The Venetian Expo: LED, rigging and exclusive services

For LED, audio or lighting at The Venetian Expo, identify the contracted hall, level and program within The Venetian Convention & Expo Center. Expo’s address is 201 Sands Avenue, Las Vegas, Nevada 89169. Do not use the hotel address or another room’s conditions to determine access or suspension.

Which space and approvals does the system require?

Record the event, hall, level, booth, dates and drawing revision. Halls A–D are on Level 2 and Hall G on Level 1. The Venetian Resort Las Vegas team coordinates the venue through the Expo Event Manager; also identify the organizer and event-specific manual.

Clark County permits and venue acceptance are separate approvals. For an exhibition, check the current Indoor Exhibits and Trade Shows process with Fire Prevention; do not assume the old printed-copy procedure in one guide section remains valid. Organizer acceptance of a layout does not approve its loads.

What does bringing an external General Session production allow?

The guide allows one General Session per event from another production company while retaining exclusive-service policies. It also distinguishes exhibitors, breakouts, receptions and hospitality rooms. Obtain a written classification for each activity: do not extend an AV equipment exception to labor, rigging or connections.

A decorative truss or booth-support structure seeking an exception to exclusive truss supply requires Encore rigging department review and engineering documentation. Ground support alone does not establish an exception.

What does bringing an external General Session production allow?
Work or materialGuide assignment
Load-rated truss and motorsExclusive Encore supply, flown and ground-supported; booth/decorative exceptions only after review.
Installation and dismantlingEncore for items attached to truss or the building, ground-supported rated truss, lighting and rigging systems, and floor-supported items over 16 ft. Include lighting operation.
Lifts and exclusive materialsLifts for these tasks must be rented and operated through Encore; material handling and specified loading/unloading tasks are also within its scope.
Power and cablingThe Venetian Expo and Encore divide exclusive tasks; confirm the specific order with Event Service Electrical and the program lead.

What should be checked before submitting CAD and engineering stamps?

Ground-supported or flown truss, lighting towers and video walls undergo CAD review. Include position, height, dimensions, weights, accessories, supports, points and revision. If CAD differs from the final equipment list, resolve that discrepancy before requesting acceptance.

The guide requires an engineering stamp for video walls supported by truss, laterally traveling loads and performer-flying systems. Static rigging limits do not authorize dynamic loads. Describe movement and operating conditions to engineering; do not derive acceptance by simply dividing weight among motors.

You may engage your own engineer and submit the stamp to Encore 10 days before load-in under the guide. Also confirm earlier CAD and contracting milestones: this deadline does not guarantee full review or allow the whole package to be left until then. Resolve missing-data issues by supplying the data; return structural issues to the responsible professional.

Does ground-supported LED avoid floor-load and access review?

No. Identify feet, base, ballast, racks and handling route. Facilities Guide, p. 5, distinguishes static loads by surface. These values alone do not authorize a concentrated load, a wheel or passage through another area.

For Hall G, request confirmation of support loads and the route before specifying ballast. The general floor description does not replace that check. Do not assume the lobby freight elevator and Hall D elevator share dimensions, capacity or operating rules: reserve the exact equipment and obtain the relevant authorization.

Foyers remain public spaces; coordinate schedules and surface protection. If a case does not fit the approved access, do not improvise another route: check dimensions, total weight and availability with the Expo Event Manager.

Does ground-supported LED avoid floor-load and access review?
AreaPublished static load
Halls A, B, C and D250 lb/ft².
The Venetian Ballroom and listed Level 2, Level 3 and Level 4 areas150 lb/ft²; identify the exact space and transit conditions.
The Palazzo Ballroom150 lb/ft²; do not transfer this value to terraces or pools.

Who connects power, and how are haze or lasers prepared?

Submit voltage, current, connection points and cable routes. Underfloor distribution and final connections are exclusive services. Do not close the floor before checking distribution with the assigned provider. Show any outlet or circuit needed outside event operating hours on the plan.

For haze, request the Hazing Request from the Catering & Conference Manager or Expo Event Manager. Fire Command coordinates the demonstration and determines Life Safety Systems measures. The guide requires the demonstration to be scheduled at least 24 hours before the first haze event; this does not mean the complete request can start with that notice. Do not adjust detectors yourself.

Haze needs the applicable CCFD/FPB and venue approvals. Do not confuse it with a laser or pyrotechnics permit. For Class IIIb or IV lasers, check projector, show and applicable FDA variance documentation; if a beam could reach outdoors, also review the FAA process. Confirm the local rule for the effect and configuration separately.

How should installation, staffing and cost changes be handled?

Keep the accepted revision. If equipment, weight, location, movement, supports, cabling or audience changes, prepare a drawing showing differences and ask the venue, engineer, provider and authority what must be reviewed again. Hold the change until the applicable acceptances are in place; the previous revision applies only to the exact approved configuration.

The guide requires the organization’s insurance certificates 90 days before move-in and 90 days before the beginning of the License Period, with further contractual requirements. Separate this obligation from exhibitor and contractor documentation. Confirm training, credentials and permitted tasks before assigning workers; credentials from another venue do not establish access here.

Request a dated quote for CAD, engineering, installation, operation, dismantling, handling and lifts. The guide adds a scheduling administrator at 20 or more workers and transport charges for specified installations, including 50 or more chain hoists; it does not publish a universal price for your project. Record change and cancellation conditions for each order too.

The downloadable worksheet organizes confirmations and outstanding items. It does not certify calculations, insurance, inspections or approvals.

Frequently asked questions

Can I install rigging when bringing another company for the General Session?

The General Session exception does not remove exclusive services. Confirm equipment, installation, operation, rigging, power, material handling and dismantling in writing before booking.

Does an LED wall supported by truss need an engineering stamp?

Yes. The guide requires a stamp for video walls supported by truss and CAD review. Laterally traveling loads and performer flying also require stamps; a static capacity does not authorize those uses.

Is 10 days the general submission deadline?

No. The guide gives that deadline for client-obtained engineering stamps submitted to Encore before load-in. Confirm CAD, insurance, permits, workers and approval dates separately.

Can I use 250 lb/ft² for every Venetian room?

No. That value applies to Halls A–D and is a static load. Other spaces have different values; also check concentrated supports and the move-in route.

Can the haze demonstration be arranged during installation?

First coordinate the form and approvals with the venue. The guide requires the Fire Command demonstration to be scheduled at least 24 hours before the first haze event. Do not test or adjust detection yourself.

What if motors or a structure arrive that differ from the accepted plan?

Keep the approved revision, identify the difference and consult rigging and engineering before installation. Request review of affected documents, tasks and permits; do not reuse acceptance for a different configuration.
