Reception and booth counters: work surface and storage
A registration counter needs to support guest check-in, staff work and restocking. A booth counter may also need product display and storage. Before choosing the front graphic, describe what the team will do behind the counter.
Identify the case, top and accessories
Expand lists the open US PodiumCase box at 48 7/16 in wide × 24 in deep × 39 in high (about 123 × 61 × 99 cm), with up to four interior shelves. Box dimensions do not replace the complete envelope with top and accessories.
Request a drawing of the complete counter and ask how it will be delivered. A case that opens into a counter takes up different amounts of space in each position. Record both transport and in-use dimensions, including packaging where relevant.
On narrow screens, scroll the table sideways. With a keyboard, use Tab to reach the table, then the arrow keys to scroll.
| Component or state | Information to request | What it helps review |
|---|---|---|
| Transport case | External dimensions with protection, weight and delivery orientation. | Access route and storage location with the venue. |
| Open assembly with top | Overall dimensions with top and accessories, usable surface and included parts. | Work items, reach and rear working space. |
| Shelves and closure | Clear dimensions, documented limit for each shelf and closure details. | Item placement, restocking and responsibility for valuables. |
Reception: describe the workstation
Identify laptops, readers, printers, badges and welcome materials. Separate items needed on the top from stored items and request approach space for the staff member.
For seated service or different reach needs, request a suitable alternative for review with the organizer. Standing counter height alone does not resolve all service needs. Queue design and circulation belong to the reception floor plan.
Booths: specify storage
Ask for shelf count, usable dimensions and access to each compartment of the offered model. Specify whether you need open shelves, doors or a lock. If documents or valuables will be stored, agree who is responsible for them.
Share the object list and request documented limits for each surface. Shelf loading does not automatically apply to the top, transport configuration or a display support. Monitor and tablet accessories need their own identified compatibility.
Confirm graphics, finishes and AV coordination
Request the top’s color, material and finish, along with complete accessory dimensions. If appearance on camera matters, ask for a sample or an identified finish reference. Record the selected version so the graphic order matches that counter.
List the counter, graphics and equipment separately in the order and identify who supplies each item. Send power and connection needs to the AV team. Cable routing should use the furniture’s intended provisions without drilling or modifying it.
Outdoor use: select the version and its conditions
Expand distinguishes PodiumCase Outdoor with a water-resistant top and outdoor graphics. That documentation applies to the Outdoor version; it does not make a similar-looking top, cover or furniture piece suitable for weather exposure.
Describe the supporting surface, exposure, duration and accompanying objects or equipment. Request the supplier’s conditions for using the complete setup and agree who will decide when weather requires stopping use or moving it. Check electrical equipment protection and wind conditions separately; a water-resistant tabletop does not answer those questions.
Site and environment review belongs to the responsible teams. Do not improvise ballast, anchors or attachments to hotel furniture. If conditions for the intended situation are undocumented, compare another location or model with the supplier before confirming.
Confirm the counter before preparing its graphics
Request the supplier’s template for the model, region and version being delivered. Give the designer that reference and the furniture name. An overall front measurement alone does not describe every graphic panel or area.
Before production, identify the file to be used and who confirms the final artwork. If the counter or an accessory affecting the front changes, check the template again. Do not automatically reuse artwork from a similar model.
A short inquiry to get started
Answer what you already know and copy the answers into your message. You can leave details blank and mention any photos, program or sketches you have available.
- What are the date, venue and booth or workstation location?
- Will the counter be used for check-in, customer service or demonstrations?
- What will staff do during a typical interaction?
- Which equipment and materials will be used at the same time?
- What needs to stay within reach, and what needs storage or safekeeping?
- Do you have artwork, branding or a reference photo?
- Will there be a display, video playback or audio?
- Do you have a sketch with known dimensions and delivery and pickup times?

Frequently asked questions
What should I check if one counter will serve check-in and demonstrations?
Describe the two tasks separately and list the equipment and materials used at the same time. Request usable worktop and storage dimensions, and tell the supplier which side staff work from and how they replenish supplies. If the function changes during the event, agree who prepares that change as well.
Is hidden storage secure for valuables?
Keeping items out of sight does not guarantee their security. Ask how the compartment closes and agree who is responsible for valuables.
Does a shelf rating apply to the entire counter?
No. Each surface and use or transport configuration needs documentation and instructions for the exact model.
How should I describe a registration workstation?
Explain the check-in sequence: checking registration, printing or handing over badges and replenishing materials. Identify equipment used at the same time and where supplies will be kept. This describes the staff’s work as well as the counter’s appearance.
Video and audio for this space
If the counter includes an on-screen demonstration, describe the content and staff tasks in the same inquiry.

Describe the work behind the counter
A photo, booth sketch or description of the service sequence is enough to start. Add the date, venue and an initial equipment and materials list. Note whether you need a display or content playback so we can coordinate it with the counter and staff tasks.
