Events at M-DCPS schools: rental, access and audiovisual setup

For a show in an auditorium, gym or outdoor area at Miami-Dade County Public Schools (M-DCPS), identify the building, areas and access hours before committing to a setup. Facility rental and technical approval require separate checks.

Is this an M-DCPS school, and which space will be used?

M-DCPS is the K–12 public school district for Miami-Dade County. Miami Dade College (MDC) is a separate institution: its theater and campus conditions do not carry over to a school. Do not apply this process to private schools, another district or a charter school without confirming who manages and authorizes the space.

Record the name, address, municipality or unincorporated area, building and room. A postal address containing “Miami” does not identify the competent authority on its own. Ask the district which facilities, fire safety and permit approval process applies to the project; do not automatically assign every application to the City of Miami.

Miami Beach Senior High’s facility-use page directs applicants to the district Facilitron portal and requests a COI and FM-6994. It supports preparation of that administrative process; it does not provide roof loads, occupancy for a layout, available circuits or effects authorization.

What should you confirm for the Miami Beach Senior High auditorium?

Miami Beach Senior High School is at 2231 Prairie Avenue, Miami Beach, FL 33139, in Miami-Dade. It is an M-DCPS school. It is not North Miami Beach Senior High, Miami Senior High or a Miami Beach Convention Center space.

Agree with the technical lead which auditorium equipment may be used and who operates it. Stage Crew’s school lighting, sound and scenery work does not establish a rental inventory, staffing for outside events or authorization to operate machinery.

Request a technical access route with a door, schedule and opening contact. Separate deliveries and carts from student circulation. Confirm temporary storage, dressing rooms, restrooms, air conditioning, parking and security; none is assumed included merely because the auditorium is booked.

District / institutionEligible use, agreement, insurance and permission to occupy.
Auditorium / siteRoom, schedule, occupancy, access, included equipment and technical lead.
Authority having jurisdictionApplicable safety reviews or permits; do not infer them from the school booking.
OrganizerProgram, attendees, vendors and requested scope.
Contract / exclusive servicesConfirm required, included or exclusive services, responsible parties and costs.
Technical recommendationPrepare a layout, loads and tests for review; these are not certified auditorium capacities.

When can the crew enter to unload and set up?

Compare the Facilitron request with the executed agreement and final use notification. The district terms on the portal distinguish school approval from district processing and occupancy confirmation. If you only have initial approval, keep technical access pending.

Include unloading, setup, testing, doors, show, dismantling and removal in the requested hours. Check the stage, storage, dressing rooms, access corridors and parking separately. If the agreement covers only the show or a single room, obtain an amendment before occupying additional areas.

The portal terms generally allow custodial overtime to extend half an hour before and after the rental. That staff time does not constitute a free setup window. Confirm access hours, building opening, custodial coverage, security and additional charges in the event agreement.

What should you check in the COI and crew access requirements?

Obtain event and contractor requirements from district facility rentals and Risk and Benefits Management. Check the legal entity, covered activities, dates from setup through removal, limits, additional insured and certificate holder. The portal terms require the School Board to be identified as both additional insured and certificate holder; these are different roles.

The documents have different scopes: Facilitron terms state general liability of at least USD 300000 per occurrence; the sample COI linked by the school shows USD 1000000 per occurrence and 2022–2023 policy periods. Do not treat the sample as current coverage or the lower figure as acceptance of your event. Obtain written confirmation of coverages and limits before issuing or amending the certificate.

The school links affidavit FM-6994, marked edition 06-06. It does not replace verification of the current crew access requirements. State whether students will be present during unloading, setup or removal, and obtain the procedure and credentials applicable to each task. Do not attest to checks that have not been substantiated.

Can you suspend a screen or use a ground-supported structure?

Prepare a plan showing position, dimensions, bottom height, total screen, truss, motor and accessory weight, and calculated reactions at each suspension point or support. Obtain building documentation and design acceptance: a photograph of a batten, beam or basketball hoop cannot establish capacity or permission to use it.

For a ground-supported system, check floor reactions, support type, surface protection, ballast and assembly route against the exact system documentation. If allowable loads, approved points or calculations are missing, keep that configuration pending; do not borrow values from another gym or theater.

Identify who may alter or operate the installed stage machinery and how it must be returned. Record the initial position and avoid changing battens, counterweights or controls until the system manual and authorized personnel are available.

Suspended screen or trussComplete weight, geometry, points and reactions; support documentation.Design acceptance and assignment of installation, operation and inspection.
Ground-supported structureReactions, supports, ballast, protection and clear routes.Floor and layout compatibility with the proposed design.

What remains to check for power, haze, lasers and evacuation?

List each unit’s model, voltage, frequency, consumption and connectors. Obtain circuit identification, available capacity and responsibility for connections and temporary distribution. The number of visible outlets does not reveal whether they share a circuit. Without that information, reduce the scope or keep the system disconnected until an accepted distribution plan is available.

Submit haze, smoke, lasers, pyrotechnics and other effects as separate systems. Identify the unit and model, location and effect path; include an SDS where applicable. Ask the district which authority and process apply. Rental acceptance does not establish effects approvals, registration or permits. If an effect is not approved, prepare a version of the show without it; do not disable alarms or detection.

Compare the final layout with exits, aisles, doors, accessibility and the authorized occupancy for that arrangement. If a tower, cable or seating row obstructs a route, revise the layout and resubmit the affected plan before doors open. Do not infer occupancy from seat count or open floor area.

How should you finalize costs, cancel or change an approved setup?

Obtain a dated quote separating rental, staff, cleaning, security, equipment operation, power and additional services. The portal terms include a nonrefundable USD 25 processing charge even when a request is canceled or declined. Do not extrapolate hourly rates from another school or an old form.

The cancellation policy in Facilitron’s district terms calls for cancellation through the platform at least 3 days before use to be eligible for a refund. Confirm your agreement’s conditions and retain the confirmation and response about charges and refunds. Eligibility does not guarantee a full refund. The portal text also contains postal payment instructions: confirm the current payment channel before sending money.

If dates, areas, attendance, height, weights, circuits, crew or effects change, identify the plan revision and obtain acceptance from each affected party. If a change is not accepted, revert to the previous configuration only if it still matches the authorization and actual site conditions.

This worksheet prepares the project scope; it does not grant access, load capacity, occupancy or effects permission. Those details must apply to the contracted school, space and configuration.

How should you finalize costs, cancel or change an approved setup?

Frequently asked questions

Does school approval allow the crew to start setting up?

Confirm the executed agreement and district final use notification, along with technical access hours. Initial approval and Facilitron availability do not establish permission to unload or occupy the building.

Can I apply Miami Dade College rules to an M-DCPS school?

No. They are different institutions. Identify the school, its administration and the contracted space before applying a rental process or technical specification.

What insurance limit should I request for the event?

Obtain written event requirements: Facilitron terms cite USD 300000 per occurrence, whereas the linked sample COI shows USD 1000000 and 2022–2023 periods. Neither establishes acceptance of your policy or event.

Does FM-6994 automatically authorize technical crew access?

No. The linked form, edition 06-06, is an affidavit; check the current procedure and credentials according to duties and student presence. It is not individual access approval.

Can I suspend a screen in the gym or put it on towers?

Obtain building point and load documentation for suspension, or verify reactions and floor compatibility for towers. Without documentation and design acceptance, neither configuration is authorized by the rental.

How do I cancel, and which charge may remain?

The district terms published in Facilitron specify cancellation through the platform at least 3 days ahead for refund eligibility, and a nonrefundable USD 25 charge even if declined. Check your agreement and retain the refund response.

Is Stage Crew included for my event?

That is not confirmed. Agree on staffing, supervision, tasks, hours and costs with the school; do not budget student availability as included labor.

Official documentation

The district terms and the COI and FM-6994 examples are not an auditorium technical manual. The sample COI contains 2022–2023 policy periods and the form is marked 06-06; confirm current event requirements. The Miami Beach Senior High case is in the City of Miami Beach: identify the authority applicable to the building and setup with the district. Inventory, occupancy, loads and vendor eligibility require confirmation for that room.
