Gaylord Opryland: Ryman halls, ballrooms and production access
Gaylord Opryland’s official meeting guide distinguishes Ryman Exhibit Hall, Ryman Ballroom, Studios, other ballrooms and outdoor areas. Its capacity tables exclude staging and AV. This guide helps select and review the room without replacing an event technical plan.
1. Identify the space
The resort separates the Convention Center, Ryman Exhibit Hall, Ryman Ballroom, Ryman Studios and upper-level meeting spaces. Use the full room name, section and level on the contract. A shared Ryman name does not make these one space or grant identical access.
2. Ryman A and B
The official table places Ryman Exhibit Hall A and B on Exhibition Level 0. It lists 150746 sq ft for A, 113026 sq ft for B and a 1000 lb/ft² floor load for both. These are starting points for planning, not clearance for supports, wheels, vehicles or stage loads.
| Area | Guide information | Limit |
|---|---|---|
| Ryman Hall A | 150746 sq ft; 1000 lb/ft² floor load. | Review supports and route. |
| Ryman Hall B | 113026 sq ft; 1000 lb/ft² floor load. | Review supports and route. |
| Ryman Ballroom | Exhibition Level 0. | Do not use A/B floor figure. |
| Ryman Studios | Exhibition Level 0. | Check contracted room/division. |
3. Ryman Ballroom and Studios
Ryman Ballroom and Ryman Studios also appear on Exhibition Level 0, but they are separate from the exhibit halls. Compare dimensions, height, divisions, access and occupancy for the exact room. Do not apply the A/B floor table to ballroom or studios.
4. Ballrooms and mezzanines
The guide’s map places Tennessee, Volunteer, Davidson and Delta Ballrooms on Convention Center Level 2 and Magnolia, Volunteer and Delta Mezzanine areas on their own levels. Separate general session, breakouts and corridors; plan cable routes and travel time by contracted floor.
5. Loading and circulation
The Ryman plan shows docks, freight elevators, doors and direct vehicle access. Its hall fact sheet mentions 17 covered loading docks. Assignment, usable dimensions, route, protection and time windows are event-specific; no hall has unrestricted use of every door.
| Topic | Available evidence | Confirm |
|---|---|---|
| Loading | Ryman plan and 17 covered docks. | Door, window and route. |
| Capacity | Maximum without stage or AV. | Final layout and approval. |
| Rigging | No point map in planner guide. | Points, loads and provider. |
| Power/network/effects | No detailed technical rules. | Services and approvals. |
6. Capacity with production
Gaylord Opryland warns that maximum capacities exclude staging and audiovisual and will decrease with them. Redraw the layout with screens, PA, control, cameras, aisles, egress and tables before quoting audience capacity. The hotel and organizer determine the final plan.
7. Rigging: dated source and current plans
An Encore brochure expressly naming Gaylord Opryland (©2022) says its team handles rigging and requests a plot showing flown equipment, points and load calculations; it mentions submission 21 days before load-in. This is dated supplier policy, not proof of current contract terms. Request current CAD point locations and ratings, applicable provider and deadlines, power, network, haze rules and written event-layout approval from the hotel and event team.
8. Review package
Prepare the contract, exact room and division, current plan, equipment and weights, floor supports, load-in route, audience layout with AV, power and network diagrams, and proposed rigging and effects. Record hotel, organizer and authority responses separately.
Frequently asked questions
Do the official capacities include stage and screens?
No. Gaylord Opryland says capacities are reference maximums without staging or audiovisual equipment. The organizer and hotel must recalculate the actual layout.
Does Ryman’s published floor load clear any support or suspended item?
No. The planner table lists 1000 lb/ft² for Ryman A and B as a floor figure. It does not provide point loads, approved routes or overhead capacity; request a setup-specific technical review.
