Barry University Broad Center: stage, technical crew and AV setup
When preparing an event at Broad Center for the Performing Arts, define which stage area you need and who handles each technical task. Conference & Event Services (CES) coordinates Barry University rentals; its main campus address is 11300 NE 2nd Avenue, Miami Shores.
Do you need Full Stage, Apron or the pit?
Mark the main drape, equipment, stage circulation, control positions and exits on the plan. Broad Application publishes the dimensions below; they are not allowable loads and do not establish clear height or a pit lift mechanism.
The CES website and application state 979 seats; the 2022–2024 fee schedule lists 175–975. Obtain the accepted plan and occupancy for the project, including control positions and accessibility needs. Do not select a figure merely because it is higher or transfer capacity to other campus spaces.
| Application area | Published depth × width | What to check |
|---|---|---|
| Full Stage, behind the red main drape | 20 × 60 ft | Scenery footprint, screen and passages; it is not automatically added to the Apron. |
| Apron, in front of the red main drape | 8 × 40 ft | Whether the program and technical setup fit without using the area behind it. |
| Orchestra Pit, in front of the Apron | 14 × 40 ft; 4 ft 6 in below stage level | Access, edge protection and accepted use; do not assume a moving platform. |
Does rental include sound operation and mixing?
The Event Space Rentals page includes a technical director, staff and general custodial maintenance in its standard description. The Broad application requires at least 1 technical director and 2 stagehands. The 2022–2024 schedule determines staffing at the site survey and requires a technical director or assistant during setup, rehearsal and teardown. Confirm staffing and duties in writing; do not substitute roles without acceptance.
That schedule also sets a 4-hour minimum per day per staff member and another rate band after 8 hours. These are historical document terms requiring a current quotation. Separate direction, console operation, house/monitor mixing, cue following, load-in and load-out: that document excludes sound engineering while listing sound-board operators.
Follow-spots are listed without included operators. Agree who may install, connect, operate, inspect and remove each system and who retains control during rehearsal. These references publish neither union labor rules nor specific technical credentials.
What must be confirmed for microphones, projection and outside equipment?
Obtain the accepted inventory, models, manuals and patch before programming. The application does not identify the console, RF bands, connectors, video formats, available power or network access. Keep published product names without treating them as verified compatibility.
| Broad Application listing | Published scope | Check to prepare |
|---|---|---|
| Microphones | 5 standard wired and 4 standard wireless | Confirm quantities, models, frequencies and routes to house and monitors. |
| Screen | Labeled 16 × 20, no unit printed | Confirm dimensions, position, content format and visibility from the accepted plan. |
| Digital projector | 1, from a fixed location in Broad; optional | Identify model, input, resolution and lens before specifying settings; do not relocate it by default. |
| Scenic and other equipment | 22 × 50 ft cyclorama; Wenger choir shells and choral risers; optional Shure wireless lavalier | Confirm exact components and models; brand names do not establish loads or availability. |
Once the route and operator are confirmed, prepare a source, input, processing and destination check: test content, voice to house and return, and a file if recording is planned. If the house works but the file does not, check the recording destination before altering the overall mix. A projector and screen do not imply cameras, recording or a complete video package.
Save the patch and state handed over by the theater; change only one route in an agreed check and observe both house and return or file. If the change does not resolve the symptom, restore that revision before continuing. Without a model and manual, no menus, adapters or supply values are specified.
Can LED screens be flown, trusses added or haze used?
The planning guide requires CES acceptance and an approved vendor to hang decorations from ceilings or light fixtures. That condition does not establish structural points for motors, trusses, LED screens or sound. These references publish no Broad rigging map, point WLL, floor loads or ballast distribution.
Submit weights, reactions, supports, height, protection, load-in access and electrical distribution for exact-space review. Confirm route, doors and supply; stage dimensions do not prove that equipment can enter or be supported. Do not attach a screen to the cyclorama, drapes or lighting supports based on appearance.
The application and schedule list 2 optional hazers; that is not an effects permit. The guide notes that smoke can trigger alarms and prohibits open flames. Declaring model, location and use of haze, laser or pyrotechnics allows the venue and authority review to be determined. Do not disable detection or assume laser authorization.
When should setup, AV and access be confirmed?
The 2–4 business days published by CES are request processing, with possible additional review. The guide labeled REVISED 11/02/24 distinguishes 8 weeks for University Major Events and 4 for Programs. Do not automatically transfer those minima to an external Broad rental: confirm classification, eligibility, academic approval and contract with CES.
The guide asks for setup needs to be reviewed with “48 business hours” and gives Thursday for a Monday event and Friday for a Tuesday event as examples. Agree a specific date and time; do not turn it into 48 elapsed hours or a workday calculation different from the example. It specifies 2 weeks’ notice for a custom plan.
AV requests made 24 hours or less ahead are subject to availability. The guide requires additional arrangements for equipment outside the general 07:00–19:00 Monday–Friday hours; that does not define Broad crew shifts. Reserve load-in, rehearsal, doors, performance and load-out and who receives each delivery: policy does not allow the university to sign for the lessee’s equipment.
Which acceptance is needed in addition to the booking?
County GIS identifies 11300 NE 2ND AVE as MUNIC 11, MIAMI SHORES. Barry warns that other campus parcels have different jurisdictions and identifies Miami-Dade Fire Rescue as the main campus fire response. Identify the building and setup scope before determining the process with Miami Shores Building and the competent authority; university booking does not replace them.
The linked Broad application states 1000000/1000000 USD insurance for bodily injury/property damage per occurrence. Obtain current contract requirements and endorsements. The website and planning guide describe external-event eligibility differently: CES must confirm whether the project is accepted as university, co-sponsored or external.
| Requirement class | Scope | What to document |
|---|---|---|
| Authority | Permits, structure, electricity, effects, fire and occupancy as applicable to the project. | Competence and applicable conditions; no general exemption is established for Broad. |
| Institution and venue | CES booking, additional Broad approval, plan, access and restoration. | Confirmation, contract and accepted setup revision. |
| Organizer | Program, audience, cast, operation and accessibility. | Crew, schedule and actual needs; do not assume 979 seats resolve the entire plan. |
| Contract and vendors | Included services, quotation, insurance, labor and outside supply. | Who provides each task and who may work on the systems. |
| Technical recommendation | Signal check and configuration recovery. | Initial state, observed result and revision to restore; it does not replace approvals. |
How should costs and return to the accepted state be planned?
The 2022–2024 schedule distinguishes Full Stage, Apron only and Non-Performance; the last category covers load-in, setup, load-out and rehearsal days. It lists standard prices of 2500, 1600 and 1200 USD respectively, updated 08/29/2022. These are references for identifying categories, not current prices; obtain a quotation by space, day, crew and equipment.
Web policy includes setup, event and cleanup within the general 8-hour limit. The Broad page mentions included maintenance, while the policy and application make the lessee responsible for cleanup and restoration. Agree each party’s duties and reserved time. Do not assume free parking either: the guide requires mobile visitor payment and the rental page describes other terms.
For a change to stage area, equipment, attendance or time, submit revised plans and schedules to CES and the technical director. The guide routes cancellations less than 72 hours ahead directly to CES; that does not determine refunds for money, labor or outside rentals. Keep the previous confirmation and each service’s terms.
During load-out, restore patch, equipment, drapes, stage and surfaces with authorized staff according to the documented handover state. If a change was not accepted, keep that part out of use and return to the approved setup; do not restore supplies, loads or mechanisms without their operator.
Frequently asked questions
Can I book Apron only and use equipment behind the main drape?
Do not assume it is included. The document distinguishes the 8 × 40 ft Apron in front of the drape from the 20 × 60 ft Full Stage behind it. Submit the actual footprint and operation so Broad can confirm area, category, crew and price.
Does an included technical director also provide house and monitor mixing?
Not necessarily. The application requires 1 technical director and 2 stagehands; the historical schedule separates operators and excludes sound engineering. Agree direction, console operation, mixing, cues and shifts. Do not assume follow-spot operators are included.
Do Broad’s screen and projector cover video and recording?
That cannot be concluded. The application lists a 16 × 20 screen without a printed unit and 1 optional projector from a fixed location. Confirm dimensions, model, input, resolution, source and recording destination. No compatibility or complete video system is documented.
Does the inventory of 2 hazers authorize the effect or a laser show?
No. The inventory is an equipment option without project approval. Declare model, location and coverage to determine venue and authority review. The guide warns about smoke triggering alarms; do not alter detection to use the effect.
Does decoration approval allow a flown LED screen?
No. CES and an approved vendor must accept hanging decorations, but these references publish no Broad rigging points or loads. Obtain structural documentation, weights, reactions and the system method; a supported solution also needs floor and stability review.
Does processing a request in 2–4 days confirm the show and crew?
No. That is processing time with possible further reviews. Confirm contract, deposit, Broad use and staffing. The 8 weeks for Major Events and 4 for Programs are university classifications in the guide, not an automatic promise for outside rentals.
Which occupancy applies when the website says 979 and the schedule says 175–975?
Use the plan and occupancy accepted for your event. Keep the document discrepancy recorded and account for control positions or adjustments only through the appropriate review. Do not change seating, access or exits to reach a published figure.
Official documentation
Broad Application is the form linked by CES on a path labeled 2021. The fee schedule is limited to 2022–2024 and the guide retains REVISED 11/02/24.
