JW Marriott Miami Turnberry: rigging plans, providers and permits
For a screen or lighting system at JW Marriott Miami Turnberry Resort & Spa, first identify the contracted room and layout. The rigging request must match that space and the actual setup, including cables and accessories.
Which room and jurisdiction apply to the setup?
The hotel is at 19999 West Country Club Drive, Aventura, FL 33180, in Miami-Dade County. “Miami” in the trading name does not place it in the City of Miami. Marriott identifies Majestic, King and Royal Ballroom, other rooms and outdoor spaces: do not transfer points, heights, loads or authorizations between them.
Record the full room or contracted divisions, date, setup, testing, show and strike. Overlay stage, screen, truss, tables, audience, control and circulation on one revision. If the room changes or a partition opens, recheck geometry, points, power and egress before reusing the design.
Which files and loads does the rigging request require?
The hotel-specific form requires a separate request and CAD files for each location. Prepare .dwg or .vwx inside a .zip up to 100 MB. Include event and room identification, dates, reference points, truss trim heights, all suspended items and a motor matrix with loads in lbs, including motor and chain.
The linked Rigging Standards call for submission at least 21 days before load-in; shorter notice may incur additional charges. The published sequence is diagram review, approval, then an estimate for review and signature. Allow time for corrections; this timing does not guarantee acceptance or availability.
Before submission, compare inventory and drawing: screens, speakers, fixtures, scenic elements, signs, effects and cable picks must be represented. If an item is missing or its weight changed, update the revision rather than retaining an earlier load.
| Item | What to check | What it resolves |
|---|---|---|
| Location and revision | Room, divisions, points and dates match the contract. | Avoid applying acceptance to another space or version. |
| Point loads | Complete weight and calculated reactions; motor and chain included. | Review the design against each point’s capacity. |
| CAD file | Geometry, heights and inventory in the correct package. | Distinguish an incomplete drawing from a configuration awaiting approval. |
Who connects to the roof, operates motors and may change a load?
The standards reserve connections to the venue’s rigging structures and operation of chain hoists and controls for Pinnacle Live. They also state that equipment exclusivity varies by venue. Obtain the written scope for this room: provider presence is not a universal ban on outside AV, and does not mean any outside equipment is accepted.
Once truss is at trim, no production elements or loads may be added without approval and presence of a Pinnacle rigging representative. A cable, fixture or replacement screen component also changes weight. Keep the intervention pending, submit a revision and establish which configuration remains accepted.
The standard sets a minimum of two riggers and leaves final crew size to the provider. It requires a scissor lift for rigging calls, clean equipment and non-marking tires; a Pinnacle-owned lift requires a certified operator. Confirm equipment, crew, duties, hours and costs before load-in, without inferring an undocumented union rule.
Which limits affect dead hangs, airwalls, banners and cables?
Pinnacle prohibits airwall rigging. It also does not dead hang items over 75 lbs or over 10 ft long using a scissor lift: chain hoists or crank towers are required for that method. The threshold does not automatically authorize smaller items or define roof capacity; point, method and load still require review.
For décor and banners, submit construction, material and attachment method. That section requires suspension-rated hardware, a minimum 5:1 safety factor and general hardware Grade 5 or better. This does not by itself determine the assembly’s allowable load: compare manufacturer data, orientation and every component with the accepted design.
The standards require a cable bridge truss where the venue prohibits cable picks or bundles exceed four Socapex or similar multicables. Establish cable routes, weights and supports before calculating reactions. Do not add a pick at an approved location without reviewing load and method.
What remains to confirm for floor equipment, power and unloading?
Obtain floor capacity and protection for bases, ballast, wheels and lifts, plus doors, dock, route, schedule and case storage. Room dimensions do not establish concentrated load capacity. Keep the layout pending or prepare another verifiable configuration if those details are unconfirmed.
For power, submit models, voltage, frequency, consumption and connectors and obtain authorized supply point, distribution and connection responsibility. Service pages do not confirm available event capacity or exclusivity over all electrical services. Do not borrow supply values from another hotel or theater. Agree patch, interfaces and responsibilities before connecting to installed audio or control systems.
| System | Check to perform | Next step |
|---|---|---|
| Floor-supported structure or equipment | Reactions, wheels, ballast, protection and route with the hotel. | Keep the system pending if compatibility cannot be verified. |
| Power and distribution | Exact equipment versus available voltage, connection and load. | Correct the supply with the responsible party before energizing. |
| Installed audio and control | Agreed patch, interface and operator for the event. | Compare expected input and output; preserve the previous state before authorized changes. |
Does rigging approval authorize effects and the rest of the event?
Separate hotel, organizer, technical provider and authorities. Aventura publishes a Special Event Authorization — Non-Public Property Request form revised 22/02/2024. If your activity requires that process, the form requests a site plan and states that fireworks and banners are not allowed. Confirm its application to the event and proposed signage before contracting; rigging acceptance does not remove that municipal condition.
For haze, smoke, lasers, flame or pyrotechnics, submit equipment, model, class where relevant, product/SDS, position and sequence. Agree hotel acceptance and the applicable route with Aventura and Miami-Dade Fire Rescue for the project. The municipality provides for other-agency review in applicable permits. Available equipment or a rigging estimate is not authorization; without acceptance, prepare the program without the effect and keep detection active.
Obtain a dated quote and insurance conditions separating rigging, CAD review, motors, lifts, crew, power and services. The linked standards retain PDF version 30/01/2023: compare their conditions with the current event scope. Resubmit affected parts after design changes and revert to the prior state only if it remains authorized.
This worksheet prepares the hotel project; it does not establish a reservation, loads, occupancy, connection, accepted insurance or issued permits.
| Type | Document or acceptance | Limit |
|---|---|---|
| Authority | Applicable process and decision from Aventura and competent agencies. | Reservation or rigging acceptance does not replace them. |
| Hotel | Contract, room, access and event conditions. | Another room’s condition does not automatically apply. |
| Organizer | Program, layout and changes for that production. | Does not determine structural capacity or grant permits. |
| Provider / contract | Quoted rigging, equipment, operation and services. | Does not presume exclusivity over all AV or power. |
| Technical check | Plans, calculations and manuals for the exact system. | Preparation and checks to perform, not tests already completed. |
Frequently asked questions
Is a PDF drawing enough?
The rigging form requires .dwg or .vwx in a .zip up to 100 MB, with a separate request and CAD for each location. Confirm package and revision acceptance; sending a file does not approve the design.
Does submission 21 days ahead guarantee rigging approval?
No. It is the published minimum lead time before load-in; shorter notice may incur extra charges. The diagram must still be reviewed and approved, followed by the estimate and its conditions.
Can I hire an outside audiovisual provider?
Confirm the room’s contractual scope. Pinnacle reserves structural connections and motor/control operation, but its standards state that equipment exclusivity varies by venue. This is neither universal outside AV permission nor a ban on every outside provider.
Can I add a fixture once the truss is at trim?
Not without approval and presence of a Pinnacle rigging representative. Update weight, position and revision; if the change is not accepted, retain only the configuration that remains approved.
Can an item under 75 lbs hang from an airwall?
No. The standards prohibit airwall rigging. The 75 lbs or 10 ft limit concerns the scissor-lift dead-hang method; it does not authorize a point or establish partition capacity.
Does rigging acceptance authorize haze, lasers and banners?
No. Submit each system to the hotel and relevant authority. If municipal non-public-property authorization applies, its 22/02/2024 form states that fireworks and banners are not allowed. Confirm the scope before contracting the effect or signage.
