MACC: LED suspension, outside AV suppliers and load-in planning

Miami Airport Convention Center (MACC), connected to DoubleTree by Hilton Hotel Miami Airport, is at 711 NW 72nd Avenue. County GIS identifies this address as unincorporated Miami-Dade. A Miami postal address does not place it in the City of Miami or Miami Beach.

Does the installation belong in the exhibit halls, conference center or hotel?

The complex distinguishes ground-level Exposition Halls, MACC Conference Center rooms and hotel rooms. Mark each space and division on the accepted plan. Do not transfer an exhibit hall rigging limit to the hotel ballroom or use one room’s height for another.

The published floor plan chart provides reference layouts. Account for stage, screens, control and circulation in the design submitted; a catalog seating figure does not approve that layout. Check usable height, obstructions and the route with the venue before fixing LED or structural dimensions.

Can I use 1500 lb per point to suspend an LED screen?

The manual assigns 1500 lb per point to exhibit hall high steel and requires facility approval. It does not establish available points, remaining capacity, distribution between beams, motor configuration or trim. Submit a plot with coordinates, complete weights and reactions, including motors, truss, cables and accessories; request review by the house rigger and written acceptance of the installation.

The rigging section reserves execution to the house AV provider. It also prohibits attachment to ceiling grid, roof structure and ceiling tile, or using utility pipes, electrical conduits or sprinklers as supports. Do not select a visible member yourself: request the authorized point map and how the project is to comply with these restrictions.

The labor and forklift form is neither a structural drawing nor authorization to lift the screen. If an accepted point is missing, keep that suspension pending and review an alternative with the venue. A ground supported solution requires floor, reaction, stability and circulation checks. If weight or position changes, resubmit drawings and loads before moving equipment.

Can I use the lobby, an elevator or my own lift?

The manual directs freight through loading docks and freight doors; it prohibits freight on passenger elevators and escalators. Front-of-house access requires advance approval case by case and is limited to small personal vehicles; box trucks and heavy freight use docks. Request the accepted door, freight elevator, clear dimensions, capacity, slot and route before dispatch.

For meeting rooms, the document requires at least 5 mil visqueen carpet protection during move-in and aisle protection before move-out. That thickness is neither 5 mm nor a load capacity. Submit wheels, supports, weight and surface protection; the tape prohibition in these areas prevents routing cables by simply sticking gaffer tape to the floor without an accepted method.

The manual mentions lifts with protected tires in meeting rooms, but also restricts motorized equipment on carpet, in lobbies and on terrazzo. Require written authorization for the specific equipment and route; do not treat either clause as a general permission. The web policy reserves forklift and Genie Lift operation to center personnel.

Check the complete route before bringing in the largest case. If it does not fit or protection is not accepted, stop the move and review dismantling, equipment or route with the CSM. Keep exits, fire equipment cabinets and other events’ circulation clear while waiting.

What may an outside AV supplier do, and which services remain with the house?

The manual permits outside AV suppliers with advance notice, an Outside Audio Visual Vendor Agreement and COI, but reserves meeting room installed sound to the house AV contractor. Its older edition identifies AVMS; the current AV page presents AVER Productions. Confirm with the CSM who currently provides each service and the scope of exclusivity, without automatically transferring every condition from one provider to another.

To integrate a source, request an agreed patch, signal type, input and operator. For a preliminary check, propose a known source at a level controlled by that operator. Observe the input signal and then its intended destination; do not apply console button sequences without identifying the model and manual. Save original patch and levels for restoration afterward.

Hotel/MACC states it provides electricity and building utility services. Submit circuit loads and equipment locations; request accepted voltage, phases, protection, connectors and distribution before energizing. The public service list does not establish spare screen power or authorize an outside supplier to connect a panel.

For internet, the manual names InBusiness Network as exclusive, while the web policy describes the center as telecommunications contractor. Confirm the current operator, access method, throughput, authentication and support. Network availability does not demonstrate streaming suitability.

Which plan and acceptance are needed for haze, lasers or a covered booth?

The manual generally prohibits Class II or higher lasers and pyrotechnics in exhibit halls, with exceptions subject to authority approval and permits. It also refers to Miami Beach Fire Department, which does not match the GIS jurisdiction of this address. Confirm the application with Miami-Dade Fire Rescue and the venue; do not route it to another city by copying that reference.

Submit exact equipment, classification, location, beam path or dispersion, operation and effect operator. Haze or smoke require acceptance, detection and operating conditions to be reviewed; a commercial special effects offering does not authorize them. Do not disable detection or operate an effect before resolving the applicable approvals.

The indoor event resource linked by the county requests a plan with exits, widths, covered or multilevel booths, seating and stage, ramp, stair and guardrail details, plus fire performance documentation for drapes and scenery. It carries RJB 11/06 and cites NFPA editions from 2003: use it to prepare information, not to claim those editions are the event’s current code.

The venue manual specifies a layout criterion of 10 ft aisles, 20 ft clearance at main entrances/exits and 3 ft at hose-equipped columns. Retain these document requirements in the plan review and request confirmation of applicability; do not describe them as universal legal minima. Covered or multilevel booths may require engineering, additional review and Fire Watch according to the accepted evaluation. A room catalog does not resolve that assessment.

Which deadlines apply when the manual and order form differ?

Do not treat a service order as technical approval. The 01.01.2019 manual, the form hosted under 2022 and the web policy have different scopes. Ask the CSM for a written schedule by deliverable before contracting the installation or selling booth positions.

Labor and forkliftForm: 7 business days ahead; cancellation with 24 h notice.Availability, scope and current terms; this does not replace rigging review.

What must be retained and approved again if the installation changes?

Distinguish authority permits or inspections, venue technical acceptance, organizer requirements and contractual or exclusive supplier conditions. A reservation, COI or service order does not replace the other approvals. Signal checks are recommendations for preparing the system, not tests already performed.

Confirm in writing the costs of points, connection, patch, operator, lift, security, protection, HVAC outside show hours and restoration. Manual and form prices are older references; they cannot establish current rates, taxes or surcharges. The manual also contains conflicting prices and references to other cities that must be resolved in the contract.

Keep accepted plans, rigging plot, loads, electrical distribution, patch, schedules and versions. If weight is added, a support moves, or an exit, audience zone or effect changes, submit the revision to the party that approved that scope before implementation. Keep the previous design available to restore it if the change is not accepted. Record surface and equipment condition with the CSM at move-in and move-out.

Frequently asked questions

Do the 1500 lb per point apply to every MACC room?

No. The manual assigns them to exhibit hall high steel, subject to facility approval. Request accepted points and loads for the specific hall and installation; do not extend the figure to MACC 1 or Royal Poinciana Ballroom.

May an outside AV supplier connect to house sound?

The manual permits outside AV with an agreement and COI, but reserves meeting room installed sound to the house provider. Confirm patch, operator and current scope with the CSM; AVMS appears in the older manual and AVER Productions on the current AV page.

Can a box truck load through the lobby?

The manual sends box trucks and heavy freight to docks. Front-of-house access is a previously approved exception for small personal vehicles. Confirm dock, slot, door, freight elevator and route; do not use passenger elevators for freight.

Does 5 mil protection allow a heavy screen to rest on the floor?

No. It is the carpet protection film thickness, not an allowable load or 5 mm. Submit weight, wheels, reactions, stability and support protection; request the applicable floor verification from the venue.

Does the manual authorize lasers or haze with a Miami Beach permit?

Do not use that authority reference for this address. GIS places it in unincorporated Miami-Dade. Confirm the effect, permits and inspections with Miami-Dade Fire Rescue and the venue; do not alter detection or operate based solely on the manual.

Is ordering rigging 7 business days ahead sufficient?

That deadline belongs to the service form. The manual requires the technical rigging request at least 30 days before load-in. Settle both processes and the current schedule with the CSM; a labor order does not approve points or loads.

What if a screen moves after plan approval?

Update position, weight and reactions, and review affected circulation, power and rigging. Return the revision to the venue and authority where applicable before making the change. Keep previous plans and patch available for restoration.

Official documentation

The manual retains revision 01.01.2019; a file’s 2022 folder does not establish current validity. The capacity chart does not approve the project. The county indoor guide retains RJB 11/06 and NFPA references from 2003. Confirm applicable versions, requirements, provider, rates and schedule; these documents do not establish event permits.
