Coral Gables Youth Center: rooms, theater and event setup
Before quoting a meeting or production at the War Memorial Youth Center, identify the space and rental arrangement. Indoor rooms, the theater and pavilion birthday packages have different terms.
Address and space: distinguish the center from the city office
The War Memorial Youth Center is at 405 University Drive, Coral Gables, FL 33134, within the City of Coral Gables in Miami-Dade. The city operates the center through Community Recreation. The 234 Minorca Ave. address in the website footer is a city contact address, not the Youth Center setup location.
Room Rentals lists classrooms, a conference room, a theater and a gymnasium; the latter requires the director’s approval. A space listing does not establish availability, floor loading or rigging capacity.
| Space | Production decision |
|---|---|
| Classroom or conference room | Define the layout, audience, equipment and circulation; request the drawing for the specific room. |
| Theater | Check the stage, seating, technical positions and house system. WebTrac shows a request limit of 250 people; this is not an approved occupancy for every setup. |
| Patio pavilions | These are the spaces used for birthday packages. Do not transfer theater terms to them or assume an indoor rain backup. |

Booking, rates and deadlines: differences to resolve
Room Rentals sets a 2-hour minimum and asks for the notarized application to be returned 7 days before the rental. WebTrac’s Theater listing shows 14 days for web bookings and 7 for RecTrac. Confirm the channel and deadline for your reservation; the shorter window does not automatically cover production review.
Rate categories also differ: Room Rentals lists USD 164 for a nonresident theater rental, while WebTrac lists USD 246 in that category. Do not choose the more convenient figure: request a quote identifying the category, tax, staffing and date. Price references as of 18/10/2026; confirm the applicable rate before finalizing the budget.
Room Rentals requires the director’s approval and the purchase of nonrefundable event insurance. The portal also links to policies dated 2013 and an application dated 2010. Before signing, confirm which version, coverage and conditions form part of the current agreement.

What to provide for outside equipment, LED and sound
The linked 2013 policies require advance supervisor approval for outside equipment and activities, recorded on the application, and vendor insurance. The 2010 form lets applicants declare live music, recorded music and loudspeakers. Checking a box does not establish system approval: ask for the accepted scope to be identified.
| System | Prepare | Confirm before committing |
|---|---|---|
| Screens, PA and lighting | Locations, weights, supports and occupied area. | Accepted equipment, floor protection, sightlines, accessibility and exits. |
| Truss, hoists or suspended signage | Proposed rigging and design documentation prepared by qualified personnel. | Whether rigging is allowed; points, loads, review and authorized crew. Confirm the allowable values for the space before sizing the setup. |
| Power and signal | Load list, required connections and cable routes. | Available supply, connection responsibility and compatibility with house systems. |
Permission to attach decorations does not authorize fastening a screen to walls or the ceiling. Separate equipment-only rental, delivery, installation, operation and removal; document the work assigned to the venue, GLMedia and other vendors. Ask for any exclusive AV arrangement or labor requirement applicable to this space to be identified.

Pavilions and effects: an old exception is not permission
The current birthday page states that packages are offered on Saturdays, include setup and cleanup within 4 hours and have no indoor space for bad weather. Prohibited items include confetti, inflatables, alcohol, live animals and food trucks. These terms apply to those packages, not every room rental.
The 2013 policies linked from the theater allow for inflatables under conditions and alcohol in certain approved Youth Center areas. That difference does not override the birthday package prohibition. Get written confirmation of the rules for the actual product and space you are booking.
Acceptance of lasers, haze, smoke, pyrotechnics, flame and spark machines requires specific confirmation. Identify the product, intended use and location so the venue and relevant authority can determine whether it is allowed and what review is required. Insurance or a reservation does not replace that decision.

General opening hours are not your setup window
The Theater listing shows a window of 7:00 to 22:00 Monday through Friday and 7:00 to 16:00 on Saturdays. The center’s general page lists facility use until 19:00 on Saturdays. Do not infer that the theater rental lasts that long: request confirmed times for setup, checks, the event, cleanup and removal.
The linked policies include setup and cleanup within the rental period and do not reserve all common areas exclusively for the renter. Agree on the loading door, equipment route, authorized parking, access staff and coordination with center activities.
The theater, gymnasium and pavilions need their own access routes and support arrangements. Confirm door dimensions, elevator capacity, circuits and loading positions before selecting equipment.

Venue rental and city permits: separate checks
The city’s Special Events page lists events at city facilities among the situations requiring a permit and sets a complete-application deadline of at least 4 weeks in advance. Ask Special Events how your activity is processed alongside the rental: submitting a room application does not establish that additional permits are resolved.
Prepare one coordinated version of the drawing, schedule, systems, vendors and effects. If the accepted project changes, send the revision to the venue lead and confirm which approvals need updating before carrying it out.
| Condition type | Responsible party | What to retain |
|---|---|---|
| Venue and contract | Youth Center director/supervisor and registration office. | Accepted space, rate, insurance, hours and vendor scopes. |
| Public authority | Special Events and relevant city departments. | Determination of applicable procedures and approved permits or drawings. |
| Organizer and technical recommendation | Organizer and vendors within the approved scope. | Responsibilities, schedule and setup checks; these do not replace permits. |
The downloadable worksheet is a GLMedia planning tool. It is not a city application, does not book space and does not establish setup approval.

Frequently asked questions
Can I price the theater using the website rate?
Use it only as a dated reference. Room Rentals and WebTrac assign rates differently; request a quote that identifies the category, tax, staffing and full rental period.
Is the portal’s headcount limit my event’s approved occupancy?
It does not confirm occupancy for your configuration. The accepted drawing must show the stage, equipment, aisles and audience for that space.
Does booking include permission for amplified music or LED?
Not by itself. Declaring those systems allows them to be reviewed; confirm the equipment, setup, power and responsibilities. You can ask about equipment-only rental or preparation, installation and operation services.
Can an outdoor birthday move into the theater if it rains?
The birthday offer states that indoor space is not included for bad weather. Do not promise the theater as a backup without a separate, confirmed agreement.
