New World Center: projection, AV production and rain backup

New World Center, home of New World Symphony, is at 500 17th Street, Miami Beach, Miami-Dade. Performance Hall, Truist Pavilion and Rooftop Garden have different layouts. SoundScape Park is an adjacent municipal park; renting a room does not include its use.

Choose the layout before adding stage and control positions

The rental chart lists capacities by room and layout. Use the row for seated audiences, receptions or conferences; do not combine maxima from different layouts. Draw stage, cameras, PA, screens, FOH, circulation and accessible routes on the plan to be accepted by the venue.

Performance Hall has retractable seating and immersive projection. If seating changes, recheck sightlines, camera positions and control areas. For Truist Pavilion, the chart distinguishes rear-projection theater from theater with or without a stage: request the applicable layout rather than treating the difference as spare equipment space.

Separate outside vendors from house equipment operation

The FAQ allows outside vendors subject to review, insurance and approval. It also restricts operation of venue-owned production equipment to authorized New World Center staff, with very limited exceptions. Agree in writing who installs, delivers signals, connects, operates and removes each system; room rental does not establish operating permission.

The venue describes itself as non-union while retaining staffing and operating conditions. Request staffing and specific exceptions for your event. An outside technician should hand sources and requirements to the assigned operator before changing a patch or controlling a building system.

Prepare content and check each signal destination

Request the content template, image zones, resolution, aspect ratio, frame rate, accepted formats and delivery deadline from the operator for the chosen layout. An immersive projection offering does not specify these parameters or establish that a flat-screen file works across every surface.

Separate outputs to the hall, other rooms, recording and streaming. Prepare a matrix of source, destination, associated audio, operator and backup. Save the accepted state before rehearsal; without identified models and versions, do not specify connectors, menus or commands. Perform checks with the authorized operator and no audience.

Submit LED, rigging and power as a specific project

The commercial description of installed systems does not assign rigging points or available loads for LED, truss, motors or signs. Submit full weight, proposed points, distribution, method and work access. Request the exact space plan and structural review before choosing attachments or lifting equipment.

For a floor-supported alternative, include bases, reactions, ballast, floor protection and circulation. For power, submit demand by device and request voltage, phases, circuits, protection, connectors, routes and authorized personnel. Neither capacity figures nor AV equipment establish floor capacity or spare power.

Confirm indoor backup before rooftop load-in

The FAQ requires confirmed indoor weather backup for every Rooftop Garden event, without exceptions. Confirm the space, layout, audience and systems available for that alternative. A room in the rental offering is not reserved as backup merely because it is in the same building.

Prepare outdoor and indoor signal and layout versions. Agree who decides to relocate, when outdoor setup stops, which equipment can move and which route will be used. Thresholds and procedures must match the venue and identified equipment; do not infer them from a weather forecast. If backup is not confirmed, redesign before shipping.

Separate SoundScape Park from the hall and indoor projection

According to the venue FAQ, SoundScape Park is owned and operated by City of Miami Beach. A reception, activation or use of that space requires City approval and permits. Identify park, facade, projected content, equipment and audience separately; indoor Hall projection does not grant use of the outdoor system.

For a Special Event, the municipal page requires a preliminary plan with the application and a final CAD plan no later than 30 days before the event. Include stage, loudspeaker orientation, power, generators, towers, access and circulation. An approved plan cannot be altered without prior written City consent; keep that review separate from venue approval.

The municipal FAQ includes staging, trussing and temporary electricity among setups requiring Building review, engineered drawings and a licensed contractor to obtain the permit. Confirm the scope applicable to the project; do not turn this into instructions for connecting existing installations. A Special Event Permit does not exempt noise requirements. Haze, smoke, pyrotechnics and lasers remain subject to specific acceptance and applicable authorizations; retain a design version without the effect.

Close load-in, insurance, timing and revisions by scope

The address and audience information do not define a dock or technical route. Request vendor access, doors, clearances, elevators, permitted weights, schedules and credentials for the actual cases. Include setup, rehearsal, room turns and load-out in the schedule; the FAQ says these times are determined by the event and included in the estimate.

Outside vendors must provide insurance certificates before working. Confirm coverage, acceptance and assigned staff; the TULIP option for certain smaller events does not establish automatic vendor coverage. There is no standard rate card: estimates depend on building and equipment use. Keep each plan revision and responses by area of responsibility.

Frequently asked questions

Can I use 978 places for a conference with stage and cameras?

978 refers to added floor seating; the chart lists 567 for conference. Submit the actual layout with stage, cameras, control and circulation and request its accepted capacity. Do not combine the maximum of one layout with another layout’s equipment.

Can an outside AV vendor operate New World Center consoles?

Vendor approval alone does not authorize operation of venue-owned equipment. The FAQ reserves it to authorized venue staff, with limited exceptions. Define the operator, signal handoff and approved scope before rehearsal.

Does immersive projection accept the same file as a flat screen?

Do not assume it does. Request template, zones, resolution and format from the operator for that layout. Check pattern and text at the intended destination; distinguish incorrect routing from cropping or geometry before changing the file.

Can I add an LED screen because the hall already has production systems?

Installed equipment does not establish spare rigging points, load or power. Submit weight, distribution, method and demand; request acceptance for the exact space. For floor support, also review reactions, ballast and circulation.

Can a Rooftop Garden event proceed without an alternative room?

The FAQ requires confirmed indoor backup for every rooftop event. Confirm layout, audience, systems and relocation sequence. If no backup is accepted, revise the design before shipping equipment.

Does New World Center rental include SoundScape Park and outdoor projection?

No. The park is municipal and requires City of Miami Beach approval and permits. Separately agree outdoor system use, content, operator, audience and equipment; the indoor booking does not resolve those authorizations.

Can I change the stage or truss after municipal plan approval?

The municipal page requires prior written consent to alter an approved plan. Submit an identified revision with affected loads, power and circulation and coordinate with the venue too. Keep the accepted configuration until the necessary reviews are received.

Official documentation

Capacities are references from the rental chart and space pages, not approval of a particular layout. Agree inventory, formats, loads, plans, insurance and conditions for your date. Municipal park review is separate from venue technical acceptance.
