Can you handle only one technical area?+
Yes. You can hire us for one system, such as an LED wall with playback, or combine it with sound, lighting, cameras and staging. Tell us which parts your agency or other suppliers already handle. We quote the equipment and technicians needed for our part and agree on signal connections, schedules and the person coordinating the technical work.
Can you work with our agency or venue?+
Yes. We work with your agency, producer and venue contact to fit the AV system into their plan. Share the current layout and schedule, then identify who approves equipment, content and changes. Before installation, we agree on access, power, signal connections and handovers between suppliers. Your agency keeps its client relationship and overall event responsibilities.
Does the rental price include delivery and pickup?
Check the delivery and pickup lines in the quote; they are included only when listed. The address is just part of the job: unloading at a loading dock is different from moving cases up stairs or waiting for a service elevator. Send us the venue’s loading instructions and access times before we quote. Long carries, parking, waiting time and extra trips can affect the transport cost.

Practical questions before you book
Can I ask for a quote before I know which equipment I need?
Yes. Start with the date, venue or city, approximate attendance and what will happen during the event. For example: speakers with slides, a panel discussion, live music or a video shown across several screens. Tell us whether you need equipment only or a crew to set up and operate it. If the room is not confirmed yet, say so; we can start the discussion and identify what needs checking before a firm quote.
Can you work with a fixed AV budget?
Tell us the available amount and what the event cannot do without. We can compare screen sizes, equipment choices and operator schedules, with the differences explained in the quote. Cutting equipment is not always the useful saving: a simpler setup may reduce installation time too. We still need to allow for the crew, power and support required to install and run the chosen system safely.
How do I compare two AV quotes fairly?
Compare the complete equipment list, screen dimensions, rental dates, installation and removal, operator hours, transport and taxes. Check venue services, power, internet and any exclusions separately. A cheaper equipment-only quote is not equivalent to an installed and operated system. Send the scope you are comparing and we can clarify the differences in GLMedia's proposal.
Does requesting a quote reserve the equipment?
No. A form, WhatsApp message or calculator result starts the conversation. We check equipment and crew availability and send a proposal with the payment terms, any deposit and the steps to book. Wait for our booking confirmation before relying on the equipment for your date.
How can we prepare AV for an event that repeats every month?
Share the recurring dates, room plans and what changes between editions. We can document a preferred equipment setup, content format, contact list and installation sequence. Each date still needs availability and schedule confirmation. Keep a record of actual audience size, technical changes and issues after each event so the next proposal reflects how the program is used.
What should I check with the hotel before booking AV?
Ask the hotel for its outside-vendor requirements and the room’s production information. We need the load-in window, loading route, freight-elevator dimensions if applicable, power options and any rules for rigging or floor-supported screens. Check whether the venue requires its own labor or services and who pays those charges. Send the documents with your request so we can account for them in the proposal. Choosing GLMedia does not waive the hotel’s requirements.
