Westin Fort Lauderdale Beach: ballrooms, capacity and AV coordination
At The Westin Fort Lauderdale Beach Resort, a general session in Las Olas Ballroom, concurrent meetings in divided rooms and a reception on Sky Terrace need different plans and services. The hotel is at 321 North Fort Lauderdale Beach Boulevard, City of Fort Lauderdale, Broward County. Do not confuse it with another Westin in the area.
Book the correct room and layout
References from the hotel’s capacity chart checked on 18/10/2026. These are published capacities by configuration, not approved occupancy for a new floor plan. Theater means rows of chairs; banquet means dining tables. A reception is not a seated conference.
DiamondRock Hospitality lists the hotel in its portfolio and identifies HEI Hotels & Resorts as operator. For contracting and approval of the specific use, confirm the contracting entity and the hotel’s event contact.
| Listed space | Theater | Banquet | Conference | Published height |
|---|---|---|---|---|
| Entire Las Olas Ballroom | 920 | 610 | Not listed | 20 ft |
| Entire Atlantic Ballroom | 874 | 580 | Not listed | 14 ft |
| Las Olas I | 150 | 96 | 36 | 20 ft |
| Seabreeze | Not listed | Not listed | 10 | 11 ft |
Do not add partition capacities to promise capacity for the entire ballroom. The Roman numeral and combination of rooms must match the contract and drawing. Published room height does not guarantee clear height beneath motors, fixtures or decorative features.

Encore and outside vendors: allocate services before pricing
The hotel page presents Encore for AV coordination and advertises technical equipment and services. It does not publish rigging, power or internet exclusivity terms or the conditions for outside vendors. It also does not confirm models, quantities or availability for your date.
Ask the hotel and AV contact for the current outside-vendor policy and an agreed division of work. Do not treat another Westin’s conditions, or another event’s proposal, as approval for this event.
| Workstream | What to agree in writing | Required outcome |
|---|---|---|
| Hotel / event management | Rooms, partitions, hours, floor plan, furniture and approval of use. | Confirmation of the exact space and who approves each change. |
| Hotel AV provider | Included services, possible exclusivities, supervision, points, power and network. | Itemized quote and responsibility boundaries. |
| GLMedia or another outside vendor | Authorized equipment, crew, setup, testing, operation and strike. | Accepted scope coordinated with services reserved to the hotel. |
| Organizer | Program, attendees, budget and parties responsible for permits and insurance. | A shared plan and schedule for every vendor. |
Confirm insurance, additional insureds, credentials, minimum calls, overtime, supervision charges and union requirements where applicable. The public page does not set these amounts or requirements; those of another venue cannot be assumed.

Height, rigging, floor loads and power: validate the actual setup
The difference between the published heights of Las Olas and Atlantic affects screen selection and sightlines. Prepare an elevation showing the stage, bottom of image, screen, hardware and clearances; request clear height for the booked area. A room-height figure does not certify rigging points.
For suspended LED, speakers, truss, motors or signage, submit locations, weights and forces from the complete assembly. The public page does not provide a rigging-point plan, capacities or an approval procedure. Confirm who designs, installs, supervises and inspects; do not attach equipment to movable partitions or decorative features.
For ground-supported equipment, request floor and concentrated-load limits, carpet protection and restrictions on wheels or ballast. For power, define loads, circuits, connections, distribution and authorized personnel. Neither room area nor an available outlet establishes sufficient capacity.

General sessions and breakouts: a workable production plan
In divided rooms, mark screens, speakers, cameras, control positions and service circulation. As a production recommendation, test sound transfer between rooms and agree on rehearsal times: movable walls do not establish adequate sound isolation.
If a presentation or stream is shared between rooms, define signals, returns, monitoring and who operates each destination. Advertised connectivity does not prove dedicated bandwidth. Request the connection, reserved capacity and a test through the actual audio and video path.
Before dispatching equipment, confirm the dock or delivery point, doors, service elevator, cab dimensions and capacity, carts, storage and working hours. Advertised parcel services do not authorize truck unloading or flight-case access through any entrance.
Schedule setup, testing, rehearsal, event operation and strike separately. Guestroom check-in and checkout times are not ballroom working hours. Also confirm when a partition may be moved without interfering with the setup.

Sky Terrace, beach use and effects: separate scopes
Sky Terrace and a beach ceremony are different spaces from the ballrooms. Identify the area, boundaries and access route; do not assume a room rental includes the terrace, beach or use of public space. Sky Terrace’s listed dimensions and area do not describe a simple rectangle consistently: request a usable plan rather than turning those figures into available structure space.
For the terrace, request load limits, permitted anchors, waterproofing protection, equipment access and an indoor alternative. As a technical recommendation, define weather monitoring, suspension, shelter and restart procedures; National Weather Service guidance distinguishes safe shelters from trees or small open shelters. Allowable wind depends on the design and approved conditions, not a generic figure.
Disclose lasers, haze, smoke, flames or pyrotechnics so the hotel and competent authority can determine acceptability and required review. The hotel sources do not provide blanket approval for these effects. A vendor must not decide independently to disable fire detection.
Fort Lauderdale provides LauderBuild for applications and record searches. Confirm the permit applicable to the specific setup or outdoor activity; a hotel reservation does not replace it. Hollywood’s rules and those of other Broward municipalities do not carry over to this address.

What to submit and what response to expect
Gather a dated floor-plan revision, program and system list before finalizing the budget. Distinguish hotel contract terms, authority requirements, organizer decisions and technical recommendations. Including equipment in a proposal does not mean the setup is authorized.
| Document or information | Response still needed | Check before proceeding |
|---|---|---|
| Plan identifying rooms and partitions | Accepted layout, occupancy, exits and accessible routes. | Space name and revision match the contract. |
| Technical list and responsibilities | Authorized points, loads, power, network, vendors and operators. | No connection, inspection or strike task has an unassigned owner. |
| Outdoor or effects plan, where applicable | Hotel approvals and determination of applicable permits and inspections. | Approval record and conditions, not just an application or payment. |
LauderBuild allows users to check record status and manage revisions. If an application uses its Plan Room, follow the case instructions for corrections; uploading a file does not approve it. When equipment, layout, hours or effects change, identify the revision and request confirmation from the parties who approved the previous scope.
The selected sources provide no verified public rate for the setup, insurance or outside vendors. Request pricing, taxes, charges, deadlines, cancellation and change terms for your date.
This guide and worksheet do not reserve spaces, certify loads or replace the contract and approvals from the hotel and authorities.

Frequently asked questions
Can Las Olas Ballroom accommodate a seated conference for 950 people?
That figure is listed under reception in the public chart. Theater is listed at 920; the stage, screens, cameras and circulation must be included in the approved plan. Do not turn the advertised maximum into guaranteed occupancy.
Can I hire GLMedia if the hotel works with Encore?
Confirm the hotel policy and which services are reserved to the in-house provider. The page mentions Encore but does not itself define outside-vendor terms. GLMedia can prepare the technical scope for review before contracting.
Does the room height mean I can hang an LED screen?
Height alone is not enough. You need approved points, capacities, assembly weight and forces, clearances, documentation and approved responsible parties. One room’s height does not apply to another.
Does a Sky Terrace reception follow the same conditions as a ballroom event?
Do not assume it does. Confirm the area, access, loads, wind, shelter, noise and possible permits for that outdoor space. A ballroom reservation does not demonstrate approval to use the terrace or beach.
