The compact LED reference price does not automatically include audio, lighting, venue services or delivery to every destination. Separate equipment, transport, setup, supervision and operation in the proposal. A floor-supported structure still needs an approved footprint and review of floor loading and the proposed configuration.

The hotel promotes a fifth-floor rooftop event area overlooking Biscayne Bay and the Miami skyline.
BREAKOUTS
Simultaneous rooms require a defined content, audio, recording, technician and schedule matrix.
The Grand Ballroom supports a conventional general-session workflow: screen geometry, stage, cameras, audio coverage, show control, power and rehearsals. The rooftop introduces wind, weather, daylight, ambient noise, ballast, protected cable paths and an indoor backup plan.
GLMedia can build a common content and production workflow while specifying which parts change between the ballroom and rooftop. That reduces last-minute substitutions and makes the cost of the weather contingency visible before the event.
Confirm the exact terrace, allowable loads, wind and weather policy, ballast rules, equipment anchoring, cable route, available power, permitted sound level, working hours, elevator and stair access, fire lanes and indoor backup. Outdoor LED, audio and lighting must be selected for the approved conditions rather than treated like ballroom equipment.
Use the final room section, stage depth, audience width, farthest viewer, ceiling and rigging rules, camera plan and control position. The published guest capacity does not include production footprint. Ground support or flown deployment must be approved before screen dimensions and labor are finalized.
The client should provide its Marriott agreement and current house quote. GLMedia can map required hotel services, signal, internet, power, labor, rigging, room turns and handoffs, then quote the approved outside scope without duplicating mandatory services.

GLMEDIA PRICING REFERENCE · NOT A HOTEL QUOTE
Quote the indoor meeting and any rooftop reception as separate operating areas. Share guest flow, timing and the weather fallback so equipment transfers, sound coverage and staff are not counted twice or left out.
The published reference includes compatible standard ground support, LED processing and one standard presentation input, qualified setup and strike, up to six technician hours during the event day, and local transport within 30 one-way miles of GLMedia’s Miramar location under normal access and working hours.
Hotel/in-house AV fees, power service, rigging, exclusive or union labor, internet, parking, tax, restricted loading, long carries and extra operating hours are separate. Audio, lighting, cameras and staging are not included in this LED reference. Dates, access, availability and final responsibilities are confirmed in the written proposal.

Request a technical proposalThe organizer or venue confirms the registration process and submission deadline. We coordinate the crew information required for our work, while approval remains with the responsible event or security team. Confirm the service entrance, check-in location, permitted hours and unloading authorization. Guest tickets and event admission are separate from technical crew credentials.
Send the clear door opening, cabin width and depth, rated load and the route from the loading dock to the room. We check the largest loaded case and support components, not just an individual LED panel. Include corridor turns, ramps and floor protection. A modular system may help, but elevator access cannot be promised from screen dimensions alone.
Send both layouts and the time available between programs. We identify equipment that can stay in place and what needs to move, be rewired or tested again. The changeover requires its own crew and access plan while catering and other vendors work. A short break in the agenda is not automatically enough time to rebuild a stage or LED wall.
Plan microphone choice and wind protection for the actual exposure, then define separate audience and recording feeds. Test speech with the expected background sound and confirm permitted levels with the hotel. A recording feed should be checked at the recorder itself; raising outdoor PA volume is not a substitute for a clean microphone signal.
Prepare a sequence of lighting looks for the expected change in daylight and test camera exposure during rehearsal. Confirm who adjusts the looks and which fixtures are suitable for the approved outdoor conditions. If speeches begin after the reception, include that operating time instead of assuming the setup crew remains on call.
They can be planned that way, but each source needs an identified destination, recording operator and file label. Agree on start/stop cues, sound feeds and how files are collected afterward. Simultaneous sessions may require separate recording systems. Confirm the actual cable or network path rather than assuming both areas share one production connection.
