Deering Estate: tents, string lights, power and sound for an event
At Deering Estate, tents, string lights and general setup have different schedules and conditions. Establish the rented area and technical access route before selecting structures, power and sound.
Which area and approvals does the setup need?
Deering Estate is at 16701 SW 72 Avenue, Palmetto Bay, Florida 33157, in Miami-Dade County. It is owned by the State of Florida and managed by Miami-Dade County Parks, Recreation and Open Spaces. A Miami postal address does not make it a City of Miami venue.
The Evening Facility Rental Rates, Rules & Regulations v.9/2025 applies to evening rentals. Historic Grounds includes Grand Lawn, Courtyard, Royal Palm Grove, Fig Garden and Mango Grove, only within the areas and times on the Facility Rental Permit. Do not extend these conditions to daytime rentals, Visitor Center Theater, Exhibit Room or every public production without confirming the applicable document.
The visitor page reports Stone House closed to the public from 28/04/2025 for restoration. Although other commercial options mention museum access, request availability confirmation for the specific date. Do not use it as an indoor rain alternative without authorization.
| Type of condition | What to check before proceeding |
|---|---|
| Venue / institution | Special Events Office: space, layout, access, vendors and technical proposal. The Facility Rental Permit defines the contracted use. |
| Authority / permit | Confirm with the venue and authorities the competent Building, Planning & Zoning and Fire Rescue review route for this state-owned, county-managed property. Municipal location alone does not settle every jurisdictional responsibility. |
| Organizer | Event rider, schedule and equipment demand. Organizer acceptance does not replace venue acceptance or an authority permit. |
| Service / contract | Named vendor, insurance, authorized tasks and responsibility for installation, connection, operation and removal. This regulation does not establish exclusive services or union qualifications. |
| Technical recommendation | Versioned plan, load inventory and an effects-free backup; these are not approvals or certified capacities. |
How do tent, delivery and general setup schedules fit together?
Before dispatch, build a vendor-by-vendor schedule. Tent or string-light notification does not automatically change general delivery hours. Request an early window compatible with installation being complete by 10:00 and venue acceptance; without that agreement, correct the schedule before loading.
The organizer or representative must receive deliveries and supervise setup: Deering staff do not receive or sign on their behalf. Each vendor must understand the rules and provide USD 1,000,000 general liability insurance naming Miami-Dade County as an additional insured; without notification and accepted documentation, access may be denied.
| When | Evening rental condition v.9/2025 |
|---|---|
| 6 months ahead | Notify the areas to be activated to secure setup availability during public hours; otherwise daytime programming may occupy them. |
| 7 days ahead | Submit floorplans, vendor list, delivery schedule, timeline and other documents; notify all vendors and verify their insurance. |
| 3 days ahead | Notify tents or string lights and their location. Also arrange any delivery before 12:00; additional charges may apply. |
| 10:00 on event day | Tents and string lights fully installed. Portable restrooms, if planned, installed in an approved location. |
| 12:00 on event day | General setup and deliveries begin, unless previously arranged otherwise. Setup is not allowed on the historic house verandas. |
| 23:00 / 23:30 / 02:00 | Music ends by 23:00; guests off site at the contracted closing time, never later than 23:30; site clean, equipment removed and gates secured by 02:00. Tents and string lights are removed immediately after the event unless previously arranged otherwise. |
Where can string lights, tents, trusses or screens be supported?
For string lights, use the venue-prescribed arrangement: freestanding poles secured with concrete blocks or sandbags. Do not attach them to trees or buildings in any way. Courtyard tents must be secured with water barrels or concrete blocks; staking is prohibited. The tent vendor must obtain all required permits.
The rules prohibit fastening or anchoring items to the lawn, buildings, furnishings, artwork, railings, plants or trees; they do not authorize nails, staples, tape or string as attachment methods. Do not treat existing decoration as a rigging point for motors, truss, LED, sound or signage.
Prepare dimensions, structure and equipment weights, support reactions, ballast, surface protection and wind conditions for competent review. Mentioning blocks or bags does not define their number or mass: this regulation publishes no structural capacities or floor-load limits. If a support depends on a prohibited anchor, redesign an acceptable independent solution before installation.
If dancing will take place in Courtyard, the rental must include a suitable dance floor for the maximum number expected to dance simultaneously. Position the floor, bases and cables without obstructing circulation or exits; do not move furnishings, artwork or exhibits to make them fit.
How should power and equipment access be prepared?
The venue supplies the space; the permit holder must ensure vendors bring sufficient extension cords, cable covers and generation for the demand. Notify staff of electrical requirements: failure to do so can result in inadequate power or outages. An outlet being present does not establish available capacity.
Prepare demands and models for sound, lighting, video and auxiliary equipment. Request voltage, phases, frequency, available current, circuits, connectors, protection and who may connect. The regulation publishes none of these values or a generator model: until confirmed, limit work to design and review, without panel connections or protection changes.
Draw the proposed generator and fuel location, distribution and cable routes for review. Do not run cables through historic building door or window openings or keep them open to supply equipment. If the route requires this, redesign distribution instead of wedging a door open.
Motorized vehicles may use only designated pathways under staff escort. They cannot enter Courtyard or grass. Unload and move them off the property; only essential catering vehicles may remain in the designated area. Keep Service Road clear for emergencies, along with hydrants, accessible parking, ramps, paths and exits. Agree the route and manual handling methods before dispatching a delivery vehicle.
What should be checked for sound, haze, cold sparks and lasers?
The regulation sets 60 dBA as measured by staff at the property perimeter. This is not a FOH or stage level target. Only minimal sound checks that do not interfere with visitors are allowed. Agree measurement locations and criteria; the document specifies no time averaging or instrument setting beyond dBA.
As a check to perform, record initial orientation and level, check each system in the agreed window and observe the perimeter with the responsible staff member. Separate amplified sound, mechanical noise and audience noise: if reducing system output does not correct the level, check the other sources. On an exceedance, reduce or mute the identified source and recheck before continuing. The venue may cancel the event after an uncorrected warning and disconnect amplification power.
The recommendation for bands of up to 5 members is venue advice to help respect the limit, not acoustic approval or an occupancy limit. Music must end by 23:00 even if guests may remain until the contracted closing time.
The rules prohibit smoke or fog machines near historic houses and natural areas, listing Stone House, Richmond Cottage, Courtyard, Carriage House, Pump House and Power House. Do not assume that calling an effect haze excludes it: identify the unit, fluid and location before including it. Cold-spark machines and fireworks are prohibited throughout the property. All special effects require prior written approval; that clause does not authorize prohibited effects.
This regulation provides no specific laser authorization or model-based operating procedure. Present the proposal to the venue and determine applicable authority reviews before including it in the setup. Until the equipment, scope and authorizations are identified, prepare an effects-free version of the show.
What if weather or the approved setup changes?
The permit holder must prepare the bad-weather plan. A tent does not make an unrented area available or authorize Stone House access. Record the actual structure’s use limits and suspension procedure with its vendor; do not derive a wind threshold from the site regulation.
On a Tropical Storm or Hurricane Watch or Warning for Miami-Dade County, the rules require venue closure and cancellation of affected evening events. Do not confuse ordinary rain with this closure condition. Rescheduling depends on availability; cancellation and refunds under this clause require the written notification specified in the contract.
If the area, tent, ballast, equipment, electrical demand, effect, audience or route changes, issue a new plan and schedule and confirm affected reviews. Areas or hours cannot be added on event night. If the change is not accepted, revert to an earlier layout only if it remains available and authorized; otherwise remove it from the scope.
At completion, remove temporary installations and waste, check the handback with venue staff and record damage or differences. These checks must be performed for the event; they do not establish completed tests, verified capacities or permits already obtained.
| Item | Documented amount and scope |
|---|---|
| Equipment left on site | USD 250 per day for storage, plus possible charges for affecting site use, under v.9/2025. This is not an authorized extension. |
| Venue staff cleanup | USD 250 per hour under v.9/2025; the permit holder and vendors are responsible for event cleanup. |
| Municipal permit, if applicable | The Palmetto Bay page lists a non-refundable USD 75 fee, payable 30 calendar days ahead. Confirm application and authority for Deering; this is not a fee already assigned to this project. |
Frequently asked questions
Can I deliver the tent at noon if it must be finished by 10:00?
Do not build that incompatibility into the schedule. The rules distinguish general deliveries from 12:00 and tents and string lights fully installed by 10:00. Notify the location 3 days ahead and arrange early access and any charges beforehand. If the necessary window is not confirmed, revise the setup before dispatch.
Can I hang string lights or a screen from trees?
String lights cannot attach to trees or buildings; they must use freestanding poles with concrete blocks or sandbags. That arrangement does not approve a screen or truss. Submit an independent structure with loads, supports and ballast for review; do not use vegetation or historic elements as anchors.
Does the rental guarantee enough power for sound, lights and LED?
No. Notify demands, models and distribution; the permit holder must ensure the necessary extension cords, cable covers and generation. Request actual circuits and electrical data before connecting. If unavailable, leave connection pending and revise with the authorized responsible party; do not run cables through historic doors or windows.
Is the 60 dBA limit checked at the sound console?
No: the regulation specifies staff measurement at the perimeter. A FOH level does not demonstrate compliance there. Agree a minimal check, observe amplified and mechanical sources, correct the identified source and repeat the authorized verification. Do not invent a sound meter setting or equivalent console level.
Can haze, cold sparks or lasers be added after booking?
Booking does not authorize effects. Smoke and fog are prohibited near historic houses and natural areas; cold sparks are prohibited throughout the property. Every effect requires prior written approval without making that clause an exception. For haze or lasers, identify the equipment and resolve scope and reviews before inclusion; keep an effects-free version.
Can I move the event into Stone House if it rains?
Do not assume so: the permit covers only contracted areas, and the visitor page reports public closure for restoration. Confirm date-specific availability and authorization, as well as capacity and layout. If no alternative is accepted, follow the agreed bad-weather plan; do not occupy a building or add hours during the event.
