JW Marriott Austin: production rigging, network and loading
JW-AUSTIN identifies JW Marriott Austin at 110 East 2nd Street. It is separate from Austin Marriott Downtown and the Austin Convention Center. The hotel’s events page links to Markey’s. This preparation guide does not establish bookings, permits or work performed by GLMedia.
Which room and dimensions apply to the setup?
Marriott’s Capacity Chart distinguishes the full spaces below. Areas and heights describe rooms; they are not approved trim heights or floor and ceiling load ratings. Confirm the subdivision, obstructions, layout and equipment clearance.
The production documents reviewed are four one-page Markey’s sheets with prices published in 2026, linked from the hotel’s Cvent resources, plus a historical loading presentation. A price publication year does not certify a current contract revision or engineering approval.
| Full space | Published area | Published height |
|---|---|---|
| JW Grand Ballroom | 30,183 sq ft | 21 ft |
| Lone Star Ballroom | 23,100 sq ft | 18 ft |
| Griffin Hall | 23,175 sq ft | 12 ft |
Who provides rigging, and which drawing needs review?
Markey’s identifies itself as the exclusive in-house rigging provider and requires design review. It supplies motors, truss, hardware and rigging labor, and makes ceiling connections. The production company assembles and disassembles truss unless otherwise agreed. Truss cannot be rigged from airwall tracks.
Plots must show all flown equipment, weights per point and center point loads. DWG drawings are requested at least 14 days before load-in. Point locations and ratings are referred to the facility DWG, which was not obtained in this review. Applicable WLL, combined loads and remaining capacity are unconfirmed.
The sheet’s 100 lb/10 ft condition concerns the suspension method; it is not ceiling WLL. It specifies chain hoists or crank towers for the described case, arresters for moving elements and individual steel safety backups. More than 4 Soca or similar multicables require cable bridge truss. Include everything in the review; these notes are not an approved design.
Which equipment, crew and deadlines apply to rigging?
The sheet requires at least 2 riggers per team, a 4-hour minimum per call and a scissor lift for every rigging call. The lift may come from Markey’s or the production company. Rental availability should be confirmed 14 days before the event. This does not approve an outside lift, its route or floor loading.
The team stays until final trim is reached. Movements, adjustments and added weight remain under Markey’s control or supervision as specified. Call changes go through its Director of Event Technology. The rigging sheet requires a break every 5 hours; the general guide describes a break before completing 8 hours. Preserve each rule’s scope and confirm the schedule rather than substituting one for the other.
Which electrical services are reserved, and which connections need clarification?
Markey’s states that it is the exclusive in-house electrical provider and must approve and provide three-phase connections in ballrooms, meeting rooms and foyers. Catalog options do not establish simultaneous availability or reserved power in the selected space.
The sheet lists an L21-30 option while also describing three-phase service with large cam-lock connectors. Confirm voltage, phases, current, the exact connector, distribution and handoff point in writing. Renting a distro or cables does not itself include electrical service.
| Service | Documented scope | Confirmation needed |
|---|---|---|
| Electrical | Exclusive in-house provider; three-phase approved and connected by Markey’s. | Circuits, distribution, connector and reservation. |
| Rigging | Motors, truss, hardware and rigging labor from Markey’s. | DWG, loads and design acceptance. |
| Data and voice | Markey’s reserves wired and wireless networking and related cabling. | Capacity, devices and approved configurations. |
| House audio | The general guide lists a connection charge. | Interface, permitted use and project support. |
How should streaming and customer network equipment be planned?
The network sheet reserves voice, wired and wireless data, and related cabling to Markey’s. On shared services, routers, streaming, VoIP and DHCP, NAT or proxy servers require advance approval from hotel IT and Markey’s Director of Event Technology.
Wireless product demonstrations require contact 30 days before move-in; unauthorized transmitters are prohibited. This is not spectrum authorization. Define devices, VLAN, IP, upload, download and shared or dedicated service. As a technical recommendation, test the complete streaming path and agree on backup: the sheet does not guarantee internet performance outside the hotel.
Can the house audio system or customer audiovisual equipment be used?
The general guide lists a charge for using the facility sound system and assistance with customer equipment. This does not establish an accepted patch, available interfaces, coverage, assigned labor or blanket permission for an outside vendor.
Do not expand the specific rigging, electrical and data exclusivities into an all-AV rule. Confirm the outside-vendor contract policy, house audio, screens, RF, connections and support with the hotel and Markey’s. The catalog and its charges are not an inventory reservation or an event quote.
How should the historical dock and freight elevator document be used?
Hotel Loading Dock Info. is a 9-page presentation dated May 31, 2016. It describes an East 3rd Street entrance, shared dock bays and freight elevators; it requires scheduled arrivals and departures, rules out overnight dock parking and prohibits forklifts on the dock. These are historical conditions requiring reconfirmation.
Its capacities and dimensions are not adopted as current. Request current cab and door specifications, level changes, turning clearance, wheel and support loads, protection and capacity along the entire route to the room. The FedEx Business Center reference does not reserve freight handling, storage or a dock appointment.
What remains to be accepted before production and pricing are finalized?
Prepare the room and subdivision, dates, CAD, complete weights, points, electrical distribution, network, AV interfaces, lift, protection, route and schedule. Floor and point ratings, current access, outside-vendor terms, insurance, effects and applicable permits remain unconfirmed.
Separate Markey’s technical review, hotel acceptance, the organizer’s contract and authorization from the relevant authority. No event permit was verified. Prices, minimums and surcharges require an event-specific quote; this guide does not order services or replace event acceptances.
Frequently asked questions
Does renting a motor confirm a point’s capacity?
No. The sheet refers to facility DWG drawings for points and ratings. The design must review weights per point, center point loads and combinations; the catalog does not establish structural acceptance.
Can I connect my router and stream over the shared network?
Do not assume approval: the sheet requires prior authorization from hotel IT and Markey’s for routers and streaming on shared service. Agree on a suitable service and test it before the event.
Are the presentation’s freight elevator ratings still current?
This was not confirmed. The file is dated 2016. Replace that reference with current, accepted information for the cab, doors and complete route before scheduling freight.
