FAU Kaye, Boca Raton: planning an audiovisual setup
The Carole and Barry Kaye Performing Arts Auditorium is on FAU’s Boca Raton campus in Palm Beach County. This guide helps you prepare the audiovisual scope for that auditorium. Its conditions do not extend to other FAU theaters, and it does not establish that GLMedia has worked at the venue.
Identify the room and document revision
The general campus address is 777 Glades Road, Boca Raton, FL 33431. Request specific truck arrival instructions; the public entrance should not be treated as the loading route.
The technical PDF linked by FAU has 2026 in its filename and 03/07/2023 as its internal date. Treat it as a reference to confirm with the venue, not a guaranteed inventory for your event date. The website advertises 2400 seats; the manual lists 2381. Request the approved capacity for the layout you will actually use.
| Document or decision | What needs to be clear |
|---|---|
| Auditorium use | Event, date, included spaces and the person accepting the reservation. |
| Technical revision | Manual and drawings confirmed by the venue for this event; changes from the public documentation. |
| Location and authority | Boca Raton identifies the municipal location. Confirm permit and inspection jurisdiction for the work on campus; do not infer it from the address alone. |

Agree on system operation and sound
The manual reserves operation of the motorized rigging to house staff. It does not make that task available to any outside technician. Coordinate connections to auditorium systems with its technical team.
For sound, the document specifies an average of 95 dB, A-weighted. Agree with the venue on the measurement position, averaging interval and response to an exceedance; the published number does not define those details.
Prepare a list of signals, microphones, monitors, playback, cameras, recording and streaming. Separate what each supplier provides from what you expect to use from the auditorium. Identify who tests the signals and who may change the system during the event.

Submit rigging, support and power plans
Motor specifications and truss drawings do not certify an additional load for your screen or scenery. Submit the complete assembly weight and its location for technical review. Do not add motor ratings together to obtain an approved load.
The manual requires a university electrician for the company switches. Before selecting distribution equipment, ask the electrician to confirm the usable supply, connectors, protection and scope of work.
| Proposal | Recommended preparation | Confirmation needed |
|---|---|---|
| Suspended LED, lighting or signs | Drawing showing position, total weight, hardware and cables. | Accepted points and loads, conflicts and person responsible for operation. |
| Ground-supported screen or platform | Dimensions, bases, reactions, ballast and floor protection. | Accepted supports, clear routes and setup and removal method. |
| Power distribution | Load list by system and distribution diagram. | Assigned supply, connection, inspection and disconnection. |
These are preparation recommendations. They do not replace calculations, venue approval or any required inspection.

Plan access, layout and load-out
Compare the loading route with actual flight-case and assembled-equipment dimensions. Request an access plan, schedule, vehicle waiting area and unloading conditions. Do not turn a published door or stage dimension into a guarantee of clearance.
Mark cameras, audio control, cables, bases and circulation on the drawing. Check sightlines, accessibility and egress before finalizing seating. Allow time for testing, rehearsal and restoring the space; get written confirmation of any storage allowed after the event.

Haze and other effects: a specific restriction
The Student Union policies, revised in 2021 and still linked by FAU, expressly prohibit haze in Kaye. Do not include it as an available service. If you receive different instructions, ask the venue to identify the applicable rule in writing before changing the design.
Booking the auditorium does not authorize lasers, pyrotechnics, smoke or other effects. Submit each effect separately, with the equipment, consumable, operator and area of use. Record venue restrictions as well as approvals from the applicable authority; do not promise an exception.

Assign responsibilities and control changes
FAU provides an event-planning route for external clients and links request and change forms. Use the channel specified for your event; submitting a form does not establish setup approval.
| Type of condition | How to record it |
|---|---|
| Legal or authority requirement | Applicable permit or inspection, competent authority, document and scope. |
| Institution or venue condition | Room, accepted configuration, restrictions and technical lead. |
| Organizer responsibility | Program, recording rights, audience information and supplier coordination. |
| Contract term | Required crew, included or exclusive services, insurance, confirmed costs, deadlines and surcharges. |
| Technical recommendation | Drawings, signal and load lists, tests and working revision. |
If weight, position, power, capacity, effects or schedule change, identify the revision, explain the difference and request confirmation of the affected work before proceeding. Keep the previous drawing and the response with the new revision.
Preparation worksheet: this is not a reservation, permit, structural calculation or technical approval.

Frequently asked questions
Does this guide confirm that GLMedia can work there?
It does not establish availability, previous bookings or approved-vendor status. It helps prepare a proposal whose scope and staffing must be agreed on for the event.
Can I request a proposal without knowing the equipment?
Yes. Describe what the audience needs to see and hear, the program, date and planned layout. Models and installation methods can be selected after reviewing auditorium conditions.
What do I need for recording or streaming?
Plan camera positions, signals, audio, connectivity and content permissions. Agree on recording scope with the organizer and venue; do not assume rental includes rights, internet or crew.
What remains to be confirmed before booking?
Availability, the accepted technical revision, usable capacities, layout, crew, contract, insurance and costs. Public documentation supports preparation; the response for your event needs to be clearly identified.
