PowerPoint 2024 for events: videos, fonts and speaker notes
Prepare the presentation on the computer and displays planned for the event, as well as reviewing it with the speaker. This guide covers media, fonts and display destinations in desktop PowerPoint 2024. The display setup steps apply to Windows; consult the web or Mac edition’s instructions before applying them in another environment.
Receive an identified version and its resources
Record the room, speaker, approval owner and version name. Ask about slide proportions, videos with audio, speaker notes and pending changes. Keep a reference PDF if supplied; it helps compare layout but does not preserve videos or animations by itself.
Work with a local copy of the deck and resources you have permission to use. For cloud files, confirm which copy will open and which features need connectivity. Agree with the speaker on the version to use and identify that copy, even if the filename already says final.
Approved deck + resources → rehearsal copy → audience slides / Presenter View
Is the video embedded or linked to another file?
Microsoft distinguishes embedded video from a linked file. Moving the deck can break a link; collect the linked file and check its path. On Windows, File → Info provides media and link information where applicable.
Microsoft recommends MP4 with H.264 video and AAC audio for this workflow; check those codecs as well as the MP4 extension. Rehearse a segment in Slide Show mode, checking click or automatic start, the picture at the end of the video, audio and the return to the slide. For online video, check access and agree on an authorized alternative before the event.
Have line breaks changed or characters disappeared?
Compare headings, tables and special characters against the author’s reference. PowerPoint 2024 supports font embedding, but individual font permissions can prevent it. On Windows, review File → Options → Save; Mac uses its own preferences path.
If later editing is allowed, consider embedding all characters. Embedding only those used can limit subsequent changes. If embedding is unavailable, agree on an alternative font with the author and review the layout. Do not install fonts or transfer licenses without authorization.
Separate slides, notes and the operator workstation
In PowerPoint 2024 for Windows, Presenter View shows notes and the next slide while the audience receives the slideshow. Prepare extended displays and enable Use Presenter View under Slide Show. Review the selected assignments and check what appears on the audience and speaker displays, regardless of connection order.
If notes appear on the audience display, stop the rehearsal and correct the display assignments. For additional destinations, define which share a picture and which need an independent output. Use the guides linked below to prepare the DSM and PerfectCue control.
| Destination | Proposed picture to verify |
|---|---|
| Audience | Slides without notes or a private desktop. |
| Speaker | Agreed notes and references, readable from the speaker’s position. |
| Operator | Required controls and view without changing the audience output. |
Rehearse videos, notes and controls
Example: a talk combines speaker notes and two videos. Prepare an identified copy and a list of video slides, how each video starts and the sound expected. Rehearse on the planned computer and displays to check that setup, in addition to reviewing the deck on the speaker’s computer.
An approved PDF can cover static material; an exported video may work if fixed timing and loss of interactive navigation are accepted. Any conversion needs the author’s review.
- Run a slide with sensitive fonts, each video and an animated transition.
- Check picture and audio at the audience destination; check notes at the speaker destination.
- Test forward, back, pause and exit. Record version, build, file and pending items before accepting last-minute changes.
Room handover: PowerPoint, Keynote and ProPresenter
Organize delivery by room and session, even when every presentation belongs to one event. For each, identify the agreed version, who confirms the content, the destination computer and application, and pending checks. Use this record to hand over PowerPoint, Keynote and ProPresenter files; consult their guides for application-specific features.
Receipt → review copy → content approval → identified room copy → run
| Field | Complete before the run |
|---|---|
| Identity | Room, segment, speaker, order, exact filename and version. |
| Resources | Editable file, linked media, permitted fonts and visual reference. |
| Destination | Application/version/build, OS, local copy and required notes. |
| Status | Received → reviewed → approved → cleared for that room; owner and time/zone. |
A new version arrives after approval?
Keep the approved copy and save the revision under another name. Ask which slides and resources changed, why, and who confirms the content. You could name it RoomA_Segment03_v04_1630.pptx and add the date and time zone to the delivery record. Confirm the version to use with the speaker and operator, alongside checking names such as final or final2 and the file-copy time.
- Compare changes and their effect on sequence, notes, fonts and media.
- Review the changed section and adjacent transitions on the intended workstation. Expand review if hardware or software version changes.
- Confirm the version with the person approving the content and tell the operator the exact filename to use. Keep the previous version clearly identified and agree on how to return to it if needed.
It opens, but media or layout changed?
In PowerPoint, check linked media and font permissions as described in this guide. In Keynote, keep the .key file and check any .pptx export in PowerPoint. In ProPresenter, review both playlist content and its resources on the destination computer; verify that each media file is available as well as copying the playlist.
For cloud files, agree on which version to download and when it will be ready for each room. If it changes afterward, review the new copy and its changes before handing it to the operator. Keep the copy already in use and work on changes separately.
What if there is no time to review a change?
If there is no time to check a correction, identify the pending checks and agree with the speaker and operator on which version to use. Consider keeping the previous version or preparing a static, PDF or video alternative. Review with the author what it retains or changes in navigation, notes, animation and sound before choosing it.
Example: two rooms receive a talk, but only one requests a correction. Identify versions and confirmations by room, check the correction and tell each operator which copy to use. Include the file list, completed checks and anything still requiring review or rehearsal in the handover.
