Furniture dimensions to share when requesting a quote
A table’s length does not tell you how much working space it offers or how it will arrive at the venue. For a quote, separate the dimensions of the assembled piece, the space you need to use and the packed delivery dimensions.
Start with the task, then select the model
A conversation table, laptop workspace and display surface need different information. Explain who will use it, what will sit on it, for how long and whether it will appear on camera. A reference photo helps communicate the look; add the manufacturer and model code when available.
If the furniture will support a display or other audiovisual equipment, request compatibility documentation for the complete setup. The technical team needs to review the furniture, mount and equipment for that use. Matching dimensions alone do not confirm compatibility.
Separate three sets of measurements
On narrow screens, scroll the table sideways. With a keyboard, use Tab to reach the table, then the arrow keys to scroll.
| Group | What to record | Who provides or confirms it |
|---|---|---|
| Furniture in use | Length, width or diameter; overall and surface height; base and projections. | The supplier identifies the version and its specification sheet. |
| Usable space | Clear space above and below the top; legs, crossbars and proposed chair. | The organizer describes the task; the supplier provides the model drawing. |
| Delivery | Packages with protection, orientation, declared weight and cart or accessories. | The supplier describes what will arrive; the venue confirms the route and its conditions. |
Ask for the offered model’s specifications
SICO lists a 10 ft × 4 ft Conference Table (about 3.05 × 1.22 m). That measurement describes the top of that version. To assess suitability, also request the height, base arrangement and stored dimensions of the actual unit offered.
Keep manufacturer specifications, supplier-provided measurements and estimates separate. Ask the supplier to confirm the model and availability for the event date. The venue reviews access and the location where the furniture will be used.
Compare what each quote includes
You can compare venue furniture with an outside supplier’s option. Ask both for the model, finish, proposed quantity, delivery and pickup, and included accessories. Review substitutions using the same fields even when the color or sales name stays the same.
Leave missing details blank and note whom to ask. Use measurements for the model being offered. A photo can show the intended style, but it cannot supply dimensions for that piece or a similar model.
Folded dimensions, packaging and delivery route
For its 10 ft Conference Table, SICO’s R1 PDF lists a folded size of 35 × 48 × 70 in (about 88.9 × 121.9 × 177.8 cm). Those are storage dimensions. Ask for the protected package dimensions and have the venue review the delivery route separately.
Request the actual delivery configuration: orientation, protection, wheels, dolly and accessories. Record length, width, height and stated weight for each transported package. Open furniture, folded furniture and a loaded assembly may have different dimensions.
Share those details with the venue to review the full route, including doors, turns, elevators, the dock and a holding area where applicable. Check the elevator’s capacity and conditions of use as well as clear openings. The venue confirms access and times; the supplier specifies handling according to the model’s instructions.
If a cart or packaging changes, update the worksheet and revisit affected checks. Consider another documented delivery format or furniture model without modifying the mechanism or altering venue doors or finishes.
Ask where the delivery service ends
“Venue delivery” may leave a question open: will the furniture arrive at the dock, reach the room or be left ready in its final position? Ask the quote to state this, including who handles assembly or placement where needed.
Record who receives the order, the delivery window and arrangements for dollies and packaging. For pickup, state when use ends and when the venue permits access again. These details help compare what each offer includes.
A short inquiry to get started
Answer what you already know and copy the answers into your message. You can leave details blank and mention any photos, program or sketches you have available.
- What are the event date, city and venue?
- How will the furniture be used, and for how long?
- Which pieces and quantities are you considering?
- Are you considering rental, purchase or coordination with an existing supplier?
- Which dimensions do you know, and which are approximate?
- Do you have a photo, sketch or program that explains the idea?
- What do you need for delivery, placement and pickup?
- What video or audio support would you like to discuss?

Frequently asked questions
Can I inquire without a final floor plan?
Yes. Send a photo, sketch or available measurements and explain the intended use. We can use those details to compare options and identify what still needs confirmation.
Is a photo enough to identify the model?
It helps show the shape and finish. To compare dimensions, mechanisms and accessories, ask for the label, model code or documentation for the unit actually offered.
Which dimensions do I need to check the delivery route?
Ask the supplier for the dimensions of each package as delivered, including packaging and accessories, and identify the piece it contains. Share those details with the venue contact responsible for access so they can review the full route. Folded furniture dimensions alone do not confirm that the delivery will fit.
How should I record an estimated measurement?
Label it “approximate,” include the unit and identify the part measured. Keep the supplier-confirmed dimension separate, with its source and date. This keeps an early estimate from being treated as a final specification.
Video and audio for this space
If the furniture request is for a meeting, include video and audio needs in the planning.
