Ransom Everglades: choosing a campus, room and audiovisual scope
Ransom Everglades School lists two campuses in Coconut Grove, Miami-Dade: Everglades Campus, 2045 South Bayshore Drive, and Ransom Campus, 3575 Main Highway. Both addresses are listed in the City of Miami in the county’s official address record. Identify campus, building and room before planning equipment or access routes.
Resolve room identity before preparing a layout or capacity plan
The directory places Lewis Family Auditorium on Ransom Campus and Swenson Hall Auditorium on Everglades Campus. Posner Lecture Hall and Defortuna Amphitheater are also listed on Ransom Campus. A map entry confirms neither availability for your event nor shared conditions with another space.
Ask for the use acceptance to identify name, address, space and event layout. Compare this with the request option and quote. If they do not match, correct the selection before fixing stage, audience or transportation plans; generic capacities do not replace the accepted capacity for your layout.
| Published reference | What it identifies | What remains to be confirmed |
|---|---|---|
| Everglades Campus: 2045 South Bayshore Drive | Swenson Hall; school entrance on Tigertail Ave. | Technical access, contracted room and load-in route. |
| Ransom Campus: 3575 Main Highway | Lewis Family Auditorium, Posner Lecture Hall and Defortuna Amphitheater. | Included space and event-specific conditions. |
| Request: Small lecture hall, 200; Large auditorium, 1,000 | The first option lists a screen, speakers and podium, no stage; the second, a full stage. | Name and campus for each option; do not assign these capacities to Lewis. |
Separate room rental from equipment and signal connections
The linked PDF has the metadata title “2024-2025 Rental Prices” with no printed revision date. Its amounts are references for that period, not a current quote. The Lewis Family Auditorium line shows USD 2,530 without a time unit: do not convert it into a daily or hourly rate. Request duration, included services, taxes and charges in the current contract.
For projection and sound, request the actual inventory, models, input formats, connectors, screen position and signal routes. Prepare a source-to-destination list. Before admitting an audience, check a pattern and low initial-level audio signal at each accepted destination; if another destination responds, review routing with the operator and restore the previous patch when appropriate.
The microphone count on the fee sheet confirms neither available channels, RF bands, coordinated frequencies nor assigned equipment. Without exact models and manuals, do not specify menus or connections. Save the accepted configuration before changing it.
| 2024-2025 PDF line | Published amount (USD) | Scope to resolve |
|---|---|---|
| Lewis Family Auditorium | 2,530 | Room duration and inclusions; no published time unit. |
| Basic Lighting Package / Moving Lighting Package | 120 / 1,040 | Equipment, positions, control and operation. |
| Haze Machine | 85 | Equipment, fluid, effect authorization and detection. |
| Follow Spots (2) | 235 | Position and operating crew. |
| Sound System / Wireless Mics (12) | 165 / 385 | Inputs, monitors, RF and actual assignment. |
| Digital Projection | 235 | Projector, surface, format and playback. |
| Grand Piano (includes tuning) | 235 | Instrument, tuning and accepted moves. |
| Acoustical Shells / Risers | 400 / 325 | Dimensions, layout, installation and loads. |
| Orchestra Pit/Pit Filler | 1,585 | Pit status, configuration and who may change it. |
| Dance Floor Use / Dance Floor Set-up Labor Fee | 235 / 10 | Use and installation billing unit; the PDF does not specify the latter. |
Do not infer hanging points or power from equipment packages
The linked sources provide no point plan, allowable loads, approved motors, usable stage dimensions or floor capacity for your project. Submit a plan, complete weights, proposed supports or points and installation method. Do not select a beam, batten or roof member from a photo or the presence of lighting.
A ground-supported LED screen also requires review of bases, reactions, ballast, surface protection and circulation. Request acceptance of the specific installation. If a point or support is not accepted, relocate or redesign the assembly and resubmit the plan; changing to ground support does not remove that review.
The PDF identifies no voltage, phases, available power, circuits or connectors. Separate power from control: provide equipment demand and request assigned circuits, protection, cable routes and authorized responsibility for connection, checks and removal. Do not connect before receiving that assignment.
Confirm crew and minimums without mixing staffing categories
Under Performing Arts, the PDF lists a Production Manager at USD 38/h and an Off-duty Police Officer at USD 60/h, each with a 4-hour minimum; Support Technicians at USD 38/h, with no minimum stated on that line. Parking calls for 3 personnel with a 4-hour minimum at USD 40/h per person; custodial staffing calls for 2 personnel with a 4-hour minimum at USD 40/h per person.
The Athletics/Aquatics section has different rates and conditions: do not transfer them to the auditorium. A Production Manager listing does not establish included sound, lighting, projection or rigging operators. Request duties, load-in, rehearsal, show and strike hours, and who may install, operate and inspect each system.
These sources confirm no exclusivity, union arrangement or technical training requirement. Have the current quote identify required staffing, who contracts it and what charges change if hours extend or the project changes.
Prepare the request, insurance and access without treating them as approval
The request generally calls for at least 2 weeks for large events and 1 week for smaller events, subject to availability. It requests dates, times, estimated people, purpose and resources. This interval guarantees no technical approval time, reservation or permit; include setup, checks and removal in the schedule submitted for acceptance.
For consideration, the request requires a Certificate of Insurance (COI) and a rental form. It states 50% of the total is due when submitting the contract and 50% within 1 business day of the final rental day. Confirm the current contract, coverages, endorsements and conditions before committing payments; that form publishes no insurance limits.
Campus access is by appointment only. The school entrance on Tigertail Ave. does not confirm a loading dock or truck access. Request the gate, route, clearances, unloading, credentials and authorized hours; compare package dimensions and weights before dispatch. School office hours do not define the production access window.
A listed haze machine does not authorize smoke, lasers or pyrotechnics
The Haze Machine line only identifies a priced item. Submit model, fluid, position, sequence and responsibility so venue conditions and authority requirements can be determined. The linked sources publish no authorization for haze, smoke, lasers or pyrotechnics.
Without effect acceptance and fire-protection coordination, prepare a version of the design without that effect. Do not interfere with detectors or safety systems. A permit or condition for an amphitheater, gym or outdoor event does not transfer to the auditorium.
Keep acceptances by scope and review project changes
Compare the response with room, audience, equipment, loads, power, effects, staffing and hours in your plan revision. An availability response does not resolve those items. If any change, submit an identified revision and preserve what was accepted; do not implement the modification until the affected scope is resolved.
Preparation worksheet: not a reservation, permit, structural calculation or installation approval. The institution must confirm the space and contract; competent authorities must determine filings and inspections applicable to the work.
| Requirement type | What to separate for this event |
|---|---|
| Authority | Jurisdiction, permits and inspections by address and system; not inferred from rental. |
| Institution and venue | Campus, room, capacity, access, loads, electricity and technical acceptance. |
| Organizer | Program, audience, content and event coordination. |
| Contract | Insurance, staffing, services, prices, duration and accepted changes. |
| Technical recommendation | Plan, electrical demand, signal list, checks and configuration backup. |
Frequently asked questions
Does Lewis Family Auditorium hold 1,000 people?
Do not assign that capacity to the room from these documents. The request lists 1,000 for an option named Large auditorium without a building name; the fee sheet names Lewis separately. Request the name, campus and layout with accepted event capacity before selecting the room.
Does USD 2,530 include a day of room rental and all equipment?
The 2024-2025 PDF provides no time unit for that line and prices equipment separately. Request a current quote with duration, inclusions, crew and charges. Do not cost it as a full day or add historical items into a current quotation.
Can I use the 12 wireless microphones and projection with my laptop?
Request the actual assignment, receivers, RF bands, audio inputs and video format/connector. Check audio and a pattern at the accepted destinations with the operator. If routing differs, correct it or restore the previous patch; a rental line does not establish compatibility.
Does the lighting package allow me to hang an LED screen?
It establishes no available points or loads for LED. Submit a plan, complete weight and distribution for venue review. Without acceptance, redesign the assembly; loads and circulation also need review for a ground-supported option.
Can I use haze because it appears on the fee sheet?
A rate does not authorize the effect. Prepare equipment, fluid, position and sequence for review of venue conditions and authority requirements. Without acceptance, retain a design without haze; do not alter detection or safety systems.
Do two weeks of notice and the COI confirm the booking?
No. The request generally calls for 2 weeks for large events and 1 week for smaller events, requires a COI and form, and states approval is subject to availability. Separate use acceptance, contract and technical review; request current insurance and scheduling conditions.
Can I change hours, campus or equipment after receiving availability?
Ask for acceptance to identify the room and scope; then submit a revision showing changes to hours, equipment, loads, power or effects. Keep responses by revision and leave the modified scope pending until the corresponding acceptance is received.
