Carnival Studio Theater: planning a setup at the Arsht Center

A flexible theater needs a defined layout before the production quote is finalized. This guide brings together the Carnival Studio Theater (CST) specifications and the decisions to agree with the Arsht Center for LED, audio, lighting or effects.

Room, jurisdiction and responsibilities

The CST is inside the Ziff Ballet Opera House building at 1300 Biscayne Boulevard, Miami, FL 33132, in the City of Miami, Miami-Dade. These conditions apply to the CST, not the Ziff main stage or other campus spaces. Resolution R-1038-25 identifies the County as owner and Adrienne Arsht Center Trust, Inc. as responsible for management, operations and maintenance.

The rental page lists theater, dance, comedy, screenings, private parties, small receptions and meetings. Rentals confirms the use, date and contract; Production coordinates the technical setup. For each system, ask who reviews it, who approves it and who carries out the work.

Room, jurisdiction and responsibilities
Type of conditionWhat to resolve
Public authorityThe manual identifies City of Miami Fire Rescue for effects fire watch. Confirm event-specific permits and inspections; fire watch does not replace other approvals.
VenueAgree the plan, capacity, access, loads, equipment and schedule with the responsible Arsht Center departments.
Contract and laborDefine venue services, union work, vendor access and insurance. Do not assume an outside vendor may operate house equipment.
OrganizerInclude the organizer’s rider, schedule and responsibilities in the scope; no event-specific organizer rulebook is covered here.
Technical recommendationPrepare a single package of plans, weights, power requirements and effects. It supports review; it is not an official application or approval.

Capacity and dimensions: confirm the layout

The official sources publish different figures. Do not treat the largest as an approved capacity or count the entire room footprint as audience space.

Arsht Center institutional fact sheetDesigned for up to 300 seats.A general description, insufficient for selling tickets or setting attendance.

Request a dated plan showing the stage, risers or chairs, technical positions, aisles, exits and accessible spaces. You need the permitted capacity for that plan and its egress requirements, not a standalone number. A larger screen or additional cameras also calls for a review of sightlines and circulation.

The riser drawings linked from the manual show in-the-round, facing and proscenium layouts. Their notes state that they present concepts and construction suggestions, not a substitute for advice from a licensed structural engineer. Use them to discuss a layout, not as load or occupancy approval.

LED screens, suspended loads and floor-supported equipment

The manual places the cable grid approximately 21 ft above the floor and lists 4 chain motors rated ¼ Ton for paid rental. Those specifications do not give an allowable point load or an approved total grid load. Adding the motor ratings does not establish how much can be suspended.

The Ground & Lighting Plan distinguishes 20 ft 3 in clear below the grid from a walking surface at 21 ft. Do not use grid height as available installation clearance: allow for equipment, suspension components and venue-required clearances. Confirm current dimensions before sizing the system.

For a flown LED wall, prepare a drawing with proposed points, heights and total weight: panels, structure, motors, cabling and accessories. Ask Production for approved points and loads, allowable load distribution, required structural documentation and the crew authorized to install, inspect and remove the system. Do not choose hardware or points by comparison with another room.

For floor-supported systems, the manual describes the floor construction but gives no allowable concentrated load for bases, wheels or ballast. Submit support footprints and loads; confirm surface protection and the equipment route before load-in. A ground-supported alternative also needs review.

Power supply and system operation

Page 10 lists 1 disconnect rated 200 A with 5 wires. That does not specify voltage, connection type or the power available for your event. Do not select distribution or adapters from the current rating alone.

The manual states that CST department heads and additional stagehands work under the Center’s collective bargaining agreement with IATSE Local 500. House equipment must be operated by an Arsht department head or a stagehand designated by the venue steward. This does not settle every task assigned to an outside company: obtain the division of work in writing.

Loading, check-in and costs

Trucks approach the dock on NE 14th Street eastbound from NE 2nd Avenue. The direct CST dock takes a truck or trailer no longer than 20 ft. The 4 additional bays for 53 ft trailers require a reservation and depend on the Ziff schedule. Do not dispatch a large vehicle assuming it can use the direct dock.

The manual lists the dock entry door as 11 ft 11 in high and wide. Compare this with packed equipment and check turns, slopes and the interior route. The venue states it owns no forklifts; personnel lifts are shared across stages and must be scheduled in advance.

Crew must check in with Security at Stage Door, at NE 2nd Avenue and NE 14th Street, with identification and authorization before entering the dock. Agree the crew list and the loading, testing, event and strike schedule; these sources provide no universal working hours or noise limits for every setup.

General rental terms exclude event staff, production labor and equipment, and require liability insurance. Request an itemized quote and the required coverage, certificates and vendor conditions. Confirm minimum calls, overtime and surcharges in the contract; a complete rate schedule is not provided here. Site visits require an appointment, and ticket distribution goes through the Arsht box office.

Effects, revisions and the final production package

For open flame, smoke, haze or pyrotechnics, the manual requires arrangements for City of Miami Fire Rescue inspectors. Submit the Fire Watch request to Production at least 4 weeks before the event. Rev.01.25.26 lists a minimum of 4 hours at USD 70 per hour: this is a published reference, not a current quote or the full cost of authorizing an effect.

Submit the exact effect, location, equipment, material or fluid, sequence and control measures. A hazer on the equipment list does not authorize its use. The reviewed manual gives no laser-specific procedure; obtain the venue conditions and applicable approvals before treating a laser effect as confirmed.

As a recommended change-control step, resubmit a revised plan to Production whenever attendance, rigging, loads, power demand, effects or access change. Identify the previous and new revisions, impacts and responsible parties; request written confirmation before carrying out the changes. No single official form or deadline covering all changes is documented here.

The downloadable worksheet helps prepare an inquiry. It is not a reservation, permit or technical approval. Attach the venue’s replies and keep unresolved items visible until they are closed.

Frequently asked questions

Can I plan for 300 attendees?

Not from the institutional fact sheet alone. The rental page lists 200, the manual describes risers seating up to 225, and the institutional sheet mentions 300. Ask the venue for the approved capacity of your exact event plan.

Do the listed motors allow any LED wall to be flown?

No. Their ratings are not the capacity of the points or the grid. Total weight, load distribution, points and installation method need a specific review.

Can my crew operate the theater’s consoles?

The manual assigns house equipment operation to an Arsht department head or a stagehand designated by the venue steward. Agree the division of work before booking outside crew or equipment.

Does Fire Watch automatically authorize haze, lasers or pyrotechnics?

No. It is a fire-watch condition for the effects listed in the manual, not a blanket approval. Lasers need a separate inquiry because the manual does not describe their approval process.
