The proposal lists the equipment, transportation, setup and operating hours you choose. We coordinate the AV work with your planner, décor team and entertainment team. We review venue services and charges, applicable permits, rigging and power to identify what the proposal covers and which venue costs to plan for.

Frequently asked questions
Do you work directly with event planners?+
Yes. We prepare the AV work with your planner: microphone, video and lighting cues, room changes and coordination with the DJ or performers. We review entrances, speeches, performances and the finish time to fit setup and rehearsal into the schedule. We also agree on a contact for cue changes during the event. If the program is still taking shape, we can start with its main moments.
Can I rent just the LED screen?+
Yes. You can request one screen or combine it with other equipment. We help you choose its size, format and playback system based on the space and what you want to show. Rent it for your technical crew or add delivery, setup, connections, testing, operation and removal; we help you select the stages you need.
Can you show family videos and live camera images?+
Yes. We can play your videos and add cameras for speeches or performances. Together, we plan which moments to show, camera positions, sound and image switching. If you also want to keep those moments, we can include recording as an additional option in the proposal, planning both what appears on screen and the file you want to keep.

Practical questions before you book
How should I prepare videos and presentations?
We provide the final screen pixel map and playback requirements before you export. For testing, we use the presentation with its fonts and linked media, and original video files when available, which preserve quality better than messaging-app previews. We identify the final version and playback order, then check resolution, aspect ratio, audio and cue points. If you also need editing or content creation, we list it as additional work in the proposal. You can contact us before the files are ready.
How do we combine decorative lighting, speeches and cameras?
Room lighting sets the atmosphere; for speeches and cameras, we also plan the light that makes faces clearly visible. We review where people will stand, their movements and the planned shots, then coordinate fixture positions, color and control with the cameras and LED screen. The proposal separates room lighting from stage and presenter lighting so you can choose both or just the part you need.
How do we arrange extra time if the event runs longer?
Let us know when an extension becomes likely. We review crew, equipment and venue access availability with your production team and the venue, then explain the additional hours and costs before agreeing on the extension. We also coordinate removal, security, transportation and the room’s next use. The initial proposal states the operating schedule so you have a clear reference.
