Gaylord Opryland, Nashville: floors, rigging and AV freight
Gaylord Opryland Resort & Convention Center is at 2800 Opryland Drive, Nashville. Ryman Exhibit Hall belongs to the convention center; Ryman Auditorium and Grand Ole Opry House are separate venues. Confirm the hall, division, level and use before applying a sheet.
Which documents apply, and what is their scope?
The meetings guide describes layouts, access and room references; it does not replace an approved production plan. The hotel website identifies Encore as an AV partner. A commercial relationship does not establish availability or exclusivity for all equipment supply.
| Document | Use in this guide | Limit |
|---|---|---|
| Meeting & Event Planning Guide linked by Marriott | Identity, level and Ryman Exhibit Hall table. | Confirm editorial revision and current drawing. |
| Encore brochure identified as 2024 | Background on rigging process, equipment and responsibilities. | Current contractual applicability is not established; prices are not adopted. |
| Earlier Property Quick Facts | Identify older Ryman C and unlimited-load references. | Do not assign current hall capacity from this sheet. |
A filename and access date do not establish an editorial revision. Retain the version accepted by the hotel and provider, with the space and event date.
Which floor loads require review?
The exhibit-level table in the linked guide publishes these references. Area loads alone do not authorize wheels, tower supports or aerial lifts.
| Area | Documentary reference | Project review |
|---|---|---|
| Ryman Exhibit Hall A | 1,000 lb/ft². | Identify the area, concentrated loads, distribution and route. |
| Ryman Exhibit Hall B | 1,000 lb/ft². | Operating weight, wheels, ballast and protection. |
| Ballrooms, foyers, meeting rooms and other levels | No floor capacity verified in the reviewed sections. | Request area and support limits; do not extrapolate from Ryman. |
Do not automatically map older A, B or C names onto current areas. Submit full weight, footprint and route for venue confirmation of area and use. An older unlimited-load reference does not mean infinite strength or acceptance of a machine.
How should rigging be handled without assuming an older brochure is current?
The brochure identified as 2024 describes Encore as exclusive for rigging, motors, hardware, flown and ground-supported truss, signs and rigging lifts. Before contracting, ask the hotel and Encore to confirm the current scope and any outside-provider exception in writing.
That document mentions 1,000 lb points in many ballrooms and exhibit areas but refers to CAD for each point’s location and rating. Do not use it as a universal WLL or available project capacity. Identified points, combined loads, forces and design acceptance remain unresolved.
What should be submitted for rigging review?
The dated brochure requests at least 21 days’ notice and a scaled plan showing all flown items and points. This is a reference from that edition, not a confirmed current deadline: agree on the actual schedule and correction allowance with the responsible parties.
As technical preparation, assemble equipment, truss, motor and cable weights, working height, supports and installation sequence. The brochure makes changes and added weight subject to Encore supervision; request the current procedure before modifying the system. No design has been submitted or accepted.
How should AV, power and networking be confirmed?
The current page describes Encore AV services and hotel technology coordination. It does not establish general AV, electrical or internet exclusivity here. Confirm the contract, connections, labor, integration charges and included or outside equipment.
Submit demand, voltage, phases, connectors, distribution and schedules; request circuits actually available. For streaming and control, define the link, contracted capacity, local network and recovery testing. A reference to internet or room services does not establish a reservation.
How should access and receiving be organized?
The website describes dedicated docks and vehicle access to meeting spaces, but this does not assign a dock or establish clearance along your route. Agree on the door and dock, largest package, turns, ramps, freight elevator, operating weight and floor protection.
The hotel also describes FedEx Office and parcel receiving with handling fees. Separate parcels from production freight: agree on the consignee, schedule, unloading, custody, storage and pickup with the hotel, organizer and contractor. No shipment or receiving arrangement has been confirmed.
What remains unresolved for effects and operation?
The reviewed sections do not establish current authorization for haze, fog, pyrotechnics, cold sparks or lasers. Describe the effect and request its classification, hotel review, authority involvement and rehearsal and operating conditions. Do not infer permission from another Gaylord or an organizer’s manual.
For lifts and ground-supported truss, confirm operators, tires, protection and storage. The older brochure sets lift conditions and rigging supervision requirements; these do not replace current acceptance of the floor, route and equipment.
What should be settled before move-in?
Retain current room and point plans, accepted naming, floor and suspension loads, labor responsibilities, connections and freight routes. Hotel acceptance, provider review, authority permits and organizer obligations are separate steps.
This guide prepares a documented discussion; it is not structural engineering, a permit, a reservation or evidence of work performed by GLMedia. Full technical completion is not confirmed.
Frequently asked questions
Is Ryman Exhibit Hall the same as Ryman Auditorium?
No. The Marriott guide places Ryman Exhibit Hall within the convention center and presents Ryman Auditorium as an off-property venue. Confirm the contracted address and space.
Does the older brochure establish that 1,000 lb points are available today?
No. It is a dated reference that directs readers to each space’s CAD. Request point identification, individual and aggregate limits, forces and installation acceptance.
Can the older unlimited-load reference for Ryman C apply to any hall?
No. The currently linked guide uses a different table and lists 1,000 lb/ft² for Ryman A and B. Confirm naming, area and loading conditions; do not extrapolate the older sheet.
