Vectorworks for events: venue DWG and PDF drawings and scale

Before placing stage and equipment on a drawing, check its dimensions and revision. This introductory Vectorworks guide helps you import references and prepare a plan another technician can review.

Before drawing the event: which drawing did you receive and how will you use it?

A hotel drawing provides a base for stage, screens, and technical positions, but its dimensions need checking first. Request revision date, units, and at least two known dimensions. Preserve the original and test import in a copy or separate file.

This guide uses Vectorworks 2026 documentation. Record edition, update, operating system, and received file type: menus and available functions may vary. Measure known sections in a copy before using the plan to position equipment.

We suggest defining the deliverable before starting: a plan to coordinate positions, a sheet for the crew, or a base for further design. That goal avoids resolving only appearance without checking dimensions.

FileName, format, revision, original path, and working copy location.
DimensionsUnits and two known distances in different directions.
SoftwareVectorworks: edition, year, update, and operating system.

DWG imports too small or too large: separate units from scale

If a DWG imports too small or too large, first check its import units against a known actual distance. Separate that physical size from the scale used to display it on a sheet.

The 2026 Help topic, Basic import options allows detected units, specifying units for unitless files, or manual unit selection. Record what was detected and confirm with the DWG sender. Changing document display units does not change objects’ physical size.

In Conversion → Model Space, scale determines how the import is displayed; Fit to page estimates a scale to fit the page. Fitting the sheet does not verify that a wall has the correct length.

We suggest importing into a test file first and measuring a section of known length. If it differs, record the measured value and import again using confirmed units. Change one option at a time. Do not enlarge everything by eye to resemble the venue PDF.

If actual dimensions match and the problem is paper or sheet layout, record that separately. A correctly dimensioned object and a poorly configured sheet need different reviews. If Advanced is disabled, record the format and dialog message before assuming a scale problem.

I have a venue PDF: how to adjust it using a known dimension

Use a known distance to adjust the PDF page, then measure another section. Work on a copy so you can restore the previous state if more objects are affected than intended.

Import PDF, 2026 Help is under File → Import. Each imported page becomes a separate PDF Page object. Select the page you want to adjust.

The section Matching the PDF scale to the drawing scale instructs: select the PDF, open Modify → Scale Objects, and choose Symmetric by Distance. Mark the two endpoints of a known distance in Current Distance; enter its actual length in New Distance.

Snap to Geometry can be enabled on import or in Object Info when the PDF contains vector geometry. An encrypted PDF does not allow snapping to geometry. A scanned image does not provide those vector vertices either.

We suggest checking a second length after adjustment, preferably in another direction. Calculated example: if a known 12 m section measures 6 m in the drawing, the uniform factor is 12/6 = 2. This is an example calculation, not a measurement performed on a GLMedia plan.

If the second section still differs, preserve both measurements and request a better reference. Do not distort width and height separately just to match two dimensions: it could alter the rest of the plan.

Scaling changed the entire drawing: review selection and scope

The Help topic Scaling objects, Vectorworks 2026 states that with no objects selected, Scale Objects scales objects on all layers. Entire drawing also affects all layers, including symbols and hatches. Before accepting, verify the selection and that global scope is not enabled if you only want to adjust the PDF.

We suggest testing in a copy and comparing two venue dimensions, an unselected object, and the deliverable sheet. Save the initial state. If everything already changed, review the earlier copy before applying a second scaling that may hide the first error.

The same manual distinguishes symbols from ordinary objects: Scale Objects does not directly scale a selected symbol except when editing it; instance scale is changed in Object Info. That does not replace checking import units.

What to check before sharing the production drawing

Use the blank drawing review worksheet. We suggest keeping the received reference, import copy, and working file with its revision. Record which dimensions you checked and which still need venue confirmation.

The 2026 Help allows referencing the original PDF to update pages when it changes; that function requires Design Suite. Before adopting it, confirm the available edition and how you will retain the reference file.

For the setup crew, we suggest showing revision, units, each view’s scale, and positions they need to set out. Check the exported sheet and a known dimension in the delivery file. Preserve the measurements and export settings actually checked; a legible sheet may still have the wrong scale.

Connect the plan with hotel and venue coordination, platforms and show organization and event lighting. With the plan and verified dimensions, we can review the scope of event technical production.

Multiple plans in one design: prepare cropped, scaled sheets

The Vectorworks 2026 Help on viewports separates the destination sheet, view scale, and visible layers and classes. A cropped view lets you show a design area on the sheet. The sheet properties state that sheet layers are always at 1:1; the plan scale is defined in its viewport. Do not reduce the stage’s actual geometry just to fit the paper.

Documented procedure for cropping, 2026 Help: activate the design layer and appropriate view, such as Top/Plan for a floor plan. Draw a 2D rectangle around the area you want to show and select that rectangle. Open View → Create Viewport and accept using it as the crop. The object must enclose an area; a single line will not work. Selecting equipment or walls does not replace that boundary.

In the dialog, select the sheet in Create on Layer and scale in Scale. Review Layers and Classes to include the information needed for setup. Do not enable everything by habit: other revisions or items outside that deliverable may appear. Also confirm the selected view. The cited menu names belong to the English 2026 Help; record the edition and update you use.

Suggested check, not performed: in a copy, prepare a sheet for a single plan. Check that dimensions, revision, and setting-out references are readable. Calculated example: an actual 5 m section would occupy 100 mm on paper at 1:50, with no other output scaling. Compare a second known length; a view appearing to fit does not establish correct dimensions. Keep geometry and units unchanged while adjusting presentation.

Common errors: confusing object selection with cropping, changing stage dimensions to fit the sheet, or choosing a scale by appearance. Tip for coordinating lighting and platforms: agree which layers and classes each recipient needs and record scale and revision on every sheet. Record the test in the sheet and export worksheet; first check the DWG units and connect the deliverable with GLMedia’s technical production.

PDF edges are clipped or output spans multiple pages: review paper, area, and range

If a PDF edge is missing or a sheet splits across multiple pages, compare crop, printable area, and paper size. Review those controls on the affected sheet before changing drawing scale.

The 2026 Help on the page boundary explains that only content inside the printable area is printed. That area’s size and selected paper determine the pages needed. Check whether content is missing because of viewport cropping or lies beyond the sheet boundary: these are separate checks.

On the affected sheet, open File → Page Setup and record Width, Height, units, Horizontal/Vertical count, and visible boundaries or breaks. Also review paper and orientation in Printer Setup. Its Scaling parameter can resize the entire drawing by percentage. If a print shop specifies paper unavailable on your printer, Page Setup allows another size; agree it with the recipient.

Do not set Horizontal and Vertical to 1 as a universal fix or shrink the title block before reviewing dimensions. We suggest comparing a correct sheet with the affected one: paper, orientation, area, crop, and viewport scale. Change one condition at a time in a copy. If the plan remains clipped, record the missing edge and where the difference appears in the process.

For export, File → Export → Export PDF, 2026 Help uses the current sheet and respects each viewport’s visibility. In Export Range, All Pages converts each Vectorworks page into a PDF page; Whole printable area as one page combines the printable area into one. Select according to the agreed deliverable: combining pages may produce a PDF with a different size from the recipient’s expected paper.

Suggested verification, not performed: export only the affected sheet and record range, PDF page count, and page size. Check that borders, dimensions, and title block appear. Agree output without additional scaling with the printer and measure a known section on a sample; record the print setting and measured value. Opening the PDF on screen does not by itself demonstrate the printed copy’s scale.

Tip for a conference or stage setup: name file and sheet with their revision, and provide scale along with the necessary dimensions. Record settings and result in the sheet and export worksheet. Connect the plan with venue coordination and platforms and heights within GLMedia’s technical production.

I replaced the DWG reference and the drawing went blank

First identify how the file was incorporated. The 2026 Help on DWG references distinguishes an object referenced through a viewport from layer import. In Design Suite, the default method uses a design layer viewport. The following controls apply to that path; do not apply them to a direct import assuming it also has a link to the original.

To check in a copy, preserve A, B, and the working file. In Tools → Organization → References, select the reference and open Edit. Review Source File and use Browse to point to B. Then select that reference and click Update. When updating a DWG, the manual documents a dialog to confirm or adjust the import; record its options before continuing.

If the view remains empty, select the viewport displaying the reference. In Object Info, review Layers and Classes: identify B’s layers and check visibility. For an unstyled view, or with these properties set by instance, those buttons allow visibility changes. If controlled by a style, the manual specifies editing those properties in the style; record that scope before changing a shared definition.

Pending check: find a recognizable change in revision B and measure two known sections. Also compare position, crop, and sheets showing that reference. List status does not replace looking at the content the setup crew will receive. If B appears displaced or at a different size, record the difference before moving or scaling it: that data still needs checking with the drawing sender.

Common errors: deleting the reference before recording its path, showing all layers as a workaround, or accepting the revision as verified just because a plan appears. Tip for an event with layout changes: record which element distinguishes A from B and who confirmed it. Use the reference worksheet, review units, and connect with GLMedia’s technical production.

Cannot select an external source: design layer before sheet layer

To reference an external file through a viewport, first select a design layer as destination. Then prepare the sheet layer viewport displaying that reference and check its presentation separately.

The official 2020 Help, Creating a referenced design layer viewport places that view on a design layer and allows choosing External Document under Select Source. Use the path matching the installed edition and version. The 2026 Help documents the path for Design Suite. First confirm year, edition, and destination layer type; English names help locate the function, not guarantee the label in another installation.

Pending test in a copy: with an edition supporting that path, open View → Create Viewport, select a design layer as destination, and open Select Source → External Document. Use an existing reference or select the external file. For references between Vectorworks files, the cited Help topics require the same software version at source and destination. Do not overwrite the original when preparing a compatible copy.

Review the file’s method in Organization → References → Settings. If it uses layer import, do not change the method just to enable a button: the creation manual warns that the change converts existing referenced layers into viewports. Record the initial state and evaluate effects in a copy before adopting it in a production document.

To deliver a sheet, then prepare a sheet layer viewport displaying the design layer containing the reference. That path lets you check the external link separately from paper presentation. Review visibility, crop, dimensions, and revision before exporting. The guide to sheets by area covers presentation; creating the sheet does not establish that the external file was updated.

Common errors: looking for External Document with a sheet layer as destination, mixing Vectorworks files from different versions, or changing the method in the only working file. Tip for handing the plan to another technician: draw source → design layer reference → sheet layer viewport → PDF, and record each deliverable’s revision. Complete the reference worksheet and connect the plan with venue coordination and GLMedia’s technical production.

The drawing asks me to find references every time it opens: recover the source file

The official 2026 Help defines Broken link as a source file Vectorworks cannot find. To recover it: Tools → Organization → References, select the affected reference, and click Update. The prompt lets you locate the source; choose Yes, find the file, and open it. If multiple references are selected, the prompt also lets you search for the next ones in specified folders. After correcting the path, status may become Up to date or Out of date.

Before testing, preserve the project and its sources. Prepare a copy of the delivery folder with the same structure and check that files are available on the recipient computer. Record each source’s path and revision, recover a link, then close and reopen that copy. If the problem appears only in the synced folder, record the difference and access conditions. Then compare with a local copy to isolate the cause.

For an external Vectorworks viewport, the Design Suite 2026 documentation explains that Save referenced cache to disk saves reference data within the destination file. That data copy does not verify that you have the latest source revision. Review the link and a recognizable change before considering the drawing updated. After reopening the copy, check visible revision and link before exporting.

Common error: sending only the VWX because the plan remains visible. For a conference or show, also deliver the necessary sources and record who confirmed the venue revision. Complete the file transfer worksheet and connect the deliverable with venue coordination and GLMedia’s technical production.

Relative path is disabled: check location, saved files, and reference type

If relative path is disabled, check where the working file and source are saved and which reference type you are editing. Saving the destination is a prerequisite; both files being on the same volume also matters.

The 2026 Help on editing references requires both files saved on the same volume to select a relative path. It recommends relative paths for transfers between computers when relative locations are preserved. Use an absolute path when that location will not change. In Edit, Source File and Browse let you review or change the source. Documentation describes requirements; compare them with button state and your computer’s details.

Suggested test: save copies of destination and source in a local folder on the same volume without changing originals. In the copy, point to that source and check whether the relative option becomes available. Record the result before testing another condition. For example, if evento.vwx references referencias/recinto.vwx, transfer both while preserving that folder relationship. This is an illustrative structure, not a performed test.

If importing a DWG, review the applicable dialog: Basic import options for 2026 enables Path relative to current document only when source and destination are on the same volume. Import as symbol disables Reference. That control belongs to DWG import; it does not prove why the option failed for a link between VWX files.

Do not confuse a lost path with a resource that disappeared inside the source. Updating references documents Referenced Resource not Found with options to break the link, delete, or replace the resource. Record the exact message before choosing: these operations differ from locating a file. If the button remains disabled, include version, update, operating system, and a reproducible copy when contacting support.

Common errors: changing multiple options together or retaining a path to the drawing technician’s drive. On the production computer, check reopening and visible revision before export. Use the file transfer worksheet, the guide on external source and design layer, and sheets by area.

Frequently asked questions

Does changing document units correct a DWG’s size?

Changing document units changes how measurements are displayed; the DWG retains its imported physical size. Confirm file units with the sender. As a test, import it again into a copy with those units and measure a known section. If it differs, record the result before scaling.

Is the DWG at actual size if it fits the sheet with Fit to page?

Fit to page estimates a scale to fit the import on the page. To check dimensions, measure a known length in a copy and compare with the venue reference. If the measurement matches but the sheet does not fit, review paper and view presentation; if it differs, return to import units. That comparison is the proposed test, not yet performed.

How do I scale a PDF using a wall of known length?

Select the PDF page and open Modify → Scale Objects → Symmetric by Distance. Mark the known section in Current Distance; enter its actual length in New Distance. To check the adjustment in your copy, measure another section, preferably in another direction. If it still differs, preserve both measurements and request a better venue reference; avoid distorting width and height separately.

Why can I not snap the cursor to PDF lines?

Snap to Geometry requires vector geometry; the Help excludes encrypted PDFs. Confirm PDF type and enabled option before choosing points.

Can Scale Objects modify objects on other layers?

Yes: the manual documents that scope with no selection or with Entire drawing. To adjust only one reference, verify your selection and the option you will apply.

How do I output each plan separately if they share a design layer?

In Vectorworks 2026, prepare a cropped viewport for each area: select a 2D object enclosing the area and accept it as the crop when creating the view. Select sheet, scale, and visible layers and classes. Before delivery, test a sheet and check dimensions and revision. If another plan appears, review that view’s crop and visibility.

Why is the PDF clipped even though Horizontal and Vertical are set to 1?

Review viewport crop and printable area: setting those values to 1 does not verify all edges are inside. Also record sheet dimensions, selected paper, and export range. To test delivery, export a sample and check edges and a known length.

Why is the DWG reference empty after changing the file?

Check which file was selected, update the reference, and review viewport layer and class visibility. In your copy, find a recognizable change in the new revision before considering it loaded. If it appears displaced or at a different size, record that before moving or scaling it.

Can I reference another Vectorworks file directly in a sheet layer viewport?

The path documented in the 2020 and 2026 Help creates the external reference on a design layer. Then prepare a sheet layer viewport to display it. To test in a copy, verify your edition supports that path, review the reference method, and confirm the same Vectorworks version at source and destination. Changing methods may convert existing referenced layers into viewports; evaluate that effect before doing it in production.

How do I recover a missing reference when opening the drawing on another computer?

In Vectorworks 2026, open Tools → Organization → References, select the broken link, and click Update. The prompt lets you locate the source file. Select the correct revision and preserve folder structure when transferring the project. The pending test is closing and reopening a copy on the recipient computer: record whether it asks for the source again and which revision is visible.

Why can I not select Path relative to current document?

Vectorworks 2026 requires source and destination saved on the same volume to select a relative path. Check their locations and test with local copies, recording version, paths, and result. For a DWG, also review Import as symbol: that option disables Reference.
