Event power planning
Conference room power: prepare a supply schedule
A room-by-room schedule coordinates technical teams and reveals overlapping demands. Capacity review also needs to identify which supplies the rooms share.
One record per room and revision
- Operational room name, location, layout and current drawing; show combined or divided room configurations.
- Equipment input loads and setup, rehearsal, session and strike schedules; record overlapping scenarios.
- Handoff point, venue circuit reference, allocated capacity, responsible contact and operational phone number.
A room-by-room schedule to complete
Retain an overview of upstream supplies. Do not add outlet capacities as if they were independent. Room or equipment changes must appear in the same revision sent to the provider.
| Area | Supply information | Schedule and revision |
|---|---|---|
| Room / zone | Handoff and capacity to confirm | Setup / session / close |
| Shared control | Dependencies with other rooms | Simultaneous use to confirm |
| Exhibit area | Separate or shared order to confirm | Own operating schedule |
Compare central and local control
Central control can concentrate loads and dependencies; equipment in each room can change routing and support needs. Compare both with the provider for the project. AV power does not replace venue emergency, exit-sign or safety systems.
Planning questions
Do two rooms necessarily have separate circuits?
No. Ask the venue to identify their supplies and shared loads.
Do agenda breaks justify lower demand?
Only if actual equipment states and nonoverlap are documented and reviewed. A schedule break does not mean equipment is off.
Who needs a last-minute change?
The electrical contact and affected room leads need the current revision and must confirm its review before the new configuration is used.
Sources and scope
Technical reference documentation. Venue staff and a qualified professional review its application to the actual installation.

Before finalizing the supply, confirm venue and local authority requirements in the United States, or utility and local requirements for an event in Argentina. Confirm the actual site’s electrical configuration regardless of this guide’s language.
