Plan from the current room condition, not an old floor plan

For a 2026 program, the first technical task is confirming that the contracted room, ceiling, dock route and service schedule match the current renovation phase. GLMedia can then build the LED geometry, playback, camera coverage, audio, lighting, staging and crew plan around the verified room rather than relying on archived specifications.

Large general sessions also require a responsibility matrix: what the hotel or house provider must supply, what GLMedia may bring, who controls power and rigging, and how rehearsals, room turns and strike fit the venue schedule.

What must be confirmed with the hotel first?

Confirm the exact room and renovation status, current floor plan, finished ceiling height, rigging rules, approved labor, dock and elevator route, floor protection, power, internet, security, noise limits and working hours. The 2026 renovation makes written reconfirmation especially important. A GLMedia proposal is not venue authorization.

What can GLMedia supply or coordinate?

For an approved scope, GLMedia can quote modular LED displays, processing and playback, cameras, switching, IMAG, recording, streaming, confidence monitors, timers, intercom, audio, lighting, staging, pipe and drape, power distribution, technical direction and bilingual crews. Specialized requirements may use qualified external resources, identified correctly in the proposal.

How does GLMedia work with the house AV provider?

The client should share its hotel contract and any Encore or house-service quote before equipment is reserved. GLMedia can map signal, power, internet, rigging, labor and schedule interfaces so required venue services are retained and duplicate equipment is removed. The final responsibility matrix belongs in the proposal and production schedule.

What should the client send for a useful budget?

Send the event date, contracted room, audience size, agenda, stage drawing, desired screen size, content format, camera and streaming requirements, room-turn schedule, hotel production guide and current in-house quote. For dates during or soon after construction, include the hotel contact who can confirm the room condition.
