day or program revision. Enter results after each review; blank fields do not mean approval.
Common questions
Who can request a change from the operator?
The client defines the channel and who approves content and program changes. The operator can then distinguish a suggestion from an authorized update.
Can a last-minute file be accepted?
Assess its scope and the time needed for preparation and review. Receipt does not confirm immediate use.
Does design handover allow every installation task to start?
Providers must confirm access, services and conditions for their task. Record those dependencies before finalizing times.
How are open items handed to another shift?
Include the activity, owner, last result, next action and authorized alternative. The incoming shift confirms receipt.
