Frost Science: prepare event video, installation and effects in Miami
For a presentation, reception or show at Frost Science, identify the contracted space first. The planetarium, pre-function and Museum Plaza have different configurations; a service available in one does not authorize the same installation elsewhere.
Which space and capacity apply to the installation?
Frost Science is at 1101 Biscayne Blvd, Miami, FL 33132, in City of Miami, Miami-Dade County. Mark the rented areas and those remaining open to visitors on the layout. Do not extend the installation into the adjacent park merely because it is nearby.
The figures below are published references. Where documents disagree, have the venue confirm the accepted configuration and capacity before allocating tickets or ordering furniture.
| Space | Published reference | Event check |
|---|---|---|
| Frost Planetarium | 250 in theater configuration. | Define camera, presentation and accessible positions and circulation on the layout. |
| Planetarium Pre-Function | 1450 sq ft / 135 m². Web: theater 80, cocktail 150, banquet 70. PDF chart 2024: 60 / 70 / 50, respectively. | Do not automatically choose the higher figure or treat the lower as approved capacity. Reconcile layout and applicable document. |
| Museum Plaza | 21000 sq ft / 1951 m². Web and chart 2024: theater 1000, cocktail 1200, banquet 600. The marketing plan states cocktail 600. | Account for production areas, tents and circulation on the layout; venue acceptance is required. |
The Museum Plaza marketing plan warns that the actual layout may vary. Its drawings provide neither floor-load ratings nor anchor points.
How should a planetarium presentation be prepared?
The room advertises an 8K visual system and a tilted 67 ft screen. These features do not specify the accepted input resolution, frame rate or codec for a file or computer. Obtain the delivery format and content template before exporting a fulldome master.
For a computer, verify with the operator the HDMI connection with audio listed under Premium. As a check to perform, provide a sample with edges, text, motion and sound; assess framing, readability, sync and the confidence monitor. If only the computer fails while the venue file plays, isolate the adapter, output and signal format without changing the installed system.
| Published package | Distinguishing scope on the website | Reference price |
|---|---|---|
| Planetarium Standard | Video presentation, clicker, confidence monitor, 2 wireless microphones, podium and up to 4 director’s chairs. | USD 1000 + labor. |
| Planetarium Premium | Adds laptop HDMI connection with audio; up to 5 microphones and background music. | USD 1650 + labor. |
| Pre-Function Premium | Music, 1 microphone, 3 TVs with logo and static-color uplights. | USD 1900 + labor. |
Published prices as of 18/10/2026, without a guaranteed validity period or final quotation. Confirm taxes, hours, staffing and deliverables. Do not assume laptop connection or the laser show is included in Standard. If a sample is rejected, retain the approved file and agree a fallback output with the operator.
Can lasers, haze, smoke or confetti be used?
The Sustainable Event Action Guide prohibits balloons, streamers, confetti, glitter, pyrotechnics, spray paint, aerosols and smoke machines. The rental FAQ also excludes rice, birdseed and taper candles. These are museum conditions protecting animals and exhibits, not a municipal permit list.
The planetarium offers customizable laser shows. That describes a service in that space without authorizing external equipment, beams elsewhere or outdoor emission. It also does not establish that a hazer is accepted: changing the effect’s name is no substitute for approval.
Prepare a video or lighting sequence without particles as an alternative, subject to venue acceptance. For any external laser proposal, identify the unit, class, beam path, terminations, operator and applicable documents before proceeding. Do not adjust or test emission without identifying the model and authorized procedure; keep fire detection active.
What is needed before hanging LED, sound or lighting?
The rental documents for these spaces specify no rigging plot, allowable point loads, floor-load rating or temporary power distribution for this installation. Do not treat railings, the dome, exhibit elements or visible structures as hanging points.
Prepare total weight including hardware and cables, dimensions, location, reactions at supports or points, installation and removal method, and circulation layout. Obtain the venue’s accepted points, loads and method, together with any required engineering documents. A ground-supported screen still needs concentrated-load and stability review; avoiding the roof does not approve it.
At Museum Plaza, the offer of tents and chairs defines neither ballast, anchoring nor wind limits. Identify the exact structure, supports, surfaces and weather plan for review. Obtain voltage, phases, circuits, protection and the connection responsibility: basic utilities included in rental do not establish available production power.
How should vendors, access and timing be organized?
The FAQ identified as 2022, still linked from the rental portal, distinguishes external vendors from exclusive services: it names STR-Miami for audiovisual and Constellation Culinary Group for catering. Confirm the current contractual scope before awarding equipment, connection, operation or staffing; do not present the historical name as a revalidated exclusive arrangement.
That FAQ sets 30 days’ notice for vendors and written décor plans, and 14 days for plants or floral arrangements requiring veterinary approval. It requires prior approval and acceptable vendor insurance without publishing a universal coverage limit. Keep these as documentary lead times to check against the current contract.
Agree separate windows for unloading, case movement, installation, rehearsal and removal. The FAQ does not provide for fully closing exhibitions during visitor hours; access depends on equipment and the accepted schedule. Confirm doors, lifts, dimensions and routes without treating visitor parking as a loading dock.
For professional photography or filming, Plan Your Day requires requests at least 48 hours ahead, without guaranteed approval, and advance authorization for tripods, lights, backdrops or drones. This museum process does not replace the technical plan or establish sufficient notice for a complex event.
How should approvals and reinstatement be separated?
Record who accepts each part and the layout, date and equipment covered. The county record identifies Phillip and Patricia Frost Museum of Science, Inc.; this does not make the county the approver of every installation. Identify the competent authority for the specific scope in City of Miami before presenting a permit as required or obtained.
| Condition type | What must be defined |
|---|---|
| Authority / legal requirement | Project-specific permits and inspections; agency and actual approval. |
| Venue | Space use, animal and exhibit protection, accepted layout, installation and access. |
| Organizer | Program and contracted scope; organizer acceptance does not replace the others. |
| Contract / exclusive service | Current provider, responsibilities, staffing, insurance and costs. |
| Technical recommendation | Video sample, backup and reinstatement sequence; neither a permit nor a completed test. |
If location, weight, structure, effect or cable route changes, retain the earlier revision and submit the difference for renewed acceptance before implementing it. These documents publish no single change procedure.
The FAQ requires décor and flowers to be removed immediately after the event unless otherwise agreed in writing. Agree audiovisual reinstatement with the venue operator and check access routes and surfaces are clear at handover. The sustainability guide recommends collecting cable ties and screws as well as large cases.
Frequently asked questions
Can a reception move from Museum Plaza to the pre-function if it rains?
Not with the same capacity automatically. These are different spaces and the pre-function sources conflict. Prepare an alternative layout with equipment, guests and circulation and obtain venue acceptance before using it.
Does the 8K system accept any 8K video over HDMI?
This is not specified. Confirm the input format and fulldome delivery with the operator. Prepare a sample and agree a backup version; the system description does not establish computer compatibility.
Does the planetarium laser show let me bring a hazer?
No. The offered show and external equipment are separate scopes. Smoke machines are prohibited, and a hazer is not authorized by having another name. Prepare a particle-free alternative and submit any effect for prior review.
Can I hang a screen from the structure visible in photographs?
No published points or loads establish acceptance of that suspension. Submit equipment, complete weight, reactions and location; wait for the relevant data and technical acceptance before installation.
When can I unload and install during museum hours?
Only according to the schedule accepted for the equipment and space. Separate unloading, movement, assembly and rehearsal; confirm the route and doors. Visitor hours do not reserve an installation window.
Does décor approval cover electricity, lasers and permits?
No. Link each approval to its scope. Keep venue, authority, organizer and contract separate; changes must be reviewed again before implementation.
