Miami Beach Senior High: from a facility request to an auditorium setup

Before bringing an LED screen, sound system or lighting into a school, both the use of the space and the actual setup need approval. At Miami Beach Senior High, district rental processing, auditorium coordination and crew access are separate matters to resolve.

Identify the school, room and responsible parties

Miami Beach Senior High School is at 2231 Prairie Avenue, Miami Beach, FL 33139, in Miami-Dade. It is an M-DCPS school. It is not North Miami Beach Senior High, Miami Senior High or a Miami Beach Convention Center space.

The school documents an auditorium and a Stage Crew group involved in lighting, sound and scenery for school activities. This does not establish that the crew is included in an outside rental or that every commercial event is eligible. Confirm the activity type and room before quoting.

Request, approval and permission to enter

The school’s facility-use page directs applicants to M-DCPS and Facilitron. The process selects a location, room, dates and times and requires acceptance of district terms. Include setup, testing and removal in the request: audience hours do not describe the full occupancy period.

The published district terms distinguish the request, approved agreement, payment and notice that occupancy is allowed. Keep that confirmation. A pending portal status is not approval and does not replace the school’s review of the setup.

No auditorium rate or availability is confirmed in this guide. Request an itemized estimate for the room, custodial and opening services, security, technical staff, air conditioning, extra hours and equipment. Reconcile office names and payment methods in the linked terms with current Facility Rentals instructions; do not send payment to an old address copied from a document.

Insurance and crew access: confirm current requirements

The district terms linked from Facilitron specify USD 300,000 per occurrence for commercial general liability. The COI sample linked by the school marks USD 1,000,000 for that coverage and contains 2022–2023 policy dates. This does not establish that the lower limit is sufficient or that every sample coverage is required for every rental. Ask Facility Rentals and the insurance office which requirements apply to your activity, organization and vendors.

The school also links the Jessica Lunsford Affidavit, FM-6994 (06-06), for community-based organizations. It includes sworn background-screening statements and notarization. It is not an automatic crew access credential: confirm the form, screening, identification and supervision required for each person’s role and contact with students.

Auditorium: approve the system, not just the room

Agree with the technical lead which auditorium equipment may be used and who operates it. The Stage Crew description documents school production activity, not a rental inventory, staffing for outside events or authorization to operate machinery. Do not assign rigging or electrical work to students merely because they belong to the group.

These checks are recommendations for preparing the technical review. No load ratings, stage dimensions, available power or auditorium occupancy are stated here because they have not been confirmed for this room. Data from a gym or another school cannot replace them.

Rigging / suspended LEDPoint and load plan, structural documentation and authorized operator; do not finalize suspension without written acceptance.

Power and signalCircuits and demand by system, connectors, distribution and who connects; test audio and video with the agreed configuration.
Laser, haze, smoke or pyrotechnicsEligibility, effect documentation and approving authority; a booking does not authorize effects or changes to fire detection.

Load-in, students, audience and removal

Request a technical access route with a door, schedule and opening contact. Separate deliveries and carts from student circulation. Confirm temporary storage, dressing rooms, restrooms, air conditioning, parking and security; none is assumed included merely because the auditorium is booked.

Keep emergency access and accessible routes clear; review occupancy for the layout with the screen, control position and equipment, not just the seat count. Agree on sound levels and times with the school. No dB limit, union services, exclusive AV company or included staffing is confirmed here.

The removal plan should assign responsibility for cleanup, returning equipment and reviewing damage with the school. An outdoor setup or temporary structure needs a separate review: approval for an auditorium activity does not automatically cover courtyards, fields or parking lots.

Changes, cancellation and the final setup package

The cancellation terms published on the district portal require notice through Facilitron at least 3 days ahead to be eligible for a refund and identify a nonrefundable USD 25 processing fee, including cancellations or declined reservations. Confirm your agreement’s specific conditions; this is not a guarantee of a full refund.

Facilitron’s public guidance states that changes to an approved reservation require another approval. If the time, room, equipment or vendor changes, document the difference and confirm both reservation status and technical acceptance. Do not load in while a necessary change remains pending.

Collect the agreement, layout, accepted insurance, authorized personnel, schedule and planned tests in one dated version. The downloadable worksheet helps prepare that information; it does not book the school, apply for permits or send data. Resolve outstanding technical limits before setup.

Frequently asked questions

Does insurance approve the setup?

No. Insurance is part of the facility-use documentation. Loads, power, effects, access and operation require the relevant acceptance.

Can I use technical data from another M-DCPS auditorium?

Not to establish loads, equipment, occupancy or access. District terms do not make all auditoriums technically equivalent.

Is Stage Crew included for my event?

That is not confirmed. Agree on staffing, supervision, tasks, hours and costs with the school; do not budget student availability as included labor.

What does GLMedia need for a proposal?

The exact school and room, date, program, attendance and approval status. You can inquire without knowing equipment models; identify what the auditorium provides and what each vendor must supply.
