Palmer Trinity: access, rental hours and event setup in Palmetto Bay

For a Palmer Trinity School event, first resolve which space is rented, where production enters and how much time remains for setup and removal. The published mailing address and main entrance differ.

Which address should transport use, and where can it unload?

Use the published main entrance to identify campus access, but agree the production gate, waiting area, route, unloading and parking with the school before dispatching vehicles. Both addresses are in Village of Palmetto Bay, Miami-Dade County; do not apply City of Miami procedures merely because the mailing address says Miami.

Mark the building and room, gate, cart route and equipment positions on the logistics plan. Check that width, height, turns and surface accommodate the planned equipment with venue authorization. If a route is unsuitable, stop that unloading and review another route or smaller equipment; do not occupy another entrance or neighboring room on your own.

Do published hours cover setup, the event and breakdown?

The website lists rentals Monday through Friday from 18:00 to 22:00 and weekends from 06:00 to 22:00. Availability and hours may change according to student needs. These windows do not confirm early vendor access or remaining after closing.

Build the schedule backward from space handover: removal and restoration, event finish, rehearsal, setup and unloading. Include entry checks for each shift. If everything does not fit the accepted window, reduce scope, change date or request different hours in writing; do not price an unagreed extension into the plan.

Which spaces and equipment are included in the rental?

Facilities List includes classrooms, Dance Studio, Fitness Center, Gymnasium, Lecture Hall, Library, Main Dining Room and Private Dining Room; outdoor options include baseball, soccer and softball fields and tennis courts. Obtain the exact space designation and layout before setting attendance, stage or AV positions.

The Theatre page describes performing arts activity and performances on and off campus; it is not a technical rental offer. A theater, studio or item of equipment shown in the school presentation is not included merely by appearing there. Rental pages publish no rider with models, layout capacities, rigging points, WLL, floor loads or available circuits.

Which spaces and equipment are included in the rental?
Selected areaWhat production still needsCheck to perform
Lecture Hall / classroomsRoom, layout, sightlines, included AV system and operationWith the authorized operator, test a known video source and a voice signal through the agreed path. Distinguish missing input from an incorrect output or selection. Restore the agreed input and settings afterward.
Gymnasium / Dance Studio / function roomsAudience and equipment footprint, floor protection and loads at each supportCompare the accepted plan and delivered equipment before assembly. Without accepted loads or assigned supply, leave that part of the installation unexecuted.
Outdoor fields and courtsArea, routes, surface protection, supply and weather planCheck where equipment and traffic are permitted. Define suspension conditions and shelter with the venue; a court booking provides no ballast calculation or authorization to suspend equipment from sports installations.

What does the team need for entry and contracting?

The school requires Business Registration with the State of Florida and a Certificate of Insurance before contract execution; it also requires a Waiver Release signed by all rental participants before the start date. Confirm contracting entity, insurance wording, waiver scope and responsibilities for each vendor. State registration alone does not establish a municipal license or event permit.

The published policy requires valid identification at the Security Guard Gate in the form of a Florida Driver’s License. If a crew member lacks that document, resolve accepted identification with the school beforehand; do not assume a passport or out-of-state license is already accepted. Coordinate staff and vehicle arrivals separately: presenting ID confirms neither an unloading route nor permission to operate venue systems.

What changes with a temporary stage or filming?

Rental acceptance and installation review are separate from authority permits. The municipal Special Event Application page requires a map with parking, amenities and traffic changes; depending on size and other factors, tents and stages may require an additional Building Permit. Its more-than-45-guests condition concerns private residential property: it is not an exemption threshold for this school.

The municipal website publishes a nonrefundable USD 75 processing fee, payable 30 calendar days before the start. This is a permit-process condition, not Palmer Trinity rent or a guaranteed approval timeline. Confirm applicability to the actual institutional event and the current amount with Planning & Zoning before budgeting.

For production photography, film or video, Film Permits & Guidelines says to start with Miami-Dade Office of Film and Entertainment; it notes that this first step does not apply to personal-use photography. For production on private property, it additionally requires a municipal Special Events application. Describe the actual activity: a school booking does not authorize filming, and not every personal photograph should be treated as a commercial production.

How should setup changes or cancellation be handled?

Before changing attendance, equipment position, structure, support, circuit or effect, mark the change on the accepted plan revision and request review of the affected scope. These pages publish no technical authorization for suspended LED, lasers, haze or pyrotechnics: retain an option without that element until the necessary documents and approvals are in place. Do not transfer rules from another school or municipal park.

The school policy publishes a refund for cancellation by email 14 days before rental. It does not specify the percentage, rescheduling, already contracted services or closer cancellation here: resolve these in the contract. During removal, check surfaces, your own materials and connection restoration with the venue; do not disconnect permanent infrastructure or restore settings without identifying the system and its responsible operator.

Scope record: confirmed entrance and unloading; room; access, rehearsal and removal times; plan and audience; equipment and loads; circuits; signals; permits and effects; entry documentation; changes and restoration. Unpublished capacities require exact-space documentation before installation.

Frequently asked questions

Can the truck be dispatched to 7900 SW 176 Street?

That is the mailing address. The school publishes its main entrance at 8001 SW 184 Street. Agree the production gate and route before dispatch: the main entrance also does not establish truck unloading permission.

Can setup begin before 18:00 on a weekday?

Published rental hours are 18:00–22:00; they do not confirm early vendor access. Agree unloading, rehearsal and breakdown within the accepted window in writing, or request another window before committing production.

Does rental include the theater or every audiovisual item on campus?

That cannot be inferred. Facilities List and Theatre activity have different scopes. Specify room, inventory, models, operator and signal checks; do not design rigging or power using another space’s data.

What if a technician has no Florida Driver’s License?

The published policy requires that document at the security entrance. Confirm an accepted alternative with the school for that crew member beforehand. Do not send the team assuming another ID is approved.

Does booking the school allow filming or a temporary stage?

It does not replace applicable reviews. Describe stage, audience and filming to determine municipal and Building procedures and the Miami-Dade Film Office process. The residential more-than-45-guests condition does not establish a school exemption.

Is the school’s 14-day period also the permit deadline?

No. It is the published email-cancellation condition. The municipal page publishes USD 75 processing, payable 30 calendar days before the event, and requires the applicable scope to be established. Confirm contract, permits and dates separately.
