Equipment, crew and venue services
Name the building, floor and booked space before combining the AV package. The hotel publishes indoor and outdoor event areas, but that does not establish supplier approval or access for your date. Use the current room plan to coordinate sound, light and equipment movement.

The compact LED reference price does not automatically include audio, lighting, venue services or delivery to every destination. Separate equipment, transport, setup, supervision and operation in the proposal. A floor-supported structure still needs an approved footprint and review of floor loading and the proposed configuration.

Planning the screen, stage and technical crew
Breakouts and multiple levels
A simultaneous program needs a room-by-room list of sources, screens, microphones and operators. We plan presentation handoffs, recording needs and cable routes rather than assuming one ballroom system can cover every session.
Rooftop is a separate setup
A terrace proposal needs weather contingencies, approved structural design, equipment protection and an indoor fallback. An indoor LED package is not an outdoor offer; wind exposure and the permitted installation determine the system.

The published reference includes compatible standard ground support, LED processing and one standard presentation input, qualified setup and strike, up to six technician hours during the event day, and local transport within 30 one-way miles of GLMedia’s Miramar location under normal access and working hours.
Hotel/in-house AV fees, power service, rigging, exclusive or union labor, internet, parking, tax, restricted loading, long carries and extra operating hours are separate. Audio, lighting, cameras and staging are not included in this LED reference. Dates, access, availability and final responsibilities are confirmed in the written proposal.

Electrical demand and equipment weight are calculated for the selected configuration. Elevator fit is checked against the largest loaded case—not the LED panel alone. Hotel capacities are not final seated capacities once technical equipment is added.

Has GLMedia installed LED at Fontainebleau Miami Beach?
Yes. We installed an outdoor LED screen for The Catch 2023. The project page shows the screen behind the stage, the guest area and the rear assembly during setup. It documents that installation; it does not mean we are the hotel’s in-house AV provider.
Is the screen in The Catch photos the USD 3,650 package?
No. The photos show a separate outdoor project. The starting package on this page is an indoor P2.6 wall for one event day. An outdoor installation needs its own equipment selection, support plan and weather contingency; we quote it separately.
Can I bring GLMedia in as an outside AV supplier?
Yes, subject to the hotel’s approval for your event. Send us the booked room and any outside-vendor requirements. Our quote identifies our equipment, installation and operators; the hotel or its in-house provider confirms required services and charges such as power, rigging, internet or labor. GLMedia is an independent supplier and does not sell the hotel’s event packages.
Do I need to know the screen size before asking for a quote?
No. Start with the room, audience size and what will be shown: slides, a live camera feed or video. A floor plan and the distance to the last row help us suggest a size. If you already have a technical rider, send it; if not, you can still ask for a quote.
Is USD 3,650 the final cost of my hotel event?
It is the published starting price for a compact 11.5 × 6.6 ft (3.5 × 2 m) indoor P2.6 wall for one event day, under the conditions above. It is not the total cost of a hotel event. Hotel fees, restricted access, extra hours and additional AV services can change the total. We confirm availability, responsibilities and the final price in the written proposal.
Can I rent only LED or add other audiovisual services?
Both are possible. You can request LED and video only, equipment rental, or a system with installation and operation. Sound, lighting, staging, cameras, playback, confidence monitors, timers and crew can be quoted separately. If a producer is handling the event, we coordinate our technical work with their team and respect their client relationship.

Start with the date, room, audience and what you need. We will ask for any missing technical details and prepare an equipment and crew proposal with the hotel requirements clearly identified.
Practical questions before you book
Who arranges badges and access for the technical crew?
The organizer or venue confirms the registration process and submission deadline. We coordinate the crew information required for our work, while approval remains with the responsible event or security team. Confirm the service entrance, check-in location, permitted hours and unloading authorization. Guest tickets and event admission are separate from technical crew credentials.
What measurements do you need for a service elevator?
Send the clear door opening, cabin width and depth, rated load and the route from the loading dock to the room. We check the largest loaded case and support components, not just an individual LED panel. Include corridor turns, ramps and floor protection. A modular system may help, but elevator access cannot be promised from screen dimensions alone.
Can the room be changed from a meeting to a dinner on the same day?
Send both layouts and the time available between programs. We identify equipment that can stay in place and what needs to move, be rewired or tested again. The changeover requires its own crew and access plan while catering and other vendors work. A short break in the agenda is not automatically enough time to rebuild a stage or LED wall.
Questions to resolve before booking
Can the same sound system cover a ballroom and an outdoor reception?
Do not assume the indoor layout transfers outside. Send both seating plans, program times and the permitted sound conditions for the outdoor area. We review coverage, microphone positions, power and weather exposure separately. If equipment moves between spaces, allow for transport, reconnecting and testing; otherwise quote distinct systems and any simultaneous operating staff.
How should we plan lighting for a filmed presentation?
Mark the speaker positions, screen and camera angles on the booked room plan. Decorative room lighting and light on faces serve different purposes. We can quote the fixtures and control needed for the presentation, with a camera test before the program. Confirm approved mounting positions with the hotel; room dimensions alone do not authorize ceiling suspension.
What should the hotel confirm for a multi-space program?
Ask for the loading entrance, assigned elevators, permitted movement windows and the approved route between spaces. Include the largest loaded cases and any floor-supported structures in that review. The Catch documents a particular outdoor LED installation, not access permission for another event. Identify hotel services, equipment handling and show operators separately before accepting the complete proposal.
