Vizcaya: planning an AV setup around historic surfaces
A screen, speaker tower or light needs a location compatible with the museum. This guide helps plan evening events in the Main House, terraces and gardens. It does not automatically apply to Vizcaya Village, daytime visits or filming.
The space and the approval process
Vizcaya Museum and Gardens is at 3251 South Miami Avenue, Miami, FL 33129, within the City of Miami in Miami-Dade. The county owns the property; Vizcaya Museum and Gardens Trust, Inc. operates it. Vizcaya Village has a separate address: 3250 South Miami Avenue.
The rental program accommodates weddings, corporate events and social events. Identify each terrace, garden, loggia or courtyard in the agreement. Furnished historic rooms are not production rooms. Confirm each AV vendor’s eligibility separately before contracting them.
| Requirement type | What to resolve |
|---|---|
| Public authority | Check permit applicability with the City of Miami; do not use Miami Beach procedures. |
| Venue | Obtain acceptance of the event use and setup from Vizcaya’s events team. |
| Contract / exclusive service | Tents are arranged through Vizcaya’s designated supplier. Confirm AV vendor eligibility. |
| Organizer | Define the program, guests, budget and responsibilities; organizer instructions do not replace approvals. |
| Technical recommendation | Prepare a layout, loads, power distribution and a compatible alternative before finalizing equipment. |

LED, truss and supports: keep loads off historic fabric
The agreement prohibits attaching or anchoring items to the property and placing equipment on lawns or plantings. A railing cannot become an anchor merely by adding padding. Do not quote a building suspension without a solution expressly compatible with these restrictions.
The agreement prohibits bands, dancing and seating chairs on the loggias’ marble floors. A ground-supported screen also needs review: show total weight, each support footprint, ballast, floor protection, cart routes and clearance from exits. This guide does not establish a floor load rating or a rigging-point schedule. Padding under a base does not establish that the floor can carry the load.
Do not transfer a tent’s ballast approval to a truss or LED structure. Request separate documentation for each structure, its loads and the party accepting its location. No ballast weights or wind limits for a specific setup are established here.
Power, lighting, sound and effects
Submit the electrical demand to the events team. Vendors must plan distribution; pedestrian crossings need cable covers, and adhesive tape is prohibited. Confirm circuits, connectors, protective devices, authorized connection work and any generator before selecting equipment. A photograph of an outlet does not establish available amperage.
Additional lighting inside the Main House is prohibited except for the LED candles allowed by the agreement. Smoke machines, cold sparks, fireworks and open flames are prohibited. Do not treat haze as an automatic exception to the smoke restriction. Laser use is unconfirmed: leave it out of the proposal until compatibility and approvals are resolved.
Plan audience-focused sound coverage, a level-control operator and a monitoring position. The venue requires volume reduction when instructed and may stop the event. A municipal limit does not override the museum’s contractual condition. No approved dB limit or measurement position is established here.
The venue FAQ lists a 200 A three-phase supply for East Terrace and another for Garden Mound. This reference does not establish the power assigned to your event, voltage or simultaneous availability. Request identification of each point, voltage, connections, available load and connection responsibility; check the response against your load list before reserving equipment.

Access, setup and removal
Coordinate large vehicles before arrival. Check the actual route, cart and doorway dimensions, and surface protection. Keep exits, ramps, hydrants and emergency access clear; agree on an accessible guest route that avoids the work area.
The following times come from the rental agreement unless early access is contracted. Guests cannot arrive before 18:30. Include testing and removal in the schedule: equipment must leave that same evening. Also confirm restoration closures and the severe-weather plan.
| Area | Setup starts |
|---|---|
| Service Area | 12:00 |
| East Terrace | 15:00 |
| Gardens / South Terrace / Mound | 16:00 |
| Main House — entry through East Loggia | 17:30 |
There is another difference for the Main House: the agreement revised on 2026-02-01 specifies 17:30 through East Loggia, while the website FAQ says 17:15 for the Courtyard. Do not bring equipment in early based on that 15-minute difference. Confirm the area and access in the accepted schedule; if setup and testing will not fit, revise the scope or purchase early access where permitted.

Tents, insurance and costs: resolve the differences before signing
The official documents contain differences that must be resolved for the event. The agreement revised on 2026-02-01 and the events page require a tent above 90 guests; the linked rental guide says 100 or more. The agreement requires insurance at least 30 days ahead; the guide says 45 days. Obtain written confirmation of the threshold and deadline for your event. Do not automatically choose the shorter deadline.
The guide also requires approved vendors, including equipment suppliers. The absence of a named exclusive AV contractor is not permission to bring any company onsite. Confirm vendor admission, credentials and who may install, connect, operate and remove each system; no specific union arrangement is confirmed here.
The published insurance requirement is USD 1,000,000 in general liability with the coverages and terms specified in the agreement; it requires Miami-Dade County and Vizcaya Museum and Gardens Trust, Inc. as additional insureds and a waiver of subrogation. Vendors are also subject to insurance requirements. Tents must be ordered and paid for through Vizcaya at least 45 days ahead; stakes are prohibited. Confirm coverage and validity with the organizer and insurer.
As a pricing reference for 10/18/2026, the published base rental is USD 23,000 for up to 100 guests, from 18:30 to 23:00; the published maximum is 300 guests. This is not a GLMedia AV quote. Budget separately for a tent, early access, extended hours, insurance, cleaning and other applicable services; confirm rates and taxes against the current agreement.
| Item | Published reference in USD |
|---|---|
| Each additional guest above 100 | 25 |
| Clear tent 33 × 113 ft | 8,500 + 7% |
| Clear tent 33 × 180 ft | 12,000 + 7% |
| East Terrace: access 12:00–15:00 | 9,000 |
| East Terrace: access 09:00–12:00 / 06:00–09:00 | 18,000 / 18,000 |
| Each permitted additional hour after 23:00 | 2,400 |
Extensions must be contracted: the latest finish is 00:00 Sunday through Thursday and 01:00 Friday and Saturday. Music and beverage service stop 15 minutes before closing. These venue figures are subject to change; do not automatically add access windows without confirming pricing for the requested schedule.
The rate table and rental guide list USD 2,400 per additional hour, while the FAQ on the same webpage says USD 2,000. Keep both references and request the accepted price for the specific extension; do not finalize the budget or load-out using the lower figure by assumption.

What to submit and how to review a change
The agreement requires layouts, diagrams and the run of show at least 30 days ahead. Prepare one dated, versioned package covering occupied areas, equipment and supports, loads, power distribution, accessible routes, emergency access, timing, vendors and responsibility for each system. The downloadable worksheet collects these details; it is not an official application.
If a screen, support, electrical demand, location, schedule or vendor changes, identify the difference and resubmit the revised version before installation. This is a change-control recommendation; agree on the formal amendment procedure with Vizcaya and the relevant authority. Retain a response identifying the accepted drawing and its conditions.
This guide supports planning; it does not certify structural capacity, power availability, full accessibility or event approval. Resolve the project-specific conditions before setup.
Frequently asked questions
Can I quote LED before deciding how it will be supported?
You can compare preliminary options, but not finalize the setup: each option changes supports, loads, access and approvals. Identify unresolved items in the proposal.
Does a tent allow suspended lights or screens?
Not automatically. Ask the designated supplier about the specific loads and locations, and obtain venue acceptance. Do not assume the tent structure provides usable suspension points.
What if official documents disagree?
Identify the document, clause and event; request written confirmation before relying on a price or deadline. Keep both references and the response with the agreement.
Does contacting GLMedia reserve Vizcaya or apply for permits?
No. The inquiry helps define the AV scope and outstanding conditions. Booking, vendor admission and permits follow their respective processes.
Does the published 200 A three-phase figure confirm power for my setup?
No. The FAQ lists that reference for East Terrace and Garden Mound, but the assigned point, voltage, available load and authorized connection personnel must be confirmed. Do not turn the published figure into usable power without those details; compare the accepted allocation with the demand from LED, sound and lighting.
