Loews Miami Beach: divided ballrooms, LED, sound and rigging
Before sizing the stage, LED wall and sound for a conference or show at Loews Miami Beach Hotel, identify the full ballroom or the contracted divisions. Americana and Poinciana are on the second level, but their heights, areas and capacities differ.
How do Americana, Poinciana and their divisions differ?
The hotel is at 1601 Collins Avenue, City of Miami Beach, Miami-Dade County, Florida 33139. Identify the date, level and each division in the technical order as well; this is neither City of Miami nor Loews Coral Gables.
The plan linked by the hotel distinguishes the following divisions. Rows with two numbers describe each individual salon, not both combined. These are planning dimensions, not a guaranteed rectangle clear of doors, columns, decoration or building systems.
| Space | Published dimensions | Area | Ceiling |
|---|---|---|---|
| Americana — 1+2+3+4 | 230 × 120 ft | 27600 ft² | 22 ft |
| Americana — 1 / 2 | 80 × 60 ft | 4800 ft² | 22 ft |
| Americana — 3 | 130 × 75 ft | 9750 ft² | 22 ft |
| Americana — 4 | 115 × 65 ft | 7475 ft² | 22 ft |
| Poinciana — 1+2+3+4 | 114 × 55 ft | 6270 ft² | 12 ft |
| Poinciana — 1 / 4 | 55 × 25 ft | 1375 ft² | 12 ft |
| Poinciana — 2 / 3 | 55 × 27 ft | 1485 ft² | 12 ft |
Americana Salon 3 and Salon 4 have different areas from Salon 1 or Salon 2. Do not divide the full ballroom into equal parts. Confirm usable dimensions and partition positions on the accepted plan; the printed metric conversion for the full Poinciana room does not match its dimensions in feet.
How many guests fit after adding the stage, LED wall and control position?
The hotel capacity chart distinguishes classroom, theater, reception and banquet layouts. These figures are references for the full room; the PDF states that maximum layouts exclude AV and other requirements.
| Full room | Classroom | Theater | Reception | Banquet |
|---|---|---|---|---|
| Americana — 1+2+3+4 | 1500 | 2500 | 2630 | 1530 |
| Poinciana — 1+2+3+4 | 400 | 640 | 500 | 400 |
Do not use the general maximum-capacity label as occupancy for every layout: Poinciana lists 500 for reception and 640 for theater. Submit a plan showing the stage, LED supports and ballast, FOH, cameras, aisles and accessible positions. The required outcome is an accepted occupancy for that layout, not an estimated subtraction of chairs.
Americana Foyer and Gallery, Poinciana Foyer and the New Yorker and Sands rooms are separate spaces. If control is outside the ballroom, confirm its booking, circulation and cable route; do not automatically add these areas to the ballroom footprint.
How can I check audio and video in rooms operating simultaneously?
The hotel identifies Encore Event Technology Services as its in-house AV provider. This alone does not define exclusivity, patch fees or who may operate each installation. Agree the hotel, in-house provider and outside production scopes in writing before connecting.
With the authorized operator, prepare a source-to-destination map for each division: microphone or playback, input, mix, loudspeakers, screen and recording if requested. Check at low signal level, one source at a time, with partitions in their planned positions. Observe both the destination room and adjoining rooms.
If audio appears at the wrong output, check zone assignment, output and connection. If it is heard only through the partition rather than through the neighboring system, check acoustic isolation and operating level. An image on the neighboring screen calls for checking video assignment; it does not demonstrate a partition failure.
Save the accepted patch and a playback sample. If a change breaks separation, stop that source and restore the agreed patch with the operator. Without models and the room file, do not prescribe menus, network or clock changes, or scene loading.
Do ceilings of 22 ft or 12 ft allow a suspended LED wall?
No. These figures describe the ceilings of Americana and Poinciana, respectively. Usable height also depends on the approved point, hoist, slings, truss, fixtures, sprinklers and screen bottom position. Do not treat partition tracks, fixtures or decorative elements as structural attachment points.
Before suspension, submit location, total weight—including hoists, cables and accessories—point loads, geometry, suspension method and the required structural documentation. Obtain a point plan with authorized loads and responsibility for installation, inspection and removal. The available commercial plans do not publish that capacity.
For ground-supported LED, provide footprint, height, support reactions, ballast and floor protection; floor support does not remove stability or concentrated-load review. If data is missing, keep that design pending rather than replacing it with an improvised support.
For power, prepare a per-device and per-circuit list with demand, voltage, phases, connectors and location. Confirm distribution, protection, routing, connection and authorized personnel. Listing outlets in a room description does not establish electrical capacity for the project’s LED, sound or lighting.
How do I plan second-level load-in and an indoor fallback?
Confirm technical access, door sizes, case turns, service-elevator car and load capacity, working hours and holding space. The plan shows elevators and escalators for orientation; it does not establish an approved load-in route or capacity for hoists, structures or flight cases.
The hotel states that oversized vehicles cannot park or stage in the circle drive; valet also does not accept trailers. Do not treat the guest entrance as a loading dock. Coordinate vehicle, time slot and technical route; the Business Center and parcel service are not equivalent to production freight handling.
Americana Lawn and St. Moritz Lawn are outdoor spaces distinct from the ballrooms. If weather may force the event indoors, prepare a separate accepted layout, occupancy, power and sound system. Check that equipment fits and can operate within the indoor height; do not automatically retain outdoor rigging or ballast arrangements.
Which approvals are separate, and what happens if the layout changes?
In Miami Beach, a customary permitted hotel use does not automatically require a Special Event Permit. The city distinguishes it from special events that change the authorized use or require structures, permits or city services. Classify the project before setting the schedule; for special events on private property, the municipal guide’s main text distinguishes 30 or 60 days according to scope. This is not a guaranteed hotel approval period.
| Type | What must be defined |
|---|---|
| Authority / permit | Applicability of Special Events, Building and Fire; corresponding plans and reviews. |
| Venue | Accepted divisions, layout occupancy, access, loads, power, effects and hours. |
| Organizer | Program, equipment and event-specific conditions; does not replace venue or authority approval. |
| Contract / service | Provider, personnel, applicable exclusivities, insurance, current costs, shifts and surcharges. |
| Technical check | Signal-route and playback checks; a rollback plan is not a permit. |
Fire Prevention publishes separate procedures for haze, flame effects, pyrotechnics and fireworks. This does not establish hotel acceptance. For lasers, define model, class, beam path and intended exposure before determining applicable authorizations; authorization must cover the Loews project. Keep detection active and an effects-free alternative until review is complete.
For a project subject to Special Events with an approved site plan, the city requires prior written consent to alter it. Identify the new revision and each change in point, weight, height, support, power, effect or audience layout; pause only the affected work until accepted. Keep previous plans and patches to restore the last accepted configuration.
Frequently asked questions
Can I use reception capacity for a conference with a stage?
No. Define the layout and submit a plan showing stage, LED, control, cameras, circulation and accessibility. Published maxima exclude AV and do not establish project occupancy.
Is Americana Salon 3 the same as Salon 1?
No. The plan lists 9750 ft² for Salon 3 and 4800 ft² for Salon 1. Design for the contracted division; do not divide the total area into equal parts.
Is Poinciana as high as Americana?
No. Poinciana lists 12 ft and Americana 22 ft. These are ceiling heights, not guaranteed clearances or rated rigging-point capacities.
Does in-house Encore mean every service is exclusive?
The hotel identifies its in-house AV provider but does not publish a complete contractual scope of exclusivities. Confirm patching, rigging, power, personnel and current charges before contracting or connecting.
Is audio reaching the next room always a patch problem?
No. Check whether it comes from the neighboring system or physically through the partition. The first result points toward zone, output or connection; the second toward isolation and level. Check with the authorized operator and restore the accepted patch if a change fails.
Can I add haze or move a point after plan approval?
Review the change with the hotel and applicable authorities. Haze has a specific Fire Prevention procedure; an approved municipal site plan cannot be altered without prior written consent. Keep an effects-free alternative and the accepted configuration.
