The Venue in Wilton Manors: planning an AV setup
The Venue Fort Lauderdale is at 2345 Wilton Drive, Wilton Manors, Florida 33305, in Broward County. The business name does not determine the municipality. To prepare an AV proposal, first identify the ballroom and the areas included in the booking.
Crystal and Epic: resolve floor areas before drawing the layout
The venue’s own pages contain the differences below. They do not establish which areas each figure includes.
| Ballroom | Marketing headline | Detailed specifications |
|---|---|---|
| Crystal Ballroom | Over 18,000 ft² | 12,000 ft² |
| Epic Ballroom | Over 24,000 ft² | 10,000 ft² |
Do not average the figures or select the largest. Request a dimensioned plan identifying the ballroom, levels, balconies, ancillary rooms and shared areas. Floor area is not an occupancy limit: ask for the approved capacity of the layout with stage, tables, LED, cameras, control positions and circulation.
Use Wilton Manors as the municipality for this address. Any administrative inquiry should identify the property and the proposed work; do not automatically apply City of Fort Lauderdale procedures because of the venue’s name.

Coordinate in-house systems and additional equipment
The venue offers in-house production. Crystal advertises mapping, and Epic advertises sound, video and lighting systems. Public equipment lists are neither a reservation for your date nor evidence of an exclusive-service agreement.
| Event need | Recommended preparation | What still needs confirmation |
|---|---|---|
| Presentations, mapping or an additional LED screen | Define surfaces, content format, delivery resolution, positions and sightlines. | Booked system, available inputs, operator, rehearsal and backup copy. |
| Speech, music and live performance | Prepare an input list, microphones, monitors and required coverage. | Current inventory, patch, control access, sound limits and responsible crew. |
| Cameras, recording or streaming | Draw positions, routes, communications and signal delivery. | Recording permission, available connectivity, video distribution and responsibilities. |
Agree in writing what the venue and each supplier will provide. Ask whether outside operation is allowed, under what supervision and at what cost. Advertised in-house services do not establish that an outside supplier is either authorized or prohibited.

Rigging and power: inventory is not load capacity
The specifications mention aerialist points: 14 in Crystal and 2 in Epic. Those lists do not publish allowable loads or approval for LED, motors, trusses or speakers. Do not treat the count as available rigging points for an AV structure.
Before designing a suspended system, request a point plan, identification, permitted loads and combinations, structural documentation and the parties responsible for approval and installation. For ground-supported equipment, submit weight, dimensions, bases, ballast and protection; confirm concentrated loads and permitted locations.
Prepare an electrical list independently of advertised sound-system power: voltage, each device’s current, connectors, distribution and cable routes. Audio power does not establish available electrical service. Confirm circuits, protection and who may connect, test and disconnect.
Do not use existing lights, decorative chandeliers, railings or structures as anchors without specific documentation and approval. These are planning recommendations; the website supplies neither an engineered setup calculation nor evidence that GLMedia is an approved supplier.

Technical access, levels and schedules
To avoid redrawing the layout on arrival, check the route from the vehicle to each equipment position. Request door dimensions, steps, turns, elevators where applicable, load ratings and surface protection requirements. Public access or a room photo does not establish access for road cases or structures.
Allow separate time for delivery, setup, signal checks, rehearsal, the event, strike and pickup. Confirm simultaneous events, storage locations and who opens, escorts and receives deliveries. The reviewed pages guarantee neither a technical access schedule nor a loading dock.
Include accessibility and egress in the layout, including camera and control positions. Agree on sound levels, schedules and outdoor restrictions if outdoor areas are included in the contract. Do not transfer one ballroom’s conditions to the other.

Effects and approvals: establish who decides what
The specifications advertise atmospheric effects and confetti but do not publish an approval process for your event. Confirm the equipment, consumable, operator and operating conditions. Do not add haze, smoke, lasers or pyrotechnics by analogy with an installed effect.
| Type of condition | How to address it | Evidence to request |
|---|---|---|
| Law or authority permit | Determine the review applicable to the address and proposed setup. | Responsible authority, applicable process and approval or inspection where required. |
| Venue | Separate room rules, systems and building protection. | Current conditions and the person responsible for technical approval. |
| Organizer | Agree on the program, audience, access and each supplier’s scope. | Brief and layout accepted by the parties. |
| Contract or exclusive service | Confirm equipment, staff, insurance, required services and surcharges. | Proposal and contract for the date and ballroom. |
| Technical recommendation | Prepare equipment, test and contingency plans. | Design documentation; it does not replace any approval. |
Commercial agreement does not replace technical review or applicable permits. Do not disable detectors or alter a fire-protection system as a production workaround; any intervention belongs under the authorized procedure and personnel.

What to agree before dispatching equipment
Request the contracting entity, exact areas, inventory, rates, deposits, insurance, cancellation terms, schedules, staffing, cleaning and change costs. Identification in a food-service register establishes neither property ownership nor setup approval; confirm who signs and who authorizes the technical work.
Assign who prepares, transports, installs, connects, tests, operates, inspects and removes each system. GLMedia can propose equipment-only rental or preparation, installation and operation within an agreed scope. Overall event organization and venue services need their own responsible parties.
If the ballroom, layout, load, effect, supplier or schedule changes, send an identified revision and request confirmation of affected conditions, costs and approvals. This is a change-control recommendation; a venue-specific procedure has not been verified.
This guide does not establish previous GLMedia work at The Venue, a commercial relationship, a reservation or availability. Unpublished technical conditions remain to be confirmed.
Preparation worksheet: not a reservation, permit, structural calculation or venue authorization.

Frequently asked questions
Which floor area should I use to draw the event?
Use the current plan for the area being booked. Published figures differ and cannot by themselves establish usable floor area or occupancy for your layout.
Can the aerialist points support a screen?
Their description establishes neither capacity nor compatibility with the screen. Request structural documentation and approval for the specific loads and use before selecting points.
Can I bring GLMedia equipment or technicians?
This must be agreed with the venue. In-house production offerings alone do not define exclusivity, third-party access, supervision or costs. Separate supply, connection and operation.
Does the Fort Lauderdale name determine where to apply?
No. The address is in Wilton Manors, Broward. Identify the property and proposed work to confirm the responsible authority and applicable requirements.
