AV freight: initial worksheet and 53, 26 and 15 ft trucks
Start with a case list or photos, the program and the event location. We can use that information to plan the delivery with your team, the carrier and the venue before selecting a vehicle.
Scope: Florida and the United States. Planning examples; confirm requirements for the actual event, vehicle and route.
Start a freight worksheet, even with open items
Record the event, date, city, room or booth, receiving contact, and requested load-in and load-out windows. Add package counts, shipping dimensions and known weights, including the source. Separate measurements from estimates; a photo can identify a case but does not establish its weight.
List the transportation provider, proposed vehicle and who will confirm the assigned unit and authorized driver. Exchange driver documents privately; an inquiry worksheet does not need license, policy or plate numbers.
- Access: arrival, check-in, dock or ground-level delivery, and the route to the room.
- Transfer equipment: truck ramp, liftgate, forklift and freight elevator, listed separately when needed.
- Services: receiving team, requested labor and equipment, empties, quoted charges and parking after unloading.
- Return: equipment release, empty-container return, truck call and collection point.
Ask the organizer for the show manual and the venue for requirements covering the actual room and date. For example, MACC’s published policies address docks, parking and freight receiving separately; event coordination must establish how each applies. Read MACC policies.
Use the hotel and venue coordination guide for power, signals, networking and rehearsals. This worksheet focuses on freight transportation and delivery.
53 ft: separate the trailer from the full combination
Ask the carrier for the trailer specification and the assigned tractor’s details. Trailer length alone does not include the tractor or establish the dock approach space. Share overall combination length, exterior height, width and configuration with the venue for access review.
| Published item | Value |
|---|---|
| Trailer dimensions, length × width × height | 53 ft × 102⅜ in × 13 ft 6 in |
| Trailer GVWR | 68,000 lb |
These values belong to that specification, not every 53 ft trailer. Trailer GVWR is not the available payload of the combination. Request unit documentation, weights and applicable limits; the carrier and venue must review the route and entry conditions. The specification does not establish permission to travel at that width in every jurisdiction.
For AV freight planned to arrive by semi, provide combination identification and a package list when coordinating the dock. If access cannot accommodate it, review another vehicle or transfer at an authorized facility, with separately quoted services and costs.
26 ft: confirm the rental fleet and assigned unit
When requesting a 26 ft box truck, explain the event use, packages, route and proposed transfer method. Compare the actual offer: one brand’s personal fleet and commercial variants may have different equipment and specifications.
| Category | Published details |
|---|---|
| Personal, 26 ft | Interior up to 25 ft 11 in × 8 ft 1 in × 8 ft 1 in; load up to 10,000 lb; ramp 1,000 lb. |
| Commercial, 22–26 ft, “Non-CDL” | Advertised GVW up to 26,000 lb; payload up to 10,000 lb; liftgate or liftgate/ramp combination up to 3,000 lb. |
| Commercial, 22–26 ft, “CDL” | Advertised GVW up to 33,000 lb; payload up to 17,000 lb. |
The commercial Non-CDL page lists interior height up to 8 ft 7 in for its 26 ft box. This difference from the personal listing is a reason to request the unit’s details, rather than combine maximums from both pages. Also confirm exterior height, door opening, deck height and usable platform.
A truck ramp and liftgate are different equipment: request the model, dimensions, capacity conditions and actual availability. An advertised maximum does not establish compatibility with a case, its cart and the planned transfer.
“Non-CDL” is the supplier’s fleet category. Review licensing and other requirements for the vehicle, combination, use and jurisdiction against official FMCSA criteria and the state authority; a 26 ft box alone does not settle them.
15 ft: check the case against the door and transfer method
| Item | Published value |
|---|---|
| Interior, length × width × height | 15 ft × 7 ft 8 in × 7 ft 2 in |
| Door, width × height | 7 ft 3 in × 6 ft 5 in |
| Deck / published clearance height | 33 in / 11 ft |
| Published maximum load | 6,385 lb |
The supplied equipment may vary. Confirm the unit, its stated exterior clearance and clear door opening; interior volume does not establish that a tall case will fit through the door. Deck height alone does not establish dock compatibility.
The offer includes a loading ramp, which is different from a liftgate. For delivery without a dock, give the provider the package’s dimensions and weight including its cart, and request a compatible, authorized transfer solution. If the offered option is unsuitable, review another unit or a service with appropriate equipment before booking.
For control and video cases going to a room with restricted access, compare the package, truck door, internal route and unloading system. Do not substitute a 16 ft truck’s specifications or a photo from another rental.
Choose by freight, access and the complete service
| Option to discuss | Compare before confirming |
|---|---|
| 53 ft semi-trailer | Full package and weight list; identified tractor/trailer; accepted approach and dock; holding area and combination parking. |
| 26 ft box truck | Exact fleet and unit; configuration payload; ramp or liftgate; door, deck and transfer; driver requirements. |
| 15 ft box truck | Every package’s dimensions and weight; clear opening and suitable unloading method; planned trips and available windows. |
| Another unit, split deliveries or authorized transfer | If an option does not meet requirements: revised quote, receiving for each trip, custody and equipment availability at both ends. |
Compare the full quote: transportation, appointment or access, unloading, movement to the room or drayage, equipment and labor, empties, waiting, parking and load-out return. Request billing units, minimums, surcharges, taxes and validity. A dock booking does not automatically include these services.
Before choosing, ask the provider to confirm the vehicle, authorized driver, rental terms and applicable documentation. Not requiring a CDL does not itself remove other commercial obligations: USDOT registration and other requirements depend on the operation. GLMedia can help organize delivery questions for the AV equipment.
US specification units: ft = feet; in = inches; lb = pounds. Commas in published figures separate thousands.
Useful questions
Can we ask for help before the final manifest is ready?
Yes. Start with the date, room and a package list or photos. Identify missing weights and dimensions so they can be requested before the vehicle and services are finalized.
Can we select the truck using case volume alone?
Use volume as a starting point, then add gross weight, individual package dimensions, payload, doors and transfer requirements. Review the vehicle, route and services with the provider and venue.
Is a 26 ft truck always non-CDL?
No. Length does not determine the class. Request applicable ratings and weights, configuration with or without a trailer, and use; compare them with FMCSA and state requirements. Other commercial obligations may apply even when a CDL is not required.
