Hilton Miami Airport Blue Lagoon: room selection, rigging and production scope
For an event at 5101 Blue Lagoon Drive, Miami, FL 33126, start with the room and layout in your contract. An LED wall, stage or sound system needs suitable space, access and services as well as a room reservation.
Address, jurisdiction and responsibilities
The county record links this address to folio 30-3131-025-0050. The Property Appraiser identifies code 30 as unincorporated Miami-Dade. Based on those two sources, this guide places the property in that jurisdiction; the Miami mailing address alone does not establish City of Miami permitting.
MCR lists the hotel in its portfolio. The county record names M2 Miami Airport Blue Lagoon LLC, c/o MCR Investors LLC, as owner. That administrative entry does not, by itself, establish current ownership. Confirm the contracting entity and authorized representatives for your event; the Hilton brand alone does not identify the signatory.
Encore’s page for this hotel offers audiovisual, power and rigging services. That listing does not establish availability, hang points or exclusive rights to every item in every room.

Full International ballroom, subdivisions and prefunction space
Hilton lists International at 9,660 ft², with 1,000 theater-style guests and 840 for a banquet. These are layout references, not approved occupancy for a production with a stage, control position, cameras and aisles.
Use the same room name in the proposal and floor plan. Do not add subdivisions together or read a zero in the commercial chart as technical permission or a prohibition.
| Space | What to establish before designing |
|---|---|
| Full International ballroom | Review stage, screen, control position and exit routes together. |
| Salon I–IV and combinations | Contracted sections, open or closed partitions, doors and neighboring room restrictions. |
| Pre-Assembly | Confirm whether it is booked for reception, circulation or exhibits; do not assume it can store empty cases. |
| Cove Ballroom and outdoor spaces | Each needs its own plans and conditions. Do not transfer International’s points, loads or approvals. |
| Published space | Commercial area (ft²) | What to match to the plan |
|---|---|---|
| International | 9 660 | Booked full ballroom; allow for production through the accepted plan. |
| Salon I/Salon II | 4 760 | Exact combination, partitions and doors. |
| Salon I/Salon II/Salon III | 7 140 | Three sections identified in the contract and CAD. |
| Salon I | 2 415 | Individual row; zero capacity entries require clarification rather than automatic interpretation. |
| International Ballroom Pre-Assembly | 3 240 | Confirmed reception, exhibit or circulation use; not extra stage area by default. |

Prepare a layout before requesting suspended equipment
Encore’s general standards call for an advance request, at least 21 days before load-in, and .dwg, .dxf or .vwx drawings. CAD review is chargeable; changes require another review. Exclusivity varies by venue, so confirm the terms for your booked room.
As technical preparation, identify the screen, lighting, speakers, truss, motors, cabling and accessories on the drawing. Provide weights and positions for a review of the whole assembly; LED panel weight alone does not describe the installation.
Request the room’s point plan and applicable ratings, plus a response identifying the approved revision and scope. This guide supplies no allowable load or hotel-specific suspension method. Do not choose an attachment to a partition, track or ceiling from a photograph.

Floor-supported equipment, power and effects
A floor-supported option still needs review: support, stability, concentrated loads, floor protection and occupied space. Equipment that does not hang can still obstruct access or need contracted services.
The table below is a technical preparation checklist, not hotel policy. These sources provide no room-by-room floor-load ratings, amperages or blanket permission for effects.
| System | What to provide | What to obtain |
|---|---|---|
| Floor-supported LED, stages and towers | Footprint, height, total weight, supports, ballast and transport route. | Accepted position and protection; load and stability review by the appropriate responsible professional. |
| Power and distribution | Equipment demand, voltage, phases, connectors and cable routes. | Available connections; who supplies, connects, tests and disconnects; scope-specific pricing. |
| Haze, smoke, lasers or other effects | Equipment, location, beam path or effect area and operating sequence. | Express acceptance and the authority responsible for permits or controls; a room booking is not authorization. |
| Sound, cameras and streaming | Coverage, positions, network needs and rehearsal schedule. | Noise, access and connectivity conditions, plus coordination with neighboring activities. |

Agree on supplier responsibilities and access
Agree on unloading windows, the route to the room, doors, elevators, storage and removal. Confirm clearances and permitted loads before sizing cases or equipment. The hotel name and airport proximity do not settle production logistics.
| Type of condition | What to put in writing |
|---|---|
| Venue | Contracted room and hours, access, occupancy for the layout, floor protection and the person accepting the setup. |
| Contract or exclusive service | What GLMedia may supply and what the designated provider must supply or perform; GLMedia’s admission is not assumed. |
| Organizer | Schedule, audience, suppliers, credentials, rehearsals and the person approving scope changes. |
| Authority | Applicable event permits and inspections and who obtains them; confirm with the authority having jurisdiction. |
| Technical recommendation | Equipment and responsibility list, tests before public access and a change log. |

Changes, pricing and the next step
If the room, screen position, support, weight, power or an effect changes, flag it and request review before proceeding. Keep the previous version and the response accepting the new one; updating the supplier’s internal equipment list is not enough.
If the room combination or partition position changes, request the corresponding CAD and check points, doors and egress before reusing the previous setup.
Request current pricing broken down by equipment, review, labor, access and services. Insurance, minimum calls, overtime, cancellation, credentials and union conditions remain to be confirmed. No unverified local rates or deadlines are listed here.
The downloadable worksheet organizes scope and outstanding answers. Completing it does not reserve the room, approve a setup or send an inquiry.

Frequently asked questions
Can I use the commercial capacity to set attendance?
Use it as an initial reference. The layout with production equipment, furniture, accessibility and exits needs acceptance for the specific configuration.
Is Encore exclusive for everything?
Its presence at the hotel does not establish that. Its general terms say exclusivity varies; request the service responsibilities that apply to your room and event.
Does a floor-supported LED wall avoid every review?
No. Stability, loads, placement, floor protection, power and access still need to be resolved. Confirm the contractual conditions for its support system too.
Can I contact GLMedia before the drawing is finished?
Yes. Include the hotel, room if known, date, activity and needs. GLMedia can prepare the audiovisual scope; supplier admission and venue approvals remain subject to confirmation.
Can I add individual room areas together to finalize the setup?
Use the published row for the booked combination and request its plan. Adding individual rows does not replace that reference or establish partitions, doors, usable height, points or clear production space.
Does a zero in the Salon I chart mean no attendees are allowed?
Do not read it as technical permission or a prohibition. The commercial chart shows zeros for individual-room layouts; request the accepted capacity and plan for the actual use before finalizing attendance and equipment.
Official documentation
Hilton areas and capacities are commercial references by layout. Encore’s general standards do not replace the booked room’s terms or project-specific approvals.
