Forklift: contract equipment and operator for the planned task

To request a forklift, send each package’s weight and dimensions, base or pallet, manufacturer-designated handling points and destination. Ask the provider to select equipment using the data plate, load center, working height and planned attachments. A capacity figure on a quote does not describe the full configuration.

In the United States, 29 CFR 1910.178 requires training and evaluation for powered industrial truck operators and regulates changes affecting capacity and safe operation. Ask the provider to confirm equipment and personnel suited to the task and workplace conditions.

Include equipment delivery, operator, task, schedule, minimum billing and waiting charges where applicable. Confirm with show management who may provide the service and whether exclusivity applies. An equipment reservation does not authorize customer operation or establish suitability to enter the truck, cross the dock or travel through the room.

Pallet jacks and carts: select for the support and route

Identify whether freight travels on a pallet, special base or case cart. Request equipment type, manual or specification, usable dimensions, wheels and equipment weight, plus capacity under the intended conditions. Distinguish a manual pallet jack, electric travel and assisted lifting; those descriptions are not interchangeable.

Crown’s PTH family includes manual and scissor-lift variants with different capacities and geometry. Its documentation also distinguishes wheels by application. Choosing only a family name can leave the required model undefined.

Send the provider photos and information about flooring, thresholds, doors and planned transfers. Request confirmation of the freight, pallet or cart and equipment together for that route. Even if a cart’s stated capacity covers the load, confirm whether it can be used on the proposed ramp or liftgate. If a support change is needed, ask who performs it and with what equipment.

Freight elevator: confirm door, car, capacity and booking

Here, freight elevator means the building installation; forklift means the vehicle with forks. If a multilingual quote uses an ambiguous term, request the exact equipment. Identify building, origin and destination floors and assigned elevator.

Ask the venue for clear door opening, inside car dimensions, rated capacity and conditions for the package with its support and any handling equipment entering. Add access and landing photos for venue route review. A photo or another elevator’s plate does not provide those details for the assigned installation.

OCCC’s planning guide directs freight and equipment movement to its freight elevators. For a delivery there, confirm the assigned elevator and current show conditions with the venue’s Event Manager.

Request operating window, any required operator or attendant, charges and booking confirmation. Fitting through a door does not establish capacity, floor access or availability. If no solution is confirmed, discuss another package configuration or AV equipment suited to the route, without modifying the elevator or forcing doors.
