BISCAYNE BOULEVARD · GENERAL SESSION + BREAKOUTS

Audiovisual event planning for Hilton Miami Downtown

A large Symphony general-session room, multiple meeting rooms and daylight boardrooms call for a coordinated system plan. GLMedia can quote a defined technical package around the hotel’s current rules and the client’s agenda.

TOTAL EVENT SPACE

62,181 sq ft

Hilton’s official event page publishes a substantial multi-room inventory for conferences and social programs.

MEETING ROOMS

23 rooms

Room counts affect signal distribution, technical staffing, rehearsals, recording and equipment moves.

SYMPHONY

16,684 sq ft

The published capacity chart lists up to 2,000 guests in theater or reception configuration.

DAYLIGHT ROOMS

Five boardrooms

The hotel notes floor-to-ceiling windows in five boardrooms, making ambient-light and display selection important.

Design separately for the ballroom and the daylight rooms

A high-capacity Symphony setup needs a large-image plan with defined sightlines, control position, camera angles, audio coverage and egress. Boardrooms with floor-to-ceiling windows have a different problem: daylight can reduce image contrast, so display technology, placement and shades must be checked before committing to projection or smaller monitors.

GLMedia can connect those rooms through a coordinated content, recording and overflow plan while keeping equipment counts and technical staffing tied to the actual agenda.

What information determines the Symphony screen size?

The final seating layout, stage depth, presenter position, farthest viewer, ceiling and rigging rules, egress, power and camera plan determine the useful screen—not the maximum room capacity alone. Confirm whether the wall may be flown or must be ground supported and how much time is available for installation and testing.

How should daylight meeting rooms be handled?

Confirm window orientation, blackout or shade capability, meeting hours and viewing distance. Direct-view LED or high-brightness displays may outperform projection in uncontrolled light, but the correct choice depends on room size, content detail and budget. A site survey or current photos reduce guesswork.

What can GLMedia quote?

Subject to hotel approval, GLMedia can quote LED displays, processing and playback, cameras, switching, IMAG, recording, streaming, confidence monitors, timers, intercom, audio, lighting, staging, pipe and drape, power distribution, technical direction and bilingual crews. The quote identifies any qualified external resources used for the approved scope.

What should be sent before the first technical budget?

Send the event date, room assignments, agenda, attendee count by room, floor plans, stage concept, content format, remote-presenter plan, recording or streaming requirements, hotel production rules and any current house quote. We can then build a main-room and breakout matrix with clear assumptions.
