Prepare your event AV setup
Start with what needs to happen at your event: who is speaking, what the audience needs to see and what you want to record or stream. Share the venue, date and a preliminary agenda so we can help plan the setup. Final drawings, dimensions and model selections can follow as the details take shape.
What to prepare first
Venue and timing
Share the photos or floor plan you have, access routes and the load-in, setup, rehearsal and strike windows. We review which details still need confirmation with the hotel or venue before defining the proposal.
Program and content
Describe each segment: presentation, panel, video, interpretation, remote participation or recording. A draft agenda is enough to begin; we can refine the requirements for each session afterward.
Signal paths and connections
List each source and where it needs to go: displays, room sound, recording or streaming. The model guide helps check connectors and settings. Power, loads and suspension points need coordination with qualified technicians and the venue's authorized team.
Rehearsal and continuity
Allow time to test content and audio at their actual destinations, rehearse presenter changes and agree on alternatives for an interruption. Record what was checked and what still needs attention.

A documented setup: InsightsEDU 2026
The Westin Fort Lauderdale Beach case shows a 15 × 5 m ground-supported LED screen and pipe & drape in the pool area. It offers a concrete example of displays and space division; the case describes the scope of that work.

Tell us what you need to accomplish
Ask about equipment rental, purchasing or technical support for your setup. Share the goal, venue, date and the details you already have. We can use that starting point to evaluate options and identify what needs confirmation for the proposal.
