GWCC Atlanta: rigging, plans and laser documentation

Georgia World Congress Center is at 285 Andrew Young International Boulevard NW in Atlanta, Georgia. GWCCA is the state authority managing the complex. Identify the building and room before budgeting a display or structure.

Which deadline applies to an exhibition plan?

The timeline requests general plans 90 days, preliminary production 60 days and final details 30 days before first move-in. The safety Floor Plans section sets a 60-day deadline; the process explanation distinguishes direct State Fire Marshal submission at 90 days from submission to the Event Services Representative at least 30 days ahead.

Submit early and obtain written confirmation of the applicable route and deadline. Do not use the 30-day period to disregard the safety section’s 60 days. Mark exits, storage, booths, vehicles, drapes and public areas; hold the new version until the relevant review is obtained.

Can the same floor-supported LED setup be used in any building?

Exhibit floors in Buildings A and B allow a uniform live load of 350 lb/ft²; Building C and BC Hall allow 400 lb/ft². These are distributed floor ratings, not roof WLLs or individual wheel loads. Review combined equipment and displays, bases, supports and route with engineering.

Drilling and anchoring are prohibited throughout the campus, including outdoors. Steel plates mentioned in the guide do not authorize floor drilling. Obtain a reviewed base solution after changing distribution or ballast.

Who reviews rigging, power and effects?

The rigging plan must state point loads, positions, attachment method, location and date; GWCC engineering, in-house AV and an outside engineer if needed review it. The guide reserves production rigging in ballrooms and Exhibit Hall to the in-house provider; the list names ONSITE AUDIO VISUAL for ballrooms, exhibit-hall general sessions and house sound. Confirm the contractual scope for your space.

Edlen provides exclusive electrical and utility services. For haze, send specifications and operating times at least 30 days ahead: Facility Management preapproval, water-based fluid and original containers are required. Lasers and pyrotechnics follow separate approvals; rigging approval does not authorize effects or alarm changes.

Which documents distinguish an authorized laser show from a submitted application?

For a laser show, request system identification and type, location, wavelength and maximum continuous power; for a pulsed system, energy per pulse, duration and maximum repetition rate. Georgia Rule 111-8-91-.02 requires these for written Department of Community Health registration. Check that they match the equipment arriving, not just the rental company.

State registration does not replace GWCC approval. Its Event Planning Guide requires DCH approval for lasers; provide relevant documentation to Event Services and confirm the process for the actual use. The guide’s X-ray form link does not by itself establish coverage for a laser show: confirm the current specific form rather than completing another equipment type’s fields by analogy.

For Class IIIb or IV, FDA distinguishes the projector Product Report, Form 3632, from the Show Report, Form 3640, and variance application, Form 3147. Documents depend on role: a producer using a certified projector with an existing Product Report does not become its manufacturer through that use alone, but must address the show’s Show Report and variance. Verify the FDA approval letter, its conditions and scope before operation; receipt of documents is not approval. FDA considers the producer a manufacturer of the show, distinct from the projector manufacturer.

Compare equipment, configuration and plans across registration, FDA letter and venue approval. After changing projector, power, location or show, hold the revised emission until any required update or amendment is confirmed. Keep a version without the effect as backup; do not adjust a system to exceed a permit restriction.

Frequently asked questions

Will GWCCA receive the display truck directly?

Its receiving warehouse does not accept event freight or store crates. Coordinate with the General Service Contractor; direct shipments must identify event, exhibitor and booth. Do not dispatch using only the postal address.

When is insurance due?

The guide requires an occurrence-based liability certificate at least 45 days before the license period, with minimums of USD 1 million per person and USD 3 million per occurrence. Confirm additional insured parties and coverage against the contract.

Can the setup change after the plan is finalized?

Final specifications are requested 30 days ahead and layouts are considered final 21 days before first move-in. Submit revisions to Event Services and affected reviewers; fees and new approvals may apply. Keep the prior plan identified to recover a scope that remains authorized.

Does Georgia require laser registration 30 days before the event?

Rule 111-8-91-.02 addresses registration within 30 days after acquisition, not a 30-day pre-show deadline. Do not use that date as operating authorization: resolve registration, FDA conditions and GWCC approval before emission.

Does the transit exemption cover a temporary installation?

Rule 111-8-91-.05 addresses systems that cannot be energized or are in transit. Do not interpret it as an exemption for an operating temporary installation. Confirm registration applicable to equipment operating in Georgia.
